Administration Officer/Manager

Job Description

Objective: Ensure the administrative needs of [Name of Church] are fulfilled.

Role Philosophy: The systems and processes (predominantly relies on good


administration) of any organisation are the undergirding governance that makes an
organisation go from good to great. Orchestration of processes to enable other staff and
volunteers to successfully carry out required systems.

Personal Assistant to Senior Pastor:


 Calendar management including appointment setting and reminders;
 Dealing with correspondence (drafting responses etc), forms and support with
compliance matters such as blue cards and pre-marriage paperwork);
 Ordering of resources as required;
 Research as required;
 General assistance as required.

Administration Support to Church Departments:


 Assist with sourcing equipment, compiling expenditure estimates and purchasing
supplies for series packs;
 Oversee print and prep of resource materials through working with a team of
volunteers to compile resource packs;
 Upload and organize digital resources;
 Process forms and compile a variety of documents, reports, spreadsheets and
playlists related to kids ministry;
 Assistance with maintaining church records and databases;
 Assistance with organizing events such as family fun days, child dedications,
baptisms and special events.

Administration Support and Oversight to [Name of Church] General Activities:


 Manage the [Name of Church] calendar under the direction of the Senior Pastor
including prompters to departments on lead times;
 Manage bookings including café, auditoriums and relate to Accounts Department
as needed on invoicing;
 Manage the administration and documentation required on Info Desks (Prayer
Requests, Praise Reports, Info Cards, Lifegroup Forms and details, Sign Up Sheets,
etc);
 Ordering of stock including cleaning supplies, stationery orders, book orders,
kitchen supplies, event supplies, etc.
 Assist Marriage Celebrants with documentation and processing forms as required;
 Ordering flowers for church members as required by Senior Pastor;
 Perform reception duties;
 Provide processes and systems (orchestration) for processes / “flows” within the
operations of [Name of Church] to improve efficiency, data capture, and
compliance;
 Administrate pastoral care database system including the identification of training
needs to enhance the usage and efficiency of other staff;
 Incident reporting lodgement including collection and online processing for INC
Office;
 Support to the Pastoral Care Team through rostering of volunteers identified by
the Senior Pastor, and systemizing events such as Baptisms, New Comers
Gatherings and Salvation Teams.
 Identify and engage volunteers to gain experience in providing administrative
support to the team.

Administration Support to Elevation Group:


 Provide developed templates, systems, processes, guidelines to all Elevation
locations as directed or identified as worthwhile;
 Build rapport with local administration support staff at each location;
 Manage the [Name of Church] central calendar under the direction of the DLT
portfolio for each location including prompters to departments on lead times.
