Abstract
This research papers were designed to discuss about the necessity and implementation of
effective communication in the workplace and how the effective workplace communication can
have positive influence on the performance of employees.

Effective Communication in the office is the main perquisite to obtain high productive
performance from the employees in organization. Sharing information and knowledge inside of
any organization is regarded as effective workplace communication. But effective
communication takes place when a message is being sent and received perfectly. Every sectors
of life (both professional and personal), effective communication is a must to achieve goals and
get the desired satisfaction. Effective communication in the workplace is the key to get any
organization in a right track to achieve success.

Developing proper communication should be the number one priority in every business
organization. Often, effective communication at the office is what differentiate a good
organization from a great organization. Proper networking and communication at workplace help
to obtain organizational goals and helps employees to give a better performance. This is a must
need practice to get a dedicated and productive workforce. In this research paper We have
analyzed the necessity and implementation of effective communication in the workplace. We
have tried to describe how Effective communication is playing crucial role to achieving long-
term business goal, So Companies need to emphasize on the proper communication in the
workplace, basically ensuring the effective communication.

1. Introduction
Communication enables individuals and groups to organize tasks to obtain their mission and
goals. It always plays a crucial role in improving understanding, implementing decision. All
specialist in management have indicated that in the 21st century that the effective
communication in the workplace basically determines how effective, productive and
performance-oriented a company is.

At present in challenging circumstances, effective communication in the workplace is strongly


needed to improve organizational performance. By enabling employees to take responsibility and
make themselves involved in a bigger way and proper teamwork hugely enhances employee
involvement increasing the trend of switching from individuality to collectivity. In any growing
company, where links of communication are transparent, knowledge is getting shared perfectly
and ideas are exchanged on flexible procedures and proper way of networking is encouraged.
Therefore, that company’s workplace environment is in right track, and they employees can
contribute to increase the productivity.

Under effective communication in workplace, Employees and management can both participate
in a strategic decision making which can helps the business units to fulfill organizational goals.
And, employees can show their organizational responsibility and give their opinion for matters
that that can encourage to improve organizational flexibility. In doing that it can be regarded as a
sign of their 100% commitment to the organization. It can also help them to maintain morale
high, and keep them motivated at all the time during working.

In general, effective communication set up good personal and working relationships among all
the employees and managers, and enhance teamwork in the workplace. On the other hand, lack
of effective communication can have a disastrous effect on relationships among employees and
managers, and hampers the employee performance plus results in a poor productivity. But in our
country, most of the companies don’t always give effective communication the value it deserves.
This research papers were designed to discuss about the necessity and implementation of
effective communication in the workplace.

2. Areas to be studied
For our research we want to look into the following questions or areas to make our research more
scheduled and efficient:

• Relationship between effective communication and work performance.


• How effective communication enhances job satisfaction?
• How organization culture changes due to the change of communication process?
• What must take into account for managerial communication?
• What is the role of internal, external and personal communication for uplifting productivity?

We will segregate our paper on different sections to show the researched area. Similarly, we will
include different aspects, process and statistics in our paper.

3. Literature Review
Communication can be defined as an exchange of messages performed between individuals in
order to obtain expected outcomes (Craig, 1999; Lolli, 2013). Furthermore, communication
satisfaction is the degree of satisfaction with communication experienced by employees within
their work setting (Redding, 1978). In a fast-growing industry, organizational communication is
critical for maintaining productivity and profitability (Mishra, Boynton, & Mishra, 2014) and is
essential for business success (Hargie, Tourish, & Wilson, 2002). Communication is a major
challenge for organizations because of the difficulties they face when providing information or
promoting strategies, and as such it has received increased attention examining its impact on
work behavior (Keyton et al., 2013), managerial skills (Suh et al., 2012), generational differences
(Fu & Mount, 2002), and cross-cultural interaction (Bell & Roebuck, 2015; Lauring, 2011).
Difficulties include a lack of information sharing and relational maintenance, and expressing
negative emotion that impact members’ engagement in the organization (Keyton et al., 2013).
Managing behavior in organizations has evolved over time. The study of communication is a
critical aspect of organizational settings, ranging from the study of humans’ attitudes in the
workplace (e.g., Sager, Wallace, Jarrett, & Richey, 2015) to relational maintenance behaviors
among employees in the same working environment (e.g., Qubaisi, Elanain, Badri, & Ajmal,
2015). Communication barriers can pop-up at every stage of the communication process (which
consists of sender, message, channel, receiver, feedback and context) and have the potential to
create misunderstanding and confusion. To be an effective communicator and to get your point
across without misunderstanding and confusion, your goal should be to lessen the frequency of
these barriers at each stage of this process with clear, concise, accurate, well planned
communications (Fowler & Manktelow, 2005).

