1. What is Sodexo Multi-Benefit Pass?

Sodexo Multi-Benefit Pass (Sodexo Pass) supports all employee benefits in one card that comes with a 3-year validity.
Employees will be able to see 2 cards:
● One card is for Meal Benefits which can be swiped at Sodexo affiliated meal outlets across India for the purchase of food
and non-alcoholic beverages only.
● The other card is for Non-Meal Benefits like Gift, Communication, Health & Wellness and Learning & Development.

The Multi-Benefit Pass can be virtually activated by the employee. The card will be loaded on the last working day of the month
and can then be instantly used to make payments online.

Due to the current remote working arrangement the physical card will be delivered to the
employees at a later stage.

TWI currently is opting for Virtual cards.

2. How is the virtual card different from the physical card?

There is no major differences between the two. Currently, we are facilitating virtual activation of cards. The physical card will be
delivered later. Further details will be communicated to you through your HR team or Sodexo.

3. What benefits am I eligible for through this card?

The Sodexo Pass will support the below benefits and values.

4. When will my card be loaded with the monthly value?

The amount for the allowances (Meal, Gift and Communication) will reflect on your card along with salary pay day every month.
Reimbursement benefits (L&D and H&W) need to be claimed on Sodexo portal/app

5. How will I receive my card details along with the steps to activate my card?

You would have received a Welcome Email/ SMS containing details of your Sodexo Pass. The card must be activated online before
usage. Activate your card online by following the 2-minute card activation process:
● Visit the card activation portal https://activation.sodexobrs.com
● Enter your registered email address/ mobile number (the one on which you will receive welcome Email/ SMS)
● Enter the 12-digit card reference number (mentioned in your Welcome Email/ SMS)
● Click on ‘Get Activation Code
● Provide KYC information*
● Enter activation code (received on Email/ SMS)
● Complete OTP-based mobile number verification
● Click on ‘Activate Card’
Once you have activated your Card, download the Sodexo-Zeta App to view your card details.
*Officially Valid Documents accepted for completing minimum KYC is PAN Card, Driving License, Voter’s ID or Passport.
Please add a note on how & when the New Hires will receive their card details and welcome mail. And also for their benefit add a
workflow

6. What are the advantages of using this card?

The Sodexo Pass is a 100% digital employee benefits solution. Users of this card can enjoy the following benefits:
● Save taxes on the amount loaded on your card, over and above sec 80C and sec 80D
● One card for all your benefits. No need to carry different cards for different benefits
● 100% Paperless reimbursement claims! Simply upload a picture of the bill through your app to raise a reimbursement
claim. No more tedious tasks of collating and submitting paper bills
● Feature rich mobile app to manage benefits & claims on-the-go. Enjoy features like: Generate dynamic PIN, Change static
PIN, View balance and much more.
● Exclusive offers across multiple categories and brands

7. How do I use this card?


● Meal Benefits: Enjoy your meal benefits at Sodexo affiliated merchants to complete payments via QR codes payments
or Online food delivery portals. Add a note on how to use the virtual cards in pandemic situation.
● Non-Meal Benefits: Enjoy below benefits at RuPay accepting outlets/online portals to complete payments for your Non-
Meal benefits:
i. Gift Allowance: Money in your Gift Wallet can be used for the purchase of items across all Rupay enabled merchants.
ii. Communication Allowance: Money in your Communication Wallet account can only be used for your payments
towards Mobile/ Broadband/ Landline connections. Please refer to your company policy on more details
iii. Health & Wellness: Expenses towards Health & Wellness and preventive health checks can be reimbursed on Sodexo
portal/app for up to INR 11,000 pa. Pls refer to your company policy on more details
iv. Learning & Development: Expenses towards professional development & technical books/journal etc. can be
reimbursed on Sodexo portal/app for up to INR 18,000 pa. Please refer to your company policy on more details

Sodexo systems will automatically recognize the type of merchant you are making a payment towards and money will be deducted
from the corresponding benefit wallet (Meal, Gift, Communication)
8. Can I use this card online?

The Sodexo Pass can be used on portals accepting RuPay. Please use the card details printed on the ‘Multi-Benefit’ section of the
card. Please use the ‘Debit/Prepaid’ Card option under payment method at the time of checkout.

