Senate Post Graduate Committee

Comprises of the Chairperson, One representative from each department


(DPGC Convener), 6 additional members including 1 outgoing Chairperson, 4
student members: 2 from Ph.D. and 2 from Masters

SPGC have jurisdiction in the following matters:


Formal approval of new courses of instruction
Modification of courses already approved
Credit value of courses, and many more.

The SPGC is assisted by the department/program post-graduate committees


(DPGC). Each departmental/interdisciplinary program has its respective DPGC.

Comprises of DPGC Convener, Head of Department, 4-8 faculty members from


the department, 2 student members: 1 from Ph.D. and 1 from Masters.

DPGC assists SPGC in general policy determination, coordination and review.

SPI:Semester Performance Index
CPI: Cumulative Performance Index
The SPI is an indicator of the overall academic
performance in all the courses he/she has
registered during a given semester
The CPI indicates the cumulative academic
performance in all the courses taken including
those taken in the current semester
Minimum CPI:

TA Work: 8 hrs per week
National Conference:
04 Support provided by DoAA: Up to 10k for up to 2 conferences for Ph.D.
students.
International Conference:
Support provided by DoAA: Up to 1 lakh per student for Ph.D. students.
Registration
Procedure
First Sem Registration
Already done, you followed all guidelines provided via mail and submit all
documents as mentioned in the offer letter.
Note: If your degree certificate awaits, submit a provisional certificate for
appearing final exam (including all papers in theory, practical, project, oral,
etc.) before the last date (8 weeks from registration date).

Pre-registration from 2nd sem


You have to do your pre-registration on the Pingala portal from next semester
onwards (2 weeks before the end of the current semester) by submitting a list of
duly approved courses.
Pay fees for the new semester and clearance of any outstanding dues to
complete the registration.
Late Registration
You are allowed to do the late registration on the Pingala (up to 1 week late)
with a late fee( in general Rs. 1000), Follow the academic calendar for
timeline.

Summer Term Registration


Every student has to register up to a maximum of half the normal semester load.

Students who will defend their thesis in the summer will not register.
ADD/DROP/Withdraw

Get approval from the course instructor and DPGC before the last date
(4 weeks before end semester exam of the course)
Course drop/withdrawal shouldn’t reduce the semester load below
27 credits.
Please make sure that your selected courses are not clashing with each
other.

Do I have to register for the new semester if my thesis
01.
is getting extended after final semester?
If one is completing thesis submission two weeks after commencement of
semester, he/she need not register.

02 I have submitted my thesis but not defended it, do I


. have to register for new semester?
For PhD students who have submitted thesis and awaits their defense
may register with 0 credits or take leaves and apply for defense on
leave.

Course Selection
There are different kinds of courses at IITK that are-
01 PRF(PG Course), DE(Departmental Elective), OE(Open
Elective),DC(Departmental Core).All courses are of 9 credits each.

02 PG students can only select PRF courses which can be DE, DC, OE.

You can only choose any course of another department if it is PRF/OE


03 type.

DE/DC courses will be selected according to departmental rules


04 conveyed to you at the start of programe.
Course Selection
Apart from different courses, there is a thesis credit that can be of
05 9,18,27,36 credits. There is also a seminar course of 0 credit.

You can take course credit with thesis credit, but taken care of the fact
06 that minimum and maximum semester load should be 27 & 36 respectively.

Seminar course is compulsory for two-semester may vary in accordance


07 with the department.

Except for the first sem. the course and thesis credit selection will be
08 done through Pingala during pre-registration period.
Supervisor Selection
The thesis supervisor(s) of a student will normally be appointed from amongst the
01 faculty members at IIT Kanpur using modalities decided by the departments.

In most general cases there will be lab rotation in which students got a
02 chance to meet different faculties and get to know their research areas.

In online mode lab rotation is replaced with faculty research presentation, in


03 this faculty will have to present about their area of research and students can
ask questions.
After meeting with guides, both the student and the faculty have to fill the
04 choice for each other.
05 Thesis supervisor will be finally alotted by the DPGC.
FAQs:
01. How to convert from M.Tech/M.S.R to PhD?

Change into Ph.D. at the beginning of 2nd/3rd/4th/5th semester of current


Master program on the recommendation of DPGC and approval of SPGC.
Application to be submitted at least 2 weeks before the start of next semester.
Needs to complete minimum 27 credits completed in the current program and
has at least 7 CPI, apart from this you need to have 75%/7.5 CPI in your B.Tech
if you convert before 2rd sem.
Needs to complete minimum 27 credits completed in the current program and
has at least 7 CPI if you convert before 3rd/4th/5th sem.
Review of work at least once every two semesters after the conversion

Note: Part-time Masters's students are not allowed to change into part-time PhD
programs.