4. Hypothesis:
Effective Communication plays a significant role in innovation, and fruitful communication in
the workplace. Effective communication can lead to innovation and new ideas in a number of
ways. Employees who know what is crucial to their company can concentrate more on making
development and find out chances for innovation that can assist more success rather than just
doing the basic which is mentioned in their job descriptions. When worker knows that their
opinions will be taken with respect and that company leaders will consider their opinions and
will give proper feedback, then the workers will become more active in their workplace.
Organizations with effective communication in the workplace have the better records as more
productive in worker’s performance.

Based on the discussed studies, the following research questions and hypotheses were proposed
in order to provide a foundation to collect and analyze data examining the relationship between
effective communication and workplace productivity. For our research, we want to look into the
following questions or areas to make our research more scheduled and efficient:

• What is the relationship between effective communication and work performance?


• How effective communication enhances job satisfaction?
• How organization culture changes due to the change of communication process?
• What must take into account for managerial communication?
• What is the role of internal, external and personal communication for uplifting productivity?

The hypothesis that we have come across are given below:

Hypothesis 1: There will be a positive relationship between organization’s effective


communication and workplace productivity.

Hypothesis 2: Understand the limitations of communication gap and utilize the strategies to
increase workplace productivity.

Hypothesis 3: Understand the role of information transparency among employees to avoid


misunderstanding and utilize teamwork.

We will segregate our paper on different sections to show the researched area and also, we will
include different aspects, process and statistics in our paper.

5. Research Methodology
The systematic, analytical analysis of the techniques used in a field of study is known as research
methodology. For primary data collection we had conducted a survey. The creation of the
subject as in the feasibility of successful business was used to create a questionnaire. The overall
business prevalence is regulated by the communication of certain important aspects. This
questionnaire was used to gather information from the staff. They were given complete freedom
to respond to the questions.

The personal information portion of the questionnaire was not used to collect the employee's
personal information, such as their name, age, credentials, experience, and so on. Because many
of the employees among the demographics would not want to share their personal information.
The benefits of using these questionnaires are numerous. To begin with, respondents reply when
it is convenient for them, and there is no need to set up an interview query structure.

Furthermore, they are not likely to be swayed by the presence of an interviewer. If they like,
they can consult with each other on some issues. Their views were often based on factors that
were thought to be relevant to the main subject. It is an economical instrument for surveying a
large sample because of the low cost per completion and the short period of time required.

5.1 Sample size and target population:


Sampling is used to prevent having to deal with the whole population, or in this case, workers or
employees of any organization, which is a costly and would take a lot of time to conduct the
survey. As a result, a group of people were targeted across different companies and
organizations. A collection of 150 questionnaires was e-mailed and distributed to 150 people
who were chosen as a simple random sampling. But we did not use convenient sampling to get
our desired result. People working in different companies like multinational companies,
Government Company, banks etc. are the members of our demographics.

The secondary data is already available in different forms of resources. That means the data are
already there and we took the data from the resource available on related study or articles. For
our secondary resource we collected data from different published paper, articles, newspapers,
magazines, business documents, technical journals, trade journals. Similarly, we had collected
data from different websites and blogs.

6. Data Analysis

This question was asked to the members of our demographics to find out whether they are in a
suitable work group in terms of communication. It’s very important to know about it at first.
People who are well informed about group’s plans and progress have good knowledge about the
communication flow of the company. It was great that vast majority (67.5%) of people agrees
with the fact that they are well informed about their work group’s plan and progress. Also, very
few people (about 7.5%) disagrees with the fact.

This question was constructed to know about the effective communication between various
departments of the organization. Workplace productivity mainly depends on the clear

communication channel between the departments. If the communication between the
departments is effective and clear, productivity will boost eventually. 37.5% agrees that sharing
information between departments is transparent in their organizations. Also, a very small amount
disagrees with the fact. Second largest portion of the people are being neutral of the fact. This
answer helped us to drill down the answers to draw the conclusion that effective communication
is best option to boost productivity.

