Develop/Presentation of an Event Concept
Given the tools, materials and equipment, develop an event concept of
incoming Christmas Celebration.
Procedure/Steps:
1. From the illustration below, develop your concept of a Christmas
event to cater at least 100 persons then submit your output within one
(1) hour.

2. Present your output.

How did this event allow us to develop critical leadership  
and/or professional skills?

Probable Answers:
 Knowing the definitions of leadership skills and seeing
relevant examples can be especially helpful in managing
the events and how to handle any unexpected situations.
 Leadership skills are skills used when organizing other
people to reach a shared goal and that goal is to start and
end event successfully.

Safety Questions
How will you communicate with anyone and everyone?  
 Perhaps radios/company mobile phones will be distributed
amongst the organizers to ensure that your team can
communicate swiftly and respond right away when inevitable
issues arise.
 As a coordinator I must connected and speak with attendees at
the event as a whole, or with a specific group at risk. It is critical
to know a central gathering area and a method of delivering
information so that anyone at the event who needs to hear
important information can get the message.
Contingency Questions
What are the possible causes of injuries and accidents in a  
small/big event?
 Driveways and entrances are blocked to emergency personnel.
 Unexpected bad weather particularly in outdoor events
 Technical failure of public address sound systems.
 Breakages and losses could include stage equipment, electrical
equipment and lighting, trophies, event paperwork, canteen
equipment and supplies, keys, money and many other items.
Infrequent Events
What is your game plan for managing event budgets?  
 Plan ahead of time, list the breakdown/checklist for the
event/s and lways save contingency fund for an
unexpected shortage or emergency.
 Research is crucial to the entire event budgeting process.
Contacting the client/customer for updates is very
necessary.
Rules and Regulations

What will you do if event staff who go missing and no one  


assisting the guests/clients
 Have a person designated in the event management team as a
"Troubleshooter" whose job is to continually move about the
venue looking for such problems.
 Assign more staff than are actually needed so that there are a
few "spares" that can be assigned to positions anywhere.
