System Integration Failure in Gradability

Executive Summary
The report examined the causes of failure of the Gradability system when the grade data that was
fed on the Moodle system not being reflected on the RTOManager. The information should be
reflected after twenty-four hours, but after three days, there were no changes. The system was
checked for malfunction and the employees interviewed on the causes of error. It was depicted
that the SFTP lacks the ability to trace the errors hence the help desk support analysis showing
that there were no system errors could have been a mistake. Also, the incidence could have been
due to human error on the part of the employees due to the lack of following the appropriate
procedures. As a result, it was recommended on the need for ensuring that awareness was created
among the employees on the correct procedures and the repercussions associated with their
negligence measures. The training of the new employees and retraining of the older employees
will minimize these errors. Lastly, there should be punishment measures to those that fail to heed
to correct measures of filling the data into the system and execution of the program.

Introduction

Gradability has been pivotal in providing a learning platform for local and international

students. With the increase in distance learning, the system has seen a rise in the number of being

using it. Gradability ensures that there is system integration without the need for automatic work

to increase efficiency of the platform in providing its core services. The automation occurs where

the data from the RTOManager which is enrolment data and data from Moodle system which is

grades to be synchronized after one system is filled. Regardless of the seamlessness of the

system, during the assessment of the system the administrator reported a delay in the grade data

from the Moodle system being reflected on the RTOManager. As a result, there is a need for the

investigation of the cause of the delays so as to ensure that such cases do not occur in the future

so as to increase students and administrator satisfaction. Therefore, the investigation will be

undertaken by checking off the Gradability systems, both hardware, and software to learn

whether the error was due to technical reasons. Also, an internal audit will be taken among the

workers that were involved in the process to uncover whether the issue was related to human

errors due to lack of following protocol.

Findings

The audit conducted on the employees and investigation on the Gradability system

showed that there was an error related to both human and the systems. These included

The Help Desk Support reported that according to their initial analysis there was no any

error alert on the system administrator coming to the conclusion that the network and the

connection were work appropriately. However, this could not be the case as the SFTP has a

limitation in monitoring the activity (Michael and Karthikeyan 2017). The SFTP lacks the ability

to consistently tracking the data that has been uploaded on the remote system. Therefore, when

the files are mishandled, or there is a data breach, there is a problem in tracking the source of the

problem. There is also a lack of access control options required in ensuring that employs are in

alignment with the best file-sharing practices. Therefore, the lack of system alert does not

guarantee that there were no errors.

Human error

As the old adage goes to err is human. Most of the mistakes made in the information

technology or other technology-related systems are attributable to human error (Silva-Martinez

2016). Since Gradability is sensitive system which relies on the data that is feed on the Moodle

system to be transferred to the RTOManager, it is vital that correct data is filled and all the

procedures are followed to the letter. However, in this case, the system could be functioning

perfectly well, but the data was not well feed to the system due to the employees being

inexperienced or failing to take the appropriate measures (Silva-Martinez 2016). As a result, the

data failed to be reflected after twenty-four hours of being feed in the Moodle system.

Conclusion

The Gradability system is vital in promoting that students from different locations have

access to a platform that provides an opportunity for learning and improving their knowledge and

skills. The system function by the use of the Moodle system and the RTOManager which are

synchronized to avoid manual work. However, in the case study the grade data that was fed on

the Moodle system was not reflected on the RTOManager showing that there was an error in the

system and human error. The system error was due to the failure of the SFTP in tracking the

errors which were made by the employees so as to take adequate measures. Therefore, it is vital

in providing education to the employees on the right procedures to preventing them from making

these errors. Also, the new employees should be trained effectively while the older employees

retained to ensure that the data is well fed.

Recommendations

1. The system could be improved through ensuring that all the data is crossed checked

before feed. Markedly, this will eliminate the users from making mistakes.

2. The second prevention measure is the promotion of correct execution of tasks through

having checklists, procedures, awareness campaigns, and disciplinary measures to

employees that fail to adhere to the rules.

3. Third, the new employees should be well trained and oriented on the systems as well as

being informed on the repercussions of their mistakes. Also, the other employees should

be retained to ensure that they are to update with the appropriate procedure to minimize

the incidences of errors.