This question helped us to have an impression about the communication within the respondent’s
organizations. Employees who attended the survey and think that effective communication is
needed to boost the productivity, also agrees with the fact that they are fully or well informed
about the impression of communication within their company. It is always expected that the
member of the targeted sample should have clearly informed about the impression of
communication. Clear knowledge about verbal and nonverbal communication within the
company helps the employees about the communication channel. 32. 5 % people answered that
the impression of communication is that it keeps them adequately informed and 35 % of them
answered that it keeps fairly well informed.

This is an unbiased question about the way of effective communication in the workplace. To
prove our hypothesis, we need our respondents have the experience about the effective
communication in the process. Communication effectiveness depends on the clarity of the
channel of effective communication in the organization. Our hypothesis was that there will be
positive relation between effective communication and productivity. The respondents rated their
company’s practice of effective communication in this question. 51.3% people rated good about
the effective communication practice in their organization.

In this survey question we tried to focus on how the respondents feel about having better
understanding with colleagues to improve the performance of any team work in office.

47.5% believes it to be 100% that, understanding with their colleagues can improve the
performance of any team work in office. 30% believe it to be 50-70% and the rest 22.5% believe
it to be 80%.

As maintaining a good communication with other employees is very important for work
progress. If an employee takes all the workload and does not share his feelings of burden with
other team members, ultimately the organizational progress will lag behind. Here in the survey,
most of the employees think that having a better understanding with the colleagues can improve
the performance of any teamwork at office.

In this survey question, we tried to focus on how the respondents feel about sharing or, getting
every kind of work-related information with their colleagues or, seniors.

22.5% believes that, they are fully informed of every kind of work-related information properly.
37.5% believes that they are fairly well informed, 32.5% believes that they are adequately
informed and 7.5% believes that they are not updated properly.

In an organization proper communication among every level of employee is the first and
foremost rule. It is the prerequisite for handling any project or other organizational
responsibility. If there lies any communication gap among employees the works may get
hampered. There will be a lot of errors and mistakes in the performed tasks. Here in the survey,
most of the employees think that they are fully informed of every kind of work-related
information with their colleagues or, seniors.

In this survey question, we tried to focus on if the group meetings are always informative and
worth the time spent.

20.5% of the respondents strongly agreed, 43.6% of them only agreed, and 25.6% of them
remained neutral to the fact that group meetings are effective. Whereas, a small proportion of the
respondents disagreed and strongly disagreed. According to them group meetings are not always
informative and worth the time spent.

Problems and issues most often arise among employees while working in a team. This may have
a negative impact the way employees perform their tasks. Decision making strategies may get
ruined. By arranging timely meetings, the issues can be resolved, and decisions can be made
easily and efficiently. Moreover, from an informative meeting team member will realize their
importance and will better engage themselves in office works. Also, proper meetings help to
maintain a good relationship among every level of employees in an organization.

In this survey question, we tried to focus on the fact that, if an individual organization provides a
communication channel that employees can use to convey their feedback.

Here, the respondents stated their different levels of agreement. 42.5% of the respondents
remained neutral, 35% of respondents are satisfied and 5% of the respondents are very satisfied.

Effective communication is the fundamental prerequisite for the achievement of organizational


goals. No organization as well as no work group can exist without communication. Coordination
of work is impossible without an established communication channel and the organization may
collapse because of communication gap. If effective communication within a workplace is
implemented, a better cohesive and efficient team will emerge.

In this question we tried to focus on what the respondents feel about having better understanding
with the colleagues, seniors and how much impact it carries on their performance in workplace.

47.5% shares that positive relationship and understanding with seniors and colleagues helps them
to enhance their performance, 27.5% believe it 50-70% and 22.5% believes it more than 80%.

Communicating in a sensible way with gentle manner and through the most efficient channels
will enhance the productivities of employees, it will increase the possibility of creating good
harmony in the office. We see here most participants emphasize more on improving relationship
and understanding with seniors and colleagues to perform better in workplaces.

In this question we questioned them about how much idea they can share with their managers
without any hesitation. 57.5% respondents think they can share their idea smoothly with their
managers and 17.5% do not give any clear idea and 12.5% thinks their idea is highly encouraged
by their managers and 10% believes they are not allowed to give their idea to their manager.

