The assessment tasks for BSBADM504 Plan and implement administrative systems are included in this
Student Assessment Tasks booklet and outlined in the assessment plan below.

To be assessed as competent for this unit, you must complete all of the assessment tasks with satisfactory.

Assessment Task Overview

1. Plan new administrative system Students are required to plan for a new administrative system
through consultation, research and writing a report on
administration system options.

2. Cloud-based data storage Students must implement the new administrative system (cloud-
implementation based data storage) for the case study company and give a
training session on the new system to colleagues.

3. Monitor system usage Students will monitor how well the new administrative system is
being used and make some modifications to improve it.

Assessment Preparation

Task summary
For this assessment task, the student is required to plan for a new administrative system for a case study
company by interviewing the company’s owner and staff, then writing a report for them. They will then be
required to research, and write a report on, administration system options that may benefit the business.

This assessment is to be completed in the simulated work environment in RSB.

Assessment Task 1 Instructions

Carefully read the following:

Accountants Support is a small business that Anna Armstrong began ten years ago. It specialises in
providing accounting document templates for small and medium businesses. These include invoices, order
forms, and accounting spreadsheets.

Anna works with three to six colleagues, working as consultants, on most projects. Each contributes the
required resources and then edits or proofreads each other’s documents.

Currently, Accountants Support has created resources for more than 150 businesses, and the list is
growing. Anna keeps a copy of each resource on her computer’s hard drive, carefully filed so they are easy
to access. Anna distributes these to her colleagues when they need to be written or reviewed as email
attachments, and they pass them to each other in the same way when they need assistance.

Anna has found this shuffling of resources to be time consuming and inefficient. She feels that they are
safe on her hard drive, and she backs them up regularly. But with over 2,000 documents, it is getting
unwieldly, and colleagues have suggested to Anna that she look for a solution to her administration
problems.

You have recently been hired as Accountants Support’s Administration Manager, a position that did not
exist previously. One of your first jobs will be to determine whether there is a solution to the company’s
resources issues.

Complete the following activities:


1. Meet with stakeholders.
This first activity requires you to meet with Anna Armstrong (your assessor) and at least two of
the consultants she employs.
The objective of this meeting is for you to find out all that you need to know about the company’s
administration needs.
Your assessor will give you the place, date and time of your
meeting. During the meeting, you will be required to do the following:

 Determine the company’s current administration resources


 Identify what the budget will be for the change over to the new system
 Identify and discuss the company’s future administration needs
 Determine what improvements need to be made to business operations
 Discuss implementation strategies with the other meeting attendees. It will be important
that all users of any new system are introduced to it in the most effective way, so discuss
with them what the most effective way to do this would be.
Discuss the company’s future needs with Anna, making suggestions and discussing the options.
You will be writing a report on this following the meeting, so review the next activity before
attending the meeting so you are aware of what your report will need to cover. This exchange
gives you the opportunity to discuss some of your ideas with your employer before you begin the
report.

Use a standard system to assess how your business is doing. Measure your small business KPIs with the same
methods each time. Look for patterns in your data. Use the patterns to make smart decisions for your business
operations.

Good and improved inspiration techniques for employees

Employees are the eyes and ears of your business operations. If there are weak spots in your system, its likely
employees know about them. It’s also likely they want a better process for completing tasks. But when your staff
thinks you’re a “my way or the highway” leader, they usually aren’t motivated to come up with solutions.

It’s hard not to get caught up in the daily hustle of running a business. But if you forget to stop and look at your
business operations, you’ll never know if they’re effective. Take a step back to review your business plan and

Introduction
Accountants Support (AS) needs to update/upgrade their administrative procedures specially to update the storage
filing access system for their documents. The way the system is at present it is not efficient and time wasting and
frustrating for everyone. Anna the boss wants to change to a better more efficient system and has asked to produce
a report to look into this.
This is first report about the Administration needs of the business. This report will provide the basis to look at best
solution to Accountants Support issues.

 Determine the company’s current administration resources;

 At the offices, there are Macs available


 At the moment, 2300 documents and takes up 2GB of hard drive, store then on the hard drive
 All staff use Apple computers with Windows Office programs, usually Word and Excel, but PowerPoint files
are also developed when necessary.
 All 6 consultants use Mac Book Airs with 1.8 GHz processors and 8 GB of memory
 Anna and office 2 x iMacs with 2.3GHz processors and 1TB of memory

 Identify what the budget will be for the change over to the new system;

 The budget will be used for upgrading computer memory (RAM) up to minimum 4GB in every computer,
installing cloud storage, installing latest processors, introducing new accounting software and training
program for the staff.
 A budget of $9000 has been approved by Anna Armstrong.

