Chapter 1

Introduction and Background of the Study

1.1 Project Context

The purpose of this project is to provide a business solution for managing sales, inventory,
customer record and online orders. In this project the business staffs need to login with their account
to make sure the staff is authorized in making transaction with the customers. The existing process is
not secured and cannot maintain proper information about the sales, inventory, customer records
and orders. Some of their transaction history is being loss that causes lacked of information for the
sales.

m
er as
We extremely suggest using Enterprise Information Management System (EIMS) to track sales,

co
eH w
inventory, manage customer records and online orders properly with much greater accuracy. By

o.
logging in with their account it helps the owner of the business to monitor the sales transaction and
rs e
product inventory, with the use of barcode scanner they can easily restock and add new products as
ou urc
well as doing fast transactions in cashier terminal.

1.5 Scope and Limitation

1.5.1 Scope

1. The system has database that saves records.

2. The system can generate sales invoice.

3. The barcode can use to punch a product.

4. The barcode can use to restock a product.

5. The admin can monitor sales transaction, inventory, online orders and customer records.

6. The admin can add, edit and remove product and customer record.

m
er as
7. The system can generate sales and inventory report (daily, weekly, quarterly and annually)

co
eH w
1.5.2 Limitation

o.
rs e
1. The project cannot operate without the use of electricity.
ou urc
2. The system won’t work without internet.
o

3. The system doesn’t accept credit cards and online payment transactions.
aC s
v i y re

4. The system cannot notify the customer of the arrival of the product because it can be
delayed by the use of third-party delivery service like (LBC, JRS Express) etc.

1.5 Significance of the Project

sh is
Th

Business – the system will help to enhance and improve JM General Lube Oil Centre when it comes
to tracking sales, managing product inventory, customer record and online orders. The system will
secure all the records, they’ll have an accurate detailed and organize records.

Customers – have the benefits of having an accurate printed receipt right after purchasing an item.

Proponents - through the study the proponents will enhance their skills in Capstone which is vital for
the future IT professionals. To make a system that will enhance the proponent’s skills in programming
and to make suitable system for the company that they chose.

Future Researchers - The study will serve as a guide for the students or researchers who are also
conducting similar. The study will also give them the ideas and hints in what kind of the system the
future researchers will plan to make.

Jonas Claymore (2012)

The cost-effective and highly innovative inventory management system gives you instant access to

stock levels, allows timely orders and zero waste of time. Get real-time reports what the inventory
ar stu

system does is to allow you purchase supplies based on the most current order data record.

This minimizes overstocking and at the same time, frees up resources for more urgent needs. The
Inventory Ordering System gives you better control over your supply chain, affording you the amenity
sh is

of being capable to place orders online or via SMS.

Th

And because the systems automatically produce inventory and sales reports, your workers will have
less paperwork to file and more time to focus on operations. For superlative businesses with
franchise activities, this user-friendly inventory management system can be customized for any multi-
site such as company, commissary, or warehouse backend.

2.3 Synthesis
ed d

The Foreign and Local related studies, have a similar conceptualization of how management

system and technology effectively in the project. The mentioned related studies also both provide
solutions for the management of sales and security of the information. The first mentioned study
helps the group project the purpose and importance between manual and efficient computerized

solving arithmetic or local operations.

2.4 Technical Feasibility Component

Enterprise Information Management System is being developed by use of the following hardware
and software platforms:

SOFTWARE:

MySQL - MySQL is an open source relational database management system (RDBMS) based on
Structured Query Language. MySQL runs on virtually all platforms, most often associated with web-
based applications.

PHP - is a widely-used open source general purpose scripting language that is especially suited for
web development and can be embedded into HTML.

CSS - CSS is used for designing any webpage to make it more presentable to the user.

m
er as
Xampp - is a software distribution which provides the Apache web server, MySQL database, Php and

co
eH w
Perl all in one package

HARDWARE:
o
aC s

Printer - Serve as the barcode copy of documents. Thermal printers are also known as receipt
v i y re

printers, they're what you get when you go to the ATM or grocery store. Now you can embed a little
printer of your own into an enclosure.

Barcode Scanner - is an optical scanner that can read printed barcodes, decode the data contained in
ed d

the barcode and send the data to a computer.

ar stu

Barcode Printer – A computer printer designed to print barcode labels for products and packages
that require a uniform product code (UPC), an international article number (EAN), or codes used in
sh is

accounting, mailing or any other purpose.

Th

PC- A personal computer (PC) is a multi-purpose computer whose size, capabilities, and price make
it feasible for individual use. Personal computers are intended to be operated directly by an end
user, rather than by a computer expert or technician.