9. How can I access my card details for online payments?


Once you have activated the card online, download the Sodexo-Zeta App from Playstore or iOS
App Store
▪ Enter the registered Email ID / mobile number which was used during activation
▪ Enter the OTP received
▪ Create password
▪ Enter your app PIN
▪ Registration successful, your Sodexo Pass will be auto-linked
You can now access your card details including CVV, expiry date etc. by tapping on the card on the
Sodexo-Zeta App under the Home Screen. Simply use these details to order online. The PIN required
for online payments can be generated every 2 minutes on the Sodexo-Zeta App.

10. How can I manage the card using Sodexo-Zeta App?


1. You will see 2 cards on your Sodexo-Zeta app – Meal Card and Multi-Benefit Card. You will
find your non-meal benefit accounts (like Gift, Communication, Health & Wellness, Learning
& Development) right beneath the Multi benefit Card on the app.

You can enjoy the following benefits on the app:


● Card Auto-Link – Your card will be automatically linked to the app when you log-in
● Freedom from bill storage - Upload your reimbursement bills on-the-go
● Track spends - Real-time in-app notifications on spends and credits
● Access transaction history - Access transaction history anytime
● Exclusive offers and discounts - Avail exclusive offers and discounts
● Multiple Payment methods – Make QR code payments or save your card details on online portals to complete
transactions or Enter Merchant code on Sodexo-Zeta App to complete transaction
● Block and unblock card - Cards can be blocked or unblocked as per your needs
● Reset Card PIN - You can reset your card PIN through the app. Also, if you don’t want to remember the card PIN, you
have the SuperPIN to your rescue. The SuperPIN is a dynamic PIN that is generated every two minutes on your app
11. How do I submit a bill for Non-meal benefits (Learning & Development and Health & Wellness)?

You can upload your bills on the Sodexo-Zeta app by following these simple steps:
● Swipe horizontally on the Sodexo-Zeta app home screen to find the Multi-Benefits card
● Find your benefit accounts located at the bottom of the screen
● Swipe up to find the required benefit wallet and click on it (E.g.: if you want to raise a claim for Learning & Development,
please click on Learning & Development benefit wallet)
● Click ‘Upload Bills’ from the menu and upload required bills along with the necessary details

● Billing Cycle for Reimbursement:

Bills uploaded between 1st to 15th of the month - Reimbursement will be done by the last business day of that month.

Bills uploaded between 15th to 30th/31st of the month - Reimbursement will be done by 15th of the following month.

Please note, if bills uploaded through mobile app do not accept pdf files. You can take a screenshot of the bill and then upload.

12.Are there any limits to the amount that can be loaded on the Sodexo Meal Pass?

The balance limit on Sodexo Pass follows RBI Guidelines which defines rules basis KYC-status of cardholders. At the time of
activating the card Sodexo obtains user KYC details. Users have an option to either provide minimum details (mandatory) or
complete full KYC (recommended). Users who provide minimum details have the option of completing full KYC at any point in
time by completing simple steps on Sodexo’s KYC Portal.
Balance Limit for Minimum KYC:
● The total balance on card at any given point cannot exceed ₹10,000
● Monthly loads and spends on card cannot exceed ₹10,000

● Annual load limit of ₹1,20,000

Balance Limit for Full KYC:


● Once the user completes full KYC, the card can have a balance of up to ₹1,00,000* at any point in time
Note: These limits are prescribed by RBI and are subject to changes as and when mandated by RBI.

13. Where can I find the Card Reference Number?

The Card Reference Number is part of the Welcome Email sent to your registered email id (TW official id).

14. Is my card secured by a transaction PIN?

Yes, the Sodexo Multi-Benefit card is a PIN-based card. At the time of making a purchase, the cardholder can complete the
transaction by either using the card PIN (that is received as part of card welcome kit) or by using the SuperPIN that can be
generated on the Sodexo-Zeta app. This SuperPIN is dynamic and is refreshed every two minutes.

15. Will I receive SMS alerts for my purchase and load transactions?

Yes, you will receive SMS alerts from Sodexo for your purchase and load transactions on your registered mobile number.

16.When will I receive the physical card?

You will receive a communication regarding card delivery either from Sodexo or from your HR team.

17. Can I withdraw cash using my card?

Cash withdrawal is not possible.


18. How do I change the card PIN?

You can change the card PIN via the Sodexo-Zeta app available on your smartphone. Alternatively, you can dial 1800 267 3030/
1800 103 3030 and follow the IVR steps.