 Identify and discuss the company’s future administration needs;

 The company needs to have cloud storage rather than using the hard drive storage. The cloud data could be
accessed by the company’s employees from anytime and anywhere which helps in time-saving for data
transfer. Email data transfer could be corrupted or hacked by the third party. So, the company needs to use
cloud storage for its administrative work for the security and convenience.
 The company needs to hire expert professionals
 Employ new executive and personal assistants

 Using cloud storage with more storage capacity and providing adequate training to users
(employees) to gain skill in handling the latest computing software could help improve on

Probably the best scenario for the use of a cloud is a test and development environment. This entails
securing a budget, setting up your environment through physical assets, significant manpower and time.
Then comes the installation and configuration of your platform. All this can often extend the time it takes
for a project to be completed and stretch your milestones.

 Cloud storage
Cloud can offer you the possibility of storing your files and accessing, storing, and retrieving them from
any web-enabled interface. The web services interfaces are usually simple. At any time and place, you
have high availability, speed, scalability, and security for your environment. In this scenario,
organizations are only paying for the amount of cloud storage they are actually consuming, and do so
without the worries of overseeing the daily maintenance of the storage infrastructure.

There is also the possibility to store the data either on- or off-premises depending on the regulatory
compliance requirements. Data is stored in virtualized pools of storage hosted by a third party based on
the customer specification requirements.
 Disaster recovery
Yet another benefit derived from using cloud is the cost-effectiveness of a disaster recovery (DR)
solution that provides for faster recovery from a mesh of different physical locations at a much lower
cost that the traditional DR site with fixed assets, rigid procedures and a much higher cost.

 Data backup
Backing up data has always been a complex and time-consuming operation. This included maintaining
a set of tapes or drives, manually collecting them, and dispatching them to a backup facility with all the
inherent problems that might happen in between the originating and the backup site. This way of
ensuring a backup is performed is not immune to problems (such as running out of backup media), and
there is also the time it takes to load the backup devices for a restore operation, which takes time and is
prone to malfunctions and human errors.

Cloud-based backup, while not being the panacea, is certainly a far cry from what it used to be. You
can now automatically dispatch data to any location across the wire with the assurance that neither
security, availability nor capacity is issues.

resource planning (ERP) are also based on a cloud service provider. Software as a Service (SAAS) has
become a popular method for deploying enterprise level software.

The internet of things is also one of the leading Technology is it comes with continuous innovation in
real time Data Analytics and cloud computing. There are many machine-to-machine communication,
data, and process occurring. We can do it easily with the help of cloud computing.

 Enhanced Performance of Internet


With the help of the Internet of Things, the quality of the internet can be increased. With the help of the
IoT and Cloud computing, we can store data in the cloud, for further analyze & provide enhanced
performance. The users expect high-quality fast-loading services and application. The network
provided will be faster and the ability to receive and deliver that data will be quick.

 Implementation strategies.

First of all, the company needs to be introduced to the cloud storage facility with the capacity of storing
more data. Storing data on cloud is more secure and easily accessible for the employees. It is also easy
and efficient for the company to communicate the data to clients. Secondly, the current computing
resources of the company are also inadequate and inefficient, so increasing the RAM size and latest
computer processors could be beneficial. Furthermore, the new software that could handle more numbers
of users than the existing one needs to be developed to cope up with the increased business operations
and more employees. Finally, every users of the company needs to be informed about the changes in the
computer’s software and hardware. This could be done by individual or group discussion, training and
regular feedback from staff. The software developers should make the necessary changes to the
accounting software on the basis of those feedbacks and changes in the technologies.

like Enterprise resource planning (ERP). This is an efficient business process management
software that provides one central repository for all information thus improve the flow of data
across the business.
In order to be visible in the competitive market, we need to put the required process in place to
familiarize the entire team with ERP system and develop custom report cards. Making sure data
is being collected and managed in the central data management system will be a priority for us in
the next three years. For our payroll and accounting clients, we shall be switching to MYOB
Essentials as it has plenty of reports in the application, ready to go including the essential GST
report for completing your BAS as well as Profit and Loss. This is the best feature of MYOB
Essentials to be able to attach documents relating to certain reports in the accounting system for
detailed information by using the export functions. Both the computing systems are cloud based,
thus all the data shall be stored online and making it easy to access from any location and any
device. This will further enhance the performance and efficiency by saving time and better
results. Also, this shall eliminate the risk of losing data.

