Process Flow from

Taleo Recruiting

To

Cloud HCM
REQUISION

Create Requisition

Login Cloud HCM

Navigate to “Hiring > Taleo Recruiting”

Click [Continue] button (if appeared)

Recruitment application will open

Click [Recruiting option]

Recruiting Dashboard will open

Click button.

Select Requisition Type through Radio button.

Cilck button.

Select “Requisition Template” and “Department” through LOV.

Cilck button.

Select “Organization, Primary Location and Job Field” through LOV.


Click button.

New Requisition will be created, enter detail information of requisition.

Click [Save and Close] button.

Requisition status is

Approve Requisition

Click in dropdown.

Click [Submit]

Note: if below message is appeared by clicking “Request Approval” then

Click in dropdown.

Now Requisition status is


Posting and Sourcing

Click in dropdown.

Click button Career Section of Services.

Enter [End Date] and Click checkbox.

Click button.

Job will be posted on selected career section.

Now Requisition status is


You may check the history by clicking tab.

View Posted job through Portal

Login Cloud HCM

Navigate to “Hiring > Internal Career Portal”

Click button

Search posted created job and apply. (Candidate will apply through this portal)

Enrollment of Candidate on Requisition

Manually enrolled through Data bank

Manually create candidate and assign on requisition

Candidate directly apply through job portal.

Click button in this Toolbar

Candidates list will display here

Select your desired candidate matches requisition.


Click (Add the selected candidates to the list of candidates for a specific
requisition)

Click button.

Click desired option Yes/No

Click option through toolbar.

Selected candidates (3) are appearing against Requisition.

Click Requisition title to view the detail.


Click option. (List of candidate applied for this requisition will appear)

Click “Nayyer, Rrameez” candidate.


You may change the status of by

clicking button.

OR

Click in dropdown.

Now status is changed

Click button to change the “Step and Status”


Complete all “Step and Status” until “Offer to be made”

Now Create Offer by clicking in dropdown.

Offer is created with status of Draft.


Import Hired Candidate data from Taleo to Cloud HCM

Login Cloud HCM

Navigate to “Tools > Scheduled Processes”

Click

Select Job “Import Oracle Taleo Recruiting Cloud Service Data” in Name field.

Click [OK] button

Select [New Hire Data] in “Import object” LOV

Enter “No of days” in “Export Data Range” field.

Click “Notify me when this process is Finish/End”

Click [Submit] button.

Select above process, status should be “Succeeded”

Click for detail.


Create Employee in Cloud HCM through Imported Candidate from Taleo.

Login Cloud HCM

Navigate to “My Workforce > New Person”

Select tab.

Click option.

Imported Candidate information will be displayed here.

Click .

New screen will appear.

Click

A guided path will open.

Follow above guided path to complete employee information.

Fill all employee record and [Submit] it.

Click button.

Click in Warning dialog box.

Click in Confirmation dialog box.


Verify newly created employee in Cloud HCM.

Login Cloud HCM

Navigate to “My Workforce > New Person”

Select tab.

New pending worker will be displayed here.


How to Configure Career Section
Go to Configurations > carrier section > administration

This is the main menu of the career section administration, here first you have to create the user define
forms. Than

Here you can design the forms according to the requirement of the customer and add the fields in the
forms. After that click on the Application flow in the administration here you will find the different flows
of the applications. You can create the one . once you will on create or amend the one this window will
open

If you click on any of the application or click crate this form will be open

Here the flow will be open now you will click on links like Candidate personal info, education here you
will attach the form you have created previously. One more thing that in case to edit the flow the
application flow should be in Deactivate Mode.

Now you will come back to carrier section and will click on career Section. Here you will find this screen
Here you can see existing and also can create the new one. In case to editing the active career section
you have to first deactivate the career section. . when you click on the create this window will appear

You will work accordingly and then activate the career section. it will active you can check it through
career section URL . to check the flow and forms alignment

Configure Candidate Selection Workflow ( CSW)

Configurations >Recruiting Admin>CSW

Click on CSW and you will find this window

Here you can either can create the the new CSW according to requirement and amend the existing one .
in case of create the new click new

This window will open you have to enter name , code etc than will click on add in orange color which will
ADD the Steps like interview , hire , etc
when you will click on ADD this window will open where you can create the new step or can add existing
one