Company needs to appreciate employees who are very interested to share knowledge. This will
create examples for other people that sharing and helping people encouraged by the company, so
employees will feel motivated to do it more. We all know that knowledge sharing is important
for the organization, and it will make employees to feel more engaged with company. In truth,
they will feel their opinions are valued in the organization and as a result their performance will
increase.

In this question we have asked how much motivated they feel when their opinions are taken
seriously by the higher management. 50% of respondents says that it obviously gives them extra
motivation and hunger to work more delicately for the company. Only small percentage peoples
give their disagree statement and most of the people believes this more or less. Showing respect
to the ideas of employees brings huge benefits to organizations. If workers say they feels proper
respected then they are more obviously increase their performance level and loyalty level to their
company.

In this question we have asked the respondents how much they are benefited from the
information they are receiving from their colleagues and seniors. 45% of them do not give any
exact opinions and 37.5% peoples feel they are benefitting from the knowledge they are
receiving from the employees. 10% are dissatisfied and 7.5% are very satisfied. The easier of the
transfer of knowledge is made, and the more efficient the working environment will become.
Ensuring the effectiveness of sharing knowledge will make employees more productive.

In this question, we asked respondents is there any miscommunication occurrence when they are
grouped as a team. 50% respondents disagree about miscommunication incidence and it seems
they are being well- communicated with each other in teams and they know how to act, react,
and behave with each other. But 22.5% are agree that they are facing miscommunication
occurrence when they are assembled as a team. However, 20% of them don’t give any exact
response about miscommunication incidence.

In this question, we asked respondents about the strong results when they get clear instructions
from their manager. Around 45% respondents believe that they are clear about their manager’s
instructions and know what they need to do and also, they are clear about what is expected of
them that will boost their productivity and job satisfaction. But only small percentage
respondents give their disagree statement and most of respondents believe this question more or
less. It seems there are lack of effective communication between employees and manager
because using the right words and right tone and also listening is circuital part of commutation.
For information to get through completely, it has to be communicated with the right expression
and in a manner that the receiving party understands.

In this question, we asked respondents about their belief on effective communication channel in
the company helps colleagues boost their productivity. Around 90% respondents believe that
effective communication in the workplace is very important for employees to work efficiently
and be productive. Employees can experience increased morale, productivity, and commitment if
they can communicate up and down a company’s communication chain. However, employers
who spend time and energy to create open commutation lines will quickly create trust among
employees, resulting in productivity, performance and overall morale.

7. Conclusion
Overall, this study attempted to investigate the role of effective communication to boost
workplace productivity. Due to Covid-19, it was tough to gather all the data, but we are do well
to get all relevant information which are related to the topic. All the data that we collected after
the analysis, all the data get to manage to prove the hypothesis true. This attempt strived to
provide organizations and researchers with a pragmatic and also useful tool to evaluate the role
of effective communication free of disrupt issues. Although free of flaws and with many more
questions are no left to answer, this project is the spring board into an area of research that has
the potential to assist organizations in a very literal and measurable way.

As such, researchers, practitioners, and organizational members now have the ability to
conceptualize this identifiable concept of the role of effective communication to further research
and provide a service to the modern organization and its employees’ experiences with workplace
productivity.

Introduction:

We propose to analyze the necessity and implementation of effective communication in the


workplace. Many unwanted consequences of poor communication may arise in the workplace as
a result of communication gap among different levels of employees. Effective communication is
pivotal in boosting productivity because it directly influences the behavior of the staff and their
performance. Inadequate and faulty communication is one of the major concerns in the
workplace. Creating and maintaining a positive work environment is what means effective
workplace communication.

A precise observation of communication related possibilities and problems should be presented


to the different levels of workers in an organization. We propose our paper to be a framework for
the target group and wish that this research will assist them to understand the limitations of
communication gap and utilize the strategies to increase workplace productivity.

Methodology:

We will use few numbers of surveys to conduct the research process. The data for this research
is going to gathered basically through the primary and secondary sources. We will conduct short
interview from few jobholders who are currently working in different companies.

Due to the covid19, we will use mainly online survey recording process and online interview
process to collect their opinion about this topic. We will also go through many articles, literature
and books to make this research process more meaningful and insightful.

We hope to finish our library research and reading by April 16. From than through May 7, we
hope to work on drafting our paper. We are planning to represent a draft to you at the discussion
you have scheduled on May 16 and to submit the final copy on May 20, the date you specified
for submission.