An extensive Training calendar has been designed to ensure the staff the well equipped with the

Fundamentals of cloud-based data storage

The cloud storage is a storage space available to store data on remote servers which can be accessed from the
cloud (or the internet). The data is managed, maintained and backed up remotely, for which the users generally pay
a monthly or per consumption rate.

Cloud storage uses data centers with massive computer servers that physically store the data and make it available
online to users via web. Users can remotely upload their content, store them and retrieve the data as and when
required. With the introduction of cloud, now you don’t need to purchase servers, external hard drives and memory
sticks to carry your data from one place to another.

Working of cloud storage:

Cloud storage involves at least one data server that a user connects to via the internet. The user sends files
manually or in an automated fashion over the Internet to the data server which forwards the information to
multiple servers. The stored data is then accessible through a web-based interface.

Cloud storage systems involve vast numbers of data servers to ensure their availability. That way, if one
server requires maintenance or fails, the user can rest assured that the data has been replicated elsewhere
to ensure availability. For example, the Amazon AWS Cloud spans 55 availability zones in 18 geographic
regions at the present time.

While the data in a public cloud is replicated in different physical locations for fault tolerance and disaster
recovery purposes, the primary or local location tends to be nearer physically to the company's facility using
it so the data can be processed faster and at lower costs then, say choosing a primary location halfway
around the globe.

Secure: You have physical security – The data centers are equipped with walls, cameras, security personnel,

 Security: Although cloud service providers implement the best security standards to store important
information. But, before adopting cloud technology, you should be aware that you will be sending all your
organization's sensitive information to a third party, i.e., a cloud computing service provider. While sending
the data on the cloud, there may be a chance that your organization's information is hacked by Hackers.

 Cloud credentials: The basic value proposition of the cloud is that it offers near-unlimited storage for
everyone. This means that even an enterprise’s data is usually stored along with other customers’ data,
leading to potential data breaches via third parties

 Data leakage: Most of the businesses that have held back from adopting the cloud have done so in the fear
of having their data leaked. This feat stems from the fact that the cloud is a multi-user environment, wherein
all the resources are shared. It is also a third-party service, which means that data is potentially at risk of
being viewed or mishandled by the provider

to comply with the Information Privacy Principles (IPPs) or, for health agencies, the National Privacy
Principles (NPPs), the contracted service provider principles in part 4 and the rules about transferring
personal information out of Australia in section 33.
• Transfer out of Australia rules: The IP Act only permits personal information to be sent out of Australia in
the circumstances set out in section 33. Businesses are responsible for checking where a cloud
provider operates from, even when dealing with an Australian company. If the provider, or the hardware
used by that provider, is not located in Australia, entities will need to ensure they comply with section 33
for any personal information sent to the cloud.
• Protection and security (IPP 4, NPP 4): businesses are required to ensure that personal information is
properly protected against loss and unauthorised access, use and disclosure. This refer to the level of
security to be considered and whether the information complies with the privacy principles.

Cost-benefit analysis
Cost-benefit analysis is used to measure the benefits of a decision or taking action after deducting
the costs associated with taking that action. The process involves measurable financial metrics such as
revenue earned or costs saved as a result of the decision to pursue a project. In order to perform a cost-benefit

MYOB Essentials shall be a great option for businesses who needed accounting software. It has been around
for decades and enjoys a great global reputation. There are plenty of reports in the application, ready to go
including the essential GST report for completing your BAS as well as Profit and Loss. This is the best feature
of MYOB Essentials to be able to attach documents relating to certain reports in the accounting system for
detailed information by using the export functions. Unfortunately, MYOB Essentials doesn’t provide a sample
company data to play with or test the technical features to practice. The only way to use the free trial is to enter
your own data into the application which is indeed a time-consuming task.

Recommendation
Enterprise resource planning would be the best suitable cloud based system for Accountants Support as it is a
small business. However, it will not only resolve the issue of data storage but also help the business improve
efficiency by collecting and managing the entire data at one place. Currently a significant amount of Anna’s
time is consumed in storage of these documents on her system and the system being a technical device can
crash anytime. This further puts the entire work till date at risk, which will be resolved by the use of ERP.
Essentially, it will allow Anna and other Consultants to focus on other projects and increase productivity.

