GibneyTrack

Welcome to GibneyTrack, our secure web portal system for electronic questionnaire completion and
uploading and retrieval of documents. Users can also monitor the status of their immigration processes
via GibneyTrack.

Please review the below guidance on how to access and interact with GibneyTrack.

Accessing GibneyTrack

Activating Portal Credentials

If you have not yet activated your GibneyTrack credentials, you will soon receive an email from
imssupport@mitratech.com advising that Gibney has granted you access to GibneyTrack and inviting
you to create login credentials. Note that the activation link will expire in 5 days. Gibney recommends
that you activate your account credentials on a timely basis to avoid login issues.

Login

To access GibneyTrack after activating your web portal credentials, navigate to


https://gibney.casemgmtsys.com/. (Please bookmark this page for ease of access.) If you forget your
GibneyTrack username or password, use the “Forgot Password” feature located at the login screen.

Navigation

There are multiple access points to view information in GibneyTrack. At the home screen or
“Workspace”:

• The left-hand navigation bar allows you to access your Workspace, Profile and Settings.
• The Workspace provides quick links to your active immigration processes, outstanding
documents requested by the legal team and outstanding questionnaires requested by the legal
team.
Questionnaires

If you have been invited to complete a questionnaire through GibneyTrack, please log into the system
and use the Workspace to access the questionnaire located under “Outstanding Questionnaires.”

Alternatively, you may take the following steps:

1. Select your Profile in the left-hand navigation.


2. Select the “Open Menu” icon located on the right.

3. Under “Activities”, select “All Questionnaires.”

4. Click on the applicable questionnaire name listed under the section, “Questionnaires to be
Completed.”
5. Complete the questionnaire and select “Submit Questionnaire.”

Questionnaire Tips

• Please answer the questionnaire as completely as possible to ensure a prompt review.


• Required fields/questions have an “*” and must be completed before you can submit the
questionnaire for review.
• If you cannot complete the questionnaire at once, you have the ability to “Save and Exit” or
“Cancel” at the bottom of the screen.
Document Checklists

If you have been invited to complete a portal document checklist through GibneyTrack, please log into
the system and use the Workspace to access the list of outstanding documents located under “Requested
Documents.”

Alternatively, you may take the following steps:

1. Select your Profile in the left-hand navigation.


2. Select the “Open Menu” icon located on the right.

3. Under “Documents”, select “All Documents.”

4. Locate the “Document Checklist” section and upload the required documents as specified in the
document checklist. Be sure to upload the document with the corresponding “Document Type.”
5. To upload additional document types not specified in the “Document Checklist”, locate the
“Upload File” feature under the “Uploaded Documents” section.

6. If a document on the “Document Checklist” does not apply you, please notify us and request that
we remove the document from the checklist. Otherwise, you may continue to receive automated
follow up reminders to upload that document.

Document Checklist Tips

• Accepted file types include: JPG, TXT, BMP, PNG, PDF, DOC, DOCX, XLSX, MSG, XLS,
PPT and XPS. EXE and ZIP file types are restricted.
• The maximum file limit for a single document is 120 MB
• Multipage documents, such as passports or transcripts, should be uploaded as a single file. Do
not upload individual passport pages or a single page of a transcript.
• Name each document with a sufficiently descriptive title (e.g., “Passport” or “Child’s Passport”)
• Once you have successfully uploaded a document in the document checklist, the document will
move from “Document Checklist” to “Uploaded Documents.” You can also monitor whether the
Gibney legal team has reviewed and accepted the document through the “Status.”
Processes

If you wish to monitor the status of an immigration process, please log into GibneyTrack and use the
Workspace to access your active immigration processes located under “Track Case Progress”.

Alternatively, you may take the following steps:

1. Select your Profile in the left-hand navigation.


2. Select the “Open Menu” icon located on the right.

3. Under “Processes”, select either “All Processes” to view open and closed processes, “Open
Processes” to view open processes only and “Closed Processes” to view closed processes only.

4. Click on the applicable process name to view additional milestone and process-specific
information.
5. The process workflow is the landing page and where you can view the completed steps.

6. To view additional process information, including the process petitioner, signatory and receipt
number, select the downward carrot in the top navigation menu that contains your name. Under
“Details”, select “Profile.”

7. On the process profile page, view general process information, including the process petitioner,
signatory and receipt number, among other critical data points.
Retrieving Documents

If the Gibney legal team invited you to retrieve a document uploaded to GibneyTrack, please log into the
system and take the following steps:

1. Select your Profile in the left-hand navigation.


2. Select the “Open Menu” icon located on the right.

3. Under “Documents”, select “Uploaded Documents.”

4. Locate the “Documents Uploaded by Immigration Team” section and download the relevant
documents.