Prime Minister's Research Fellowship

The Prime Minister's Research Fellows (PMRF) Scheme has been designed for
improving the quality of research in various higher educational institutions in
the country.The candidates will be selected through a rigorous selection
process and their performance will be reviewed suitably through a national
convention.

IIT Kanpur is one of the PMRF granting institutes and has ranked 4th in the
NIRF ranking.

At the time of joining, each Fellow shall be given deliverables to be achieved


each year. This will be decided by the assigned guide and the department
which the fellow is joining.

Prime Minister's Research Fellowship

Apart from this, each Fellow would be eligible for a research grant of Rs. 2
Lakhs per year (total of Rs 10 Lakhs for five years).

Any of the regular PhD candidate will be able to get PMRF subject to the
eligibility.

There are two modes a) Direct b) Lateral

There will be 25% nominations for the Direct and 75% for the Lateral of the total
nominations that need to be done by the department.

For Direct
a)Your Btech/Dual degree must be from IITs/NITs/IISERs/IISTs or Centrally
Funded IIITs and have 8CPI at the end of your last program.
b)qualified GATE and be pursuing or have completed M.Tech./MS by research
at one of the PMRF Granting Institutions having a minimum CGPA or CPI of 8.0
at the end of the first semester with a minimum of four courses.
For Lateral
a) You must have done at least 4 courses in Ph.D. at IITK with CPI 8.5 and higher
that’s the eligibility for filling the form for your nominations.
b)You can apply twice but before 24 months and 12 months for those who come
from B.Tech and M.Tech degrees respectively from the date of registration to the
Ph.D. program.
b) Your application then will be a judge on your CPI, strong research proposal,
publications records.

Thesis submission and Defense


COMPREHENSIVE EXAM
A student registered in the Ph.D. programme can appear in the comprehensive
exam only after he / she has completed the course requirements and satisfied
the minimum specified CPI requirements i.e. 7

Direct Ph.D. students may appear in the comprehensive examination earliest at


the end of the 2nd semester, but must pass it before the end of the 5th
semester after their first registration.

May appear in the comprehensive examination earliest at the end of the 1st
semester, but must pass it before the end of the 4th semester after their first
registration.

The above time limits are exclusive of the period of sanctioned leave if any.
COMPREHENSIVE EXAM

The examination will be in oral form but may be supplemented with a written
part as well. Its generally decided by the DPGC(Department Postgraduate
Committee).

A student will be considered to have passed the comprehensive examination if


all except at the most one member of the board are satisfied with the student's
performance in the examination.
FAQs:
01. Who will be there on the comprehensive examination board?
The comprehensive examination board will consist of at least three but not
more than five faculty members of the student's department/IDP plus one
faculty member from outside the department/IDP (discipline, in the case of
Humanities & Social Sciences).
Constitution of the board will be proposed by the DPGC in consultation with
the Head of the department/IDP and the thesis supervisor, if already
assigned, and will be forwarded to the Chairperson, SPGC who will send it to
the Chairman, Senate for approval.

02. What if a I fails in the first attempt of comprehensive examination ?

The student is allowed to appear only twice in the comprehensive


examination.
CANDIDACY FOR THE Ph.D. DEGREE
A student enrolled in the Ph.D. program is formally admitted to the candidacy
for the Ph.D. degree after

1. He/she has completed the course requirements for the degree with at least the
minimum required CPI.
2. He/she has passed the comprehensive examination.

Only such students who are admitted to the candidacy will be allowed to
submit Ph.D. theses .
State of Art Seminar
Every Ph.D. student admitted to the candidacy for the Ph.D. degree is required
to give a general seminar in the Department covering the State of Art of the
area of research.

This seminar must be given within six months of passing the comprehensive
examination

If a student fails to appear within six months then there is a provision of


extension of 3 months timeline which is granted by the Chairman, SPGC on the
request of the student and the recommendation from thesis supervisor and
DPGC, Convener

A further extension of three months may also be granted by SPGC. However,


students have to apply for these extensions in advance.

If a student fails to appear in His / her academic program would be deemed to


have been terminated.
Open Seminar
Before proceeding to finalize the thesis, each Ph.D. student must deliver a
seminar open to faculty and students

In this seminar research work done by the student will be presented to obtain
comments and criticism which may be incorporated in his/her thesis.

The maximum time duration for the submission of the thesis after the delivery
of the open seminar will be six months.

In exceptional circumstances, a further extension of three months with proper


justification.

If the thesis is not submitted within the desired period including the extension,
the open seminar already delivered will stand canceled and will have to deliver
fresh open seminar.
Ph.D. Thesis Board
The thesis board shall consist of three members in addition to the thesis
supervisor(s) approved by the Chairman, Senate.