Business case
We currently have lot of data issues. The most critical one’s is, every day, we seem to gather and then retain
more and more data. Due to our growth in business, our internal, transactional data volumes and needs are
growing. We are now adding massive amounts of external data, invoicing data, data from small business, data
from our suppliers, business data relating to medium business, to our existing data volumes. With this
increasing data load, we need to make the case for a pretty constant stream of data storage and
backup enhancements and new procedures.

It is more of a challenge when we dealing with "IT plumbing" like storage and backup with more crucial
benefits. So, we can reflect back on Accounting support business case successes and failures. From this, we
can recognize three successful practices.

First, focus the business case on what really adds value. But, when it comes to data, what is valuable? And,
just because data is available, does that mean we need it or will use it? To get started, we can two of the
below value-based critical questions:

• What decisions would you like to make?


• What data do you need in order to make those decisions?

If we are capturing data that does not map to making those decisions, we don't need it. Having some value-

my time which can be spent on process improvements and other meeting with clients. No matter what, but we
cannot assume on-premise, self-managed is the most responsible, credible thing to do. At a minimum, taking an
honest look at the alternatives will give this business case analysis an element of validity.

The nature of data and data management is changing as volumes increase and technologies iterate. But, we
can still make attempts to safeguard and store data more efficiently, with this value-based business case by
applying some recommendations on how to manage the data after looking at various cloud based storage
systems.

information at any given time. Most systems store the same data on servers that use different power

• pCloud offers no limit in terms of file size, making it ideal for storing large media files, although
there are some limits when it comes to bandwidth. The service covers all desktop and mobile
platforms, with a web-based login also available. You have of the option of forking out
additional money, on a monthly/annual/lifetime basis, for pCloud Crypto feature to encrypt
individual files.
• As a Microsoft platform, OneDrive is easily available and can easily boost productivity. You can

sharing, it’s a little surprising that Dropbox is so stingy with the data. The free service only
gives users 2GB, and while there’s a way to get more data (such as referring friends to
Dropbox, for an additional 500MB per
referral, or being an active contributor on the forum), this data allowance is still well behind par in
comparison to other options. Certainly, if you use Dropbox for its photo backup features, or similarly
rich media, you’re going to hit that limit in no time, and the paid plans are similarly inefficient for what
you get.

1. The Privacy Act 1988 (Privacy Act) regulates the handling of personal information by
businesses with an annual turnover of more than $3 million, and certain smaller businesses.
We are subject to the obligations set out in the ‘Australian Privacy Principles’ or ‘APPs’. Our

accountable for unauthorised or inadvertent data security breaches that may occur offshore (APP 8)
• Cloud providers must give an individual access to personal data held about them upon
request – and take reasonable steps correct any personal data if required (APP 10, APP 12,
APP 13)
• Cloud providers must take reasonable steps to secure personal data from misuse,
interference or loss and from unauthorised access, modification or disclosure (APP 11)
• Cloud providers must take reasonable steps to delete or de-identify personal information that
is no longer needed for the purpose for which it was collected (APP 11). Remember that the
Privacy Act may apply
2. Australian Consumer Law Small business consumers of the cloud remain protected by the
overarching consumer protection framework that applies to all goods and services in
Australia – the Australian Consumer Law (ACL). The ACL is technology neutral and provides
protection against
• False or misleading representations
• Unconscionable conduct
• Product guarantees.
• If a cloud service provider claims that a certain level of protection will apply to your data,
and fails to live up to its promise, it might be in breach of the ACL.
Cost-benefit analysis
Since cloud computing uses on-demand pricing, it is important to calculate the cost of maintaining IT
infrastructure in house.
• It is important to understand the contribution of IT infrastructure costs to the monthly rental
structure in an organization. Hence, amortization parameter is calculated for servers and
other facilities so that
fair attribution of costs for various IT resources (hardware/software) can be brought about. This
parameter is required to calculate the monthly depreciation cost (amortization cost) of each
infrastructure item being considered.

