Three most important tasks in thinking process?
Communication process starts with the thinking process.

We need to invest most of our thinking process time in -


1. Understanding the Audience & Context
2. Mode of Communication
3. Encoding (Composing)

- The Message is the most important thing, not the vehicle.


- Message differentiate a successful and a failed communication.
- Sender initiate communication because s/he wants something from the receiver, which can
be tangible or intangible; which means receiver is the most important part of the process

- To successfully communicate, the sender needs to
- Understand the Receiver (& context)
- Manage the process
- Communication is Purpose Driven; Communication helps to bring behavioral changes
in the Receiver. MAKE AUDIENCES FEEL GOOD & IMPORTANT.

- Context is very Crucial. We may need to Create Context sometimes as well.


- Noise (Barriers) Interrupts Communication Process. Noise Can be
- Physical
- Psychological (you need to understand Receiver’s Noise)
- To avoid barriers/ noise
- Do not Stereotype
- Do not Assume (Assumption is the greatest enemy; never assume and be judgmental)
- Respect/Value the Audience

- Meanings are not always received; Meaning is in the mind.


- Sender needs to create a valuable unified meaning, for which sender needs to adapt his
meaning to receivers understanding.
- Adaption = Fitting the messages to audience.

- To ensure Reception, you need to FOLLOW UP


If there are a lot of communications, then follow up in Priority Basis.

- FEEDBACK can be –
- Positive (sender is successful)
- Negative (run the whole process)
- Silence (what you should do ???)
- Drivers of Mental Feedback = CONTEXT

COMMUNICATING TO LARGE AUDIENCE ?


• Understanding the Audience & Context
• Adjust yourself to Audience.
• If they are below your level, then step down to their level and climb up taking
them in your shoulder
• If the level of audience is diverse, then start from the lowest level and gradually
level up yourself. But be aware that the audiences of upper level do not get
bored or do not feel insulted. For which you can say words like “As you already
know…” or “Though we are already aware..” etc.

COMMUNICATION with BIG SHOTS?


• Big shots may not allow you too much time.
• So be prepared for different time frames.

TIPS:
If you are given 5 minutes; prepare your message in a way so that
you can deliver it within 2 minutes. Because you need to allow the
big shots some time to give feedback (which may be another 2
minutes) and you may need some more time to act upon that
feedback (another 1 minute)

- Clarity: should not be ambiguous
- Completeness readers questions are answered, and they don’t need to guess
- Conciseness: simple & short
- Concreteness: avoid abstractness
- Correctness: no spelling/grammatical mistake + proper addressing
+ facts/information are correct
- Courtesy: use passive when needed + negative message issues
