1. Purpose
The relocation of employees from one location/project to another is necessary for
the organizational needs such as: meeting organizational requirements as
envisaged in the manpower plan, optimizing appropriate placements, meeting the
needs at a particular location/project requiring specialized knowledge/experience,
and administration considerations.

2. Policy
Employee relocation is defined as changing and transferring positions, projects,
departments, job change, or demotion. A change in job title, reporting structure,
change in responsibilities, or any other modification to a current position, is not
considered a relocation. The Human Resources department has the right to
approve or disapprove employee’s movement to or from different projects, to
different shifts or locations, temporarily or permanently, as per business
requirements and special needs.

3. Applicability
This policy applies to our full-time and part-time employees (both permanent and
temporary).
This policy is applicable only for Lateral Relocation.

4. Definitions

Relocation: The process of transferring the employee to another project or


department.
Daleel System: The HRMS system that is being used by First Fix for HR related
matters.
Employee relocation form: The form that must be used to raise a relocation
Request in Daleel system.
Lateral Employee relocation: A lateral transfer is a move to a position with the
Same or similar job title in the same pay grade.

5. Procedures:

- Employee’s relocation request must be raised by the relocated employee


supervisor or the project manager to Operations Manager.
- Operations Manager will notify other project managers, to identify the proper
relocation project.
- Relocation request will be raised by operations department. Relocation form
will be filled with all related information on Daleel, information may include
(Emp. No, name, project, new project and etc.…).
- After submitting the request, it will be transferred to Human Resources
department to get the approval.

- Relocation requester will be notified by Daleel if the request has been


approved or declined.

- In case of approval, relocation is going to take place and HR department will


continue with the arrangements.

- Joining dates and last working dates should be aligned between operations
department and project managers.

- After getting the HR approval on relocation, relocation process should be


affected in a specific time slot as the following:

A. If the relocation distance is less than 350 Km, then relocation should
be affected in no more than 3 working days to set up the logistics and
accommodation related matters.
B. If the relocation distance lies within or exceeds 350 Km, then
relocation should be affected in no more than 5 working days to set up
the logistics and accommodation related matters.

6. LIMITATIONS / APPROVALS / RESPONSIBILITIES / ETC

- Employee relocation request can be done individually per employee on


Daleel System or as a batch of employees. Batch relocation request can be
used only when the second project is identical for everyone.

- Employee relocation request will need the Human Resources Manager


Approval and the second project manager’s approval.

- All relocation requests have to follow the procedure mentioned previously.

- All relocation requests have to be carried on through Daleel System, other


forms of requests will be accepted only if an exception exists.

- Exception: In some cases employees get relocated before aligning or getting


HR approval, due to severe urgency and manpower needs in some projects.
- In case of exception, HR department should be immediately notified about
the relocation in no more than 24 hours to proceed with the rest of the
requirements.