Risks
• Consumers Have Reduced Visibility and Control. When transitioning assets/operations to
the cloud, we might lose some visibility and control over those assets/operations. When using
external cloud services, the responsibility for some of the policies and infrastructure moves to
the CSP.
• On-Demand Self Service Simplifies Unauthorized Use. Due to the lower costs and ease of
implementing cloud storage system, the probability of unauthorized use of cloud services
increases. However, services provisioned or used without IT's knowledge present risks to an
organization. The use
of unauthorized cloud services could result in an increase in malware infections or data exfiltration since
the organization is unable to protect resources it does not know about. The use of unauthorized cloud
services also decreases an organization's visibility and control of its network and data.
• Increased Complexity Strains IT Staf. Migrating to the cloud can introduce complexity into
IT operations. Managing, integrating, and operating in the cloud may require that the agency's
existing IT
staff learn a new model. IT staff must have the capacity and skill level to manage, integrate, and
maintain the migration of assets and data to the cloud in addition to their current responsibilities
for on-premises IT.

Other than being readily available to our system, OneDrive for business is quite affordable hence reducing
the cost of implementation. The real power behind OneDrive for Business is that it gives employees a
place to store files and work on documents that is accessible from anywhere. People can generate
documents within their OneDrive space or upload documents and files and have a multitude of tools at their
disposal to organize their personal content.
One of the biggest advantages for OneDrive for Business is that it empowers users to easily

our annual IT budget, savings that can either be returned to the firm or reinvested in growth and
innovation. This cloud run-rate economic advantage comes from two primary cost drivers: higher
utilization rates as a result of a significant drop in “capacity hoarding” and lower unit costs from the
increased scale, newer technologies, best practices, and improved operational efficiency of the

in your report. You are now required to write a plan for introducing the option into Accountants

It is important that the plan ensures that staff are given the opportunity to participate in all stages

Your plan should be about one-page long.

To correctly budget prior to implementation or before a full migration, the hosting provider of
ERP needs to be contacted to get an accurate quote. In order to do that knowing exactly the
amount of data currently needs to be migrated and by when is necessary. Also, the technical
requirements for the setup of this environment so it’s best to include some additional cost for
the initial setup in the budgeting process as well. Knowing the monthly costs, after the larger
initial setup costs, helps to budget. It also helps to free up additional capital for hardware
upgrades as needed and product development.

hour break and another hour for one on one training. The cost for all seven hours
became 110AUD.

implemented. Your report should include the following:
 An analysis of the staff responses, identifying any issues that they have had with
the system. Any issues highlighted by staff should be treated as contingencies that

 Solutions for any contingencies that have arisen. Note that these contingencies

Staff 1 Google Drive also gives you the ability to convert image files such as JPEG,
PNG, and GIFs, as well as PDFs, into editable documents.

Staff 2 This is exactly what I was looking for. Working with lots of file has become
easy for me.

Staff 3 I want to understand about the auto sign off when I am no longer using it to
ensure its safe, if in case I lost my device or forget to sign off.

Staff 4 It’s easy to save and reach the required data. Sharing data with another
employee is also comfortable. I did not have to download and save it.

Staff 5 Send Large Files to Family, Friends or Co-Workers If you happen to use
Gmail, also using Google Drive will allow you to send large files to your
contacts directly from your email account.

Staff 6 Sharing data with another employee is also easy. I did not have to download
and upload separately to communicate the data.

Analysis of the problem:

Backup and Sync stopped working- Remove from the folder on your computer and restart Backup
and Sync. Some files can't be synced: Manually sync files. Syncing is stuck

Analysis of the problem:


We have got most of positive response from the staff for using this cloud storage. However, there
are few responses that need a quick attention to fix it. Some staff doesn’t understand few basic
features of this application. Also, there is confusion on using this storage as it is completely new to
them. There is also confusion on how to enter the file and naming them uniquely.

Solution to the problem:


There are many YouTube videos available to understand the use of Google drive. Google itself has
created the official videos on its uses and function. If some, features are confused or forgotten; staff
can get help from those videos. However, we are very happy to help the staff individually to
understand.

Anna should have access to the main data base as she is the boss of the company. She can modify
or delete the data or file entered by the employee if it’s inappropriate. And there is need of antivirus
software that checks every data before its entered so the server and downloader both are safe.

Communicating Solutions:
Staff requires training from expert professionals for using Google drive. We can conduct seminars
and online workshops for the staff in near future for their training

System Usage Report

Analysis of the staff responses


Though the team appears to quite satisfied with the performance of the new cloud
based storage system . i.e. Dropbox., few of the team member has asked on
mentioned about being unable to and share files stored on the cloud remotely. Also,
slow device performance has been observed by the staff.