You will add the steps in your CSW and will ADD them it will look like this

You can chose action what steps will follow because step and statuses appear with candidate Pane to
identify the exact status of the candidate against Requisition when you will click any of the step you will
see the statuses attach to this step these can be modified according to your need . but remember you
have to add start onboarding action in step HIRE it is mandatory otherwise it will not start the
onboarding process
REUQISTION FORMS CREATE
There are different type of requisition their names can be modified according to their
requirement but only from support for front end in configurations its name will remain same,
like Campus, Professional etc. names will change through SR change tool text.
The process of Requisition file the first part is Field. Field will be created or can be used the
standard fields. The best practice is to use standard fields as much as possible because when we
go for integration only standard fields Data will be flow. in Candidate file same Standard fields
should be used .
For the offer field first you have to create offer field than you will check the availability check to
be visible in to the forms and BI.
Than you will create the Offer field lay out how to display while for requisition and candidate
files and career section those fields will be available automatically while crating forms

Here we can see that fields are available for every section so that we can work according to requirement
once fields will be created that we will create user defined forms, both for Candidate, requisition, first
we have to create the forms. Once forms will be created than same alike career section we will assemble
forms and then assemble forms in to files and will make them available to the user

When you will click on the FIELDS>REQUSITION , this window will be open
Here you can see create user define and, show standard you can chose accordingly. After creating the
any field always click on newly created field the window will open where you will check the availability
of the field so check the availability otherwise you would not be able to see the field

Once field will be created the stage is to create the Forms

The next part is to create user defined Forms. The Forms would be created for requisition, candidate,
and career section and for onboarding process as well, well the best practice is to use the standard
forms with some amendment if required with user defined fields

It is the sequence to complete the requisition related task which is following

Fields> Forms> user define file > Req/Candidate File setup

Once the forms completed the have to assemble in to file and then setup those file in to file setup
according to Req file setup.
Offer fields.

In the Recruiting administration you can find offer field under fields, once you complete the selection of
the field you have to make them available in to Taleo administration and BI.

Once offer fields are created you have to add them in offer form which will be displayed during offer
creation. Under the field menu you can see offer lay out. Click on that you will see the new window, on
the left hand side you will see add button, click on that add the field and add the newly created value,
ADD the value it will appear on the main form now select the no and subject area where it should visible

Selection list .There are two types of user selection field’s available standard and user define. In
standard you can only add remove values you cannot create the new value, to create custom selection
you have to select selection list under recruiting, where you can create the user selection than add them
as field in field section to use in the forms
On boarding Configurations:

On boarding configuration is not more than just a pack of forms , tasks which make a process . and
combination of different process is called on boarding . in simple equation it is be like this

In onboarding you cannot use the fields which created in recruiting, in onboarding you have to
create the new fields for the forms. And they will be available during the creation of the fields.
In the Taleo Recruit go to Configurations>> onboarding administration >>

When you will click on this, administration you will land on this page
Once fields will be created, they will be assembled under user define forms, same like recruiting. Once
this activity is done you have to create define the task. In task you will select the form and attach it to
the process. The task type can be a user define form or a message template so you have to select the
process accordingly.

In this you will click on create task , you will land to this page

On this page you will enter the code and other details. select the action , select user define form or
correspondence in case of any intimation , than you will click on the source in case you selects the UDF ,
in source you will find all the Forms you have created and the should be in activated state to be visible
now we will look in to the process
Process
Once you have completed the task and lined up all the forms and correspondence according to
solution. The final step is to create the process and assemble all the task in to it.
When you click on process you will land on this page

Here you can see the already created process. You have to create the new process for new
instance, when you click on new you will land on this page

Here you will enter the details of the process name and will assign some owner to the process. Same
process you have to repeat when you will create the transitions in to the process.

Once you will create the process come back to the first page where you will see create transition , here
you have to create the transitions and attach them to each other back to back , parallel whatever the
solution is designed , you have to control over that .
You can see already created transitions , for the new process under step you will find create transition .

When you go and create the transition, you have to assign someone to that task . because once the
onboarding process will be run those task will go to that assignee automatically , so it is important to
have this ,
Here you can see the completed task. In the task you also have to select that task you have created
previously. And also add the transition.

The following figure shows the completed task and tasks are aligned accordingly