Unless some special circumstances make it impractical, at least two members


of the thesis board (other than the supervisor(s)) must be from outside the
Institute and at least one of these two must be from within the country.

Ph.D. thesis can be submitted only after the thesis board has been duly
approved and the intimation of the satisfactory completion of the open
seminar has been received.
Ph.D. Oral Board
The oral board shall consist of four members in addition to the thesis
supervisor(s)/program coordinator.

Of the four, three shall be from among the faculty members(one from
department) of the institute (including those, if any, on the thesis board) and
one shall be from among the members of the thesis board within the country
but outside the institute
Ph.D. Oral Examination
Ph.D. Oral Board Shall
i) examine the thesis reports,
ii) examine if necessary modifications suggested by the thesis examiners have
been incorporated,
iii) elicit the candidate's replies to the questions raised by the thesis
examiners
iv) authenticate the work as the student's own,
v) judge if the presentation of the work by the student and the answers to the
questions asked have been satisfactory.
Ph.D. Oral Examination
vi) Then the Ph.D. oral board will give a report of the examination, which will
be communicated by the supervisor(s)/program coordinator to the
Chairperson, SPGC through the Convener, DPGC.
If all, except at most one member, declare the student as passed, the student
shall be deemed to have passed.
On receipt of the report that the student has passed the oral examination,
the Chairperson, SPGC will recommend to the Senate for award of the Ph.D.
degree.

01. How to change from a Part-Time to Full-Time Ph.D. programme?

A student admitted to a part-time programme may be allowed to change his/her


registration to full-time (regular) studies at the beginning of a semester upon the
recommendation of the DPGC and with the approval of the SPGC.
For the purpose of determining the maximum period of stay (specified in Section
7.1), one-half of the period spent as a part-time student will be counted.

02. How to change from Full-Time to Part-Time Ph.D. program?

Complete the coursework, pass comprehensive exam, give SOTA


Get permission from DPGC and supervisor.
Produce No Objection Certificate from employer.
Complete PhD within 7 years from the date of his/her registration.
FAQs:
01. I am a direct Ph.D. student can I Exit from Ph.D.?
Ph.D. student in an engineering department who does not hold a
master’s degree in engineering, may exit from the program with an
M.Tech degree provided ,
(i) a request to this effect is made at least six months before the exit but
not before the student has completed two-and-half years (excluding the
period of sanctioned leave, if any) in the program;
(ii) the request is approved by the Senate on the recommendations of
DPGC and SPGC; and
(iii) the student has completed all the requirements of the M.Tech. degree
(including a thesis).
FAQs:
01. I am a Ph.D. student with M.Tech or from a non-
engineering background, can I Exit from Ph.D.?

You may request ,with proper justification to exit from the program with
a degree/diploma. The request has to be recommended by the thesis
supervisor, DPGC and SPGC and approved by the Senate. The student
opting for exit option may be considered for the award of M.Tech.
degree or any other form of degree/diploma, depending on the
completed course/research work

The student will not be allowed to continue his D.IIT./M.Tech./ M.Des./M.S. by


Research /MBA programme if
i) His/her CPI is below 6.0.
ii) His/her CPI is below 6.5 in two consecutive semesters (however, SPGC may
consider continuation as per provisions of 7.7.3).
iii) He/she obtains two Fs or two Es or one F and one E in the same or different
courses.
iv) He/she accumulates three or more Xs towards thesis grades.

i) His/her CPI is below 6.5 (below 6.0 in the case of the first-semester student).
ii) His/her CPI is below 7.0 in two consecutive semesters (however, SPGC may
consider continuation as per provisions of 7.7.3).
iii) He/she obtains two Fs or two Es or one F and one E in the same or different
courses.
iv) He/she accumulates eight or more Xs towards thesis grades.
v) He/she accumulates six or more Xs towards thesis grades in two consecutive
semesters.
Leave Rules
Personal leave
01 Max. 30 days in an academic year (including breaks)

02 Max. 10 days during regular semesters.

03 Max. 15 leaves can be carried over to next academic Year.

Casual leave
01 Max. 6 days during regular and 4 days during summer semester.
Can’t be carried over.
Medical leave
01 Max. 8 days during regular and 4 days during summer semester.

02 Medical certificate needed from IITK doctor and from registered


medical practitioner (during sanctioned leave).

Maternity leave
01 Max. 3 months during the maternity.

02 Can be combined with any other leave.


Semester leave

01 Max two semester and a summer semester.

02 Must have completed at least 2 semesters.

03 No more than 1 semester at a time and not for D.IIT. Students.

FAQs:
01. I need medical certificate then from where it has to be
issued?

If a student falls ill while on the IITK campus, the medical


certificate must be obtained from the Institute's medical officer.

If he/she falls ill outside the campus while on sanctioned leave,


the medical certificate must be obtained from a registered medical
practitioner.
