GOVERNORS LETTINGS POLICY

THE SCHOOL MISSION STATEMENT

St Edmund’s Catholic School supports the government agenda in promoting fundamental British values
and acknowledges the links between safeguarding requirements, culture and law. Appreciation of this by
all parties in using our facilities is essential in upholding the good name of the school and in particular the
rule of law.

1. The letting of any part of the school buildings or site will be decided and managed by the School,
subject to the Lettings Policy approved by the Governors.

2. The curricular and extra-curricular requirements of the school will take absolute priority over all
requests for lettings.

3. The Governors reserve the right to refuse Lettings and all Lettings are subject to the Conditions of
Hire.

4. Lettings involving the sale and consumption of alcohol, or involving a public entertainments licence,
other than properly licensed PTFA or private school functions, are not permitted.

5. In considering applications for lettings considerations will be viewed to the need to keep the site and
buildings secure, to Health and Safety requirements and to proper insurance cover.

6. All hirers must ensure suitably qualified staff are present for physical or specialist activities and for
supervision of all activities.

7. Hire fees for different facilities will be agreed by the Governors annually before the start of each
financial year.

8. Fees will be fixed to ensure that all costs including depreciation of buildings and equipment are
considered.

9. Invoices will be raised on a monthly basis for long term contracts and immediately for one off
lettings. Invoices are to be paid within 28 days.

10. The Governors or the Head Teacher have the right to waive fees fully or in part.

REVIEW

This Policy will be kept under review by the Governing Body. The last review was in Feb 2021.

LETTING CHARGES AS FROM 1ST SEPTEMBER 2021

CONDITIONS OF HIRE

Hire of the School Premises and Facilities is conditional upon the hirer accepting that the Governors are not
to be held liable for injury, accident or loss sustained by any person using said premises and facilities,
through failure to adhere to the requirement of the Hire agreement.

All Hirers must have appropriate insurance and must produce a copy of their insurance certificate when
making their first booking of each year.

The rules displayed, relating to the use of the facility, must be strictly observed and the hirer will be
responsible for ensuring this and for all necessary supervision of members.

The hirer is responsible for ensuring that there is a designated person holding a recognised and
appropriate first aid qualification present during the whole period of the hire. This person will be
responsible for taking appropriate action in the event of an emergency. It is also the responsibility of the
hirer to ensure that all DBS checks have been carried out on all adults working with children.

Where the facility being hired is the swimming pool, in addition to the above, the hirer is responsible for
ensuring that a properly qualified lifeguard is present the whole time that there are people in the water.

The hirer is responsible for ensuring that all equipment used is put away and that litter etc is placed in the
bins provided. Any breakages, incidents or complaints should, in the first instance, be reported to the duty
caretaker.

Fees are payable on invoice, cheques being made payable to Portsmouth City Council.

All charges are VAT exempt. VAT will be applied, if food is being consumed during the hire (i.e. a party) or the IT
suite is being hired for computer lessons (i.e. using the computers). Regular bookings, of 10 sessions or more, will be
given priority.