19. What do I do if I forget the card PIN?

You can generate a new card PIN using the Sodexo-Zeta app on your smartphone or by simply using the dynamic SuperPIN to
make transactions.

20. How do I check the balance on my card?

Every time you make a purchase, you will receive an email/SMS notification stating the updated card balance. You can also view
card balance on the Sodexo-Zeta app.

21. What should I do if my card is lost or stolen (applicable in case of physical card)?

On loss of the card, it is recommended that you block the card immediately. You can use the Sodexo-Zeta app to temporarily block
your card:
● Go to ‘Settings’, click on your ‘Sodexo Meal Pass’
● Turn on the ‘Block temporarily’.
● Repeat the steps for ‘Sodexo Multi-Benefit Pass’

To permanently block your card please dial 1800 267 3030/ 1800 103 3030 and follow the IVR steps. After blocking the card,
please place a request with our customer care team for card replacement.

22. Can I add an outlet of my choice in Sodexo’s Meal network?

Kindly share the details of your favourite food outlets at http://sodexo.live/suggest-us . Sodexo will try to affiliate outlet of your
choice in its Meal network.

24. Is uploading of course completion certificate a mandate to claim reimbursement under L&D benefit?

NO, its not a mandate, however in the course completion section employees can upload the same to continue .

25. Can I put a claim in the family members’ name?

No, all the benefit claim has to be on the employee’s name only. Else it will not be compliant.
26. Is GST a mandate for claiming my benefits?

Yes, GST is a must as it’s an audit requirement for all Indian transactions. International address will be considered however if the
bill gets rejected due to missing GST number, please raise to thoughtworks@india.sodexo.com for exception approval you can
address it to Mr Prasanna.

27. Are fictional books allowed under L&D?

No, fictional books claim is not allowed as per policy of TWI.

28. I have prepaid broadband connection of 6 months (paid in advance in the month of January) can I claim it?

Yes, you can claim the 3 months (Apr-Jun) of the new financial year. Since this is procured in the previous financial year
employee should fill the relevant amount from 1st April onwards only in the claim amount of Sodexo portal. Please do not enter
the complete amount of the invoice in order to proceed.

29. I have add-on charges/additional charges/OTT charges/cancellation charges/installation charges etc in my


mobile/broadband bill. Can I claim it?

No, any kind of add on charges, OTT charges, cancellation charges etc are not allowed. User has to mention the exact amount
excluding these charges for the approval of the bill.

30. Is Amazon pantry and Flipkart grocery available in Sodexo?

Sodexo has already initiated with above said merchants, with due time they will go live on both merchants (they will be
communicating once they go live)

31. Do we need to have a customer id for communication claim?

Either Connection number or Customer ID or Mobile number one of these vectors must be mentioned in the bill along with the
GST Number for processing.
(Please Note a Valid handwritten bill with GST is also acceptable)

32. What is Valid Bill for Claim?

Bill should mandatorily have the following details to get processed.


● Employee Name (Name of Spouse, dependants, etc not allowed))
● Employee Mobile No/Connection no (For Telecom and broadband)
● Bill period (For Telecom and broadband). We discussed this, it is not mandatory for TWI
● Bill and not a payment receipt
● Clarity of the bill once uploaded (Kindly check post upload if its readable)
● Amount
● GST No (for all bills)

Please note In case of mobile no.\connection number or Bill period not available, Please make sure to write required info on the
bill (by hand) and Upload the same.

33. I want to raise a ticket with Sodexo. Is there a format to do so?

There is no format to raise ticket, however, do note to share your query to thoughtworks@india.sodexo.com along with your
official email ID and Mobile number that is registered with Sodexo to track and resolve the issue.
34. While paying mobile bill sometimes money gets debited from gift/reimbursement wallet

If there is no balance in the communication wallet then the system automatically debits from the gift or reimbursement wallet.
In case you do not want the other wallets getting devoted, you can Pause the particular wallet.

35. How do I pause a wallet

To pause a particular wallet click on the wallet>go to settings>click on “Pause this card”.

36. Is Sodexo exempt from the new tax regime?

As an initial check under the new tax regime Sodexo was taxed. However, we are looking at the latest rules from RBI and our
auditors.

37. I am not able to pay my internet bill through my service provider?

Sodexo is currently in the process of enabling such transactions with various service providers and this will available soon. Till
such time make the payment and get the same reimbursed.

38. I am a new to Sodexo, how do I familiarise myself with the Multi Benefit Pass card