Solutions for any issues


A follow up detailed training module to be prepared to educate the team about the step-
by-step process to share files remotely. Also, the staff should be given sufficient time to
practice the process to get hands-on in the presence of the trainer.
In order to combat the system speed issue due to usage of Dropbox, the IT technician
should be consulted to investigate the RAM present on the system and upgrade if
required. Few simple actions like clearing the browsing history, cache, deleting
unnecessary downloaded files and emptying recycle bin can help elevate the speed of
the system. The team shall be given a one page leaflet to be able to perform this self-
help step.

Communicating solutions
A further training session is scheduled to be held next week, Tuesday 19th November
2019. Prior to this a discussion forum of 15 minutes is to held to communicate the
staff concerns and feedbacks about the new cloud based system. A weekly 10 minute
huddle will be on every Friday at 5:20 p.m. to address any concerns related to
Dropbox to review the performance on regular basis.

Staff 2 Send Large Files to Family, Friends or Co-Workers If you happen to use
Gmail, also using Google Drive will allow you to send large files to your
contacts directly from your email account.
Staff 3 I want to understand about the auto sign off when I am no longer using it to
ensure its safe, if in case I lost my device or forget to sign off.
Staff 4 Google Drive has its very own built-in search engine, which allows you to

keyword. It also allows you to search by owner.
Staff 5 This is exactly what I was looking for. Working with lots of file has become
easy for me.

Staff 6 Google Drive allows you to open anything from Adobe Suite files to spread
sheets and Microsoft Word documents.

Analysis of the problem:

Backup and Sync stopped working- Remove from the folder on your computer and restart Backup and Sync. Some
files can't be synced: Manually sync files. Syncing is stuck

Solution to the problem:

Click the Start button in Windows.


Find the program called "Google Drive File Stream" or "Drive File Stream".
Click the program.
Wait for 20 seconds Google Drive File Stream will reload and you should regain access to your files.

Staff 1 Google Drive is a better storage alternative than an external hard drive or USB
stick because it can both begin to malfunction or become corrupted over time,
meaning that you’ can lose your precious files forever. Not with Google Drive,
though.

Staff 2 Every staff is entering the data into the Google drive storage. Improper file
naming made the staff confused with to get the right file.
Staff 3 Should you need to access any files while on the go, you can download the
Google Drive app to your smartphone. You can use this if you need to give a
presentation or show proof of purchase.

Staff 4 My device is infected with virus. I am scared to use the cloud data storage as I
don’t want to transfer virus into it and affect whole data.
Staff 5 Google Drive’s optical character recognition technology is capable of scanning
through documents saved by other users and finding the word (or name) that
you searched for. It can also be helpful if you’re conducting research on a
historical topic.
Staff 6 I have been using different cloud storage in previous work place. So, I find it
confusing with the same terminologies used for different purposes.

Analysis of the problem:


We have got most of positive response from the staff for using this cloud storage. However, there are few
responses that need a quick attention to fix it. Some staff doesn’t understand few basic features of this
application. Also, there is confusion on using this storage as it is completely new to them. There is also
confusion on how to enter the file and naming them uniquely.

1. Wait and try opening your files again later
Wait a few moments: If you see a “Temporary Error (502)” message when you try to open files in Drive, it means
that your documents are temporarily unavailable. This issue is usually temporary, so wait a bit and try to open them
again.
Check the G Suite Status Dashboard: If there's a known outage for Drive or Google servers, it will appear the G
Suite Status Dashboard as a red dot next to the product. Click the dot for details about what’s wrong.
2. Try basic troubleshooting
Step 1: Check your Internet connection

Step 3: Clear your browser cache
Step 4: Reduce the size of your file
Step 5: Turn Offline Access on and off

used by the company when they require both private and public clouds both.

Community Cloud: This model is quite expensive and is used when the organizations having common goals and
requirements, and are ready to share the benefits of the cloud service.

4. In cloud what are the optimizing strategies?

To overcome the maintenance cost and to optimize the resources, there is a concept of three data center in cloud
which provides recovery and back-up in case of disaster or system failure and keeps all the data safe and intact.

5. Where Is Our Data Stored?


You want to make sure that your data is being held in an up-to-date data center. This will help insure both reliability
and performance as you access services.

It’s a bonus when the provider has a fall-back data center or two. That way, if there’s a problem at the primary data
center (i.e. earthquake, flood, power loss); your services will fail over to a secondary data center with little to no
interruption on your end.
