I. INTRODUCTION

We the students of MBA502, proposed to conduct a webinar for our final


requirement on our subject in MBA502: Human Resource Management.
The event is entitled “Spotlight: Shedding Light on Personal Effectiveness in the
Workplace” with the theme “A Webinar on Work Attitude and Values Enhancement
(WAVE) and Conflict Resolution Management” It was held on July 31, 2021 at 1:30
in the afternoon via Zoom Cloud Meeting Application and FB Live of TSU CBA
Student Council Page.

The objective of the webinar is for the participants to develop an organizational


culture geared in dealing with issues in a timely and equitable manner in order to
avoid internal conflict. Our participants were the students of MBA/DBA society,
faculty members of the MBA/DBA Department, CBA Faculty members, and guests
who are interested on the webinar. We also invited Dr. Erwin P. Lacanlale the Vice
President of Academic Affairs, Dr. Jhonel C. Panlilio the Dean of College of Business
and Accountancy , Dr. Susan Ramirez the Chairperson of MBA/DBA Department,
and Mr. Peping Pedro C. Pedro the President of MBA/DBA Society.
The event cost us a minimal amount for one of the speakers -- the other guest speaker
agreed to have no monetary reward. In exchange for guesting in the webinar, we gave
them a certificate of appreciation to recognize the work they have put in and the
knowledge that they shared to all the participants. We, students, equally shared a
small amount for the cost incurred, thus, there was no need for us to find sponsors for
the event.

The event was planned for about a month or so and our professor divided the
class into 5 committees, giving us instructions for specific tasks to start working on.
Not only did the committees share a goal, but the whole class had been doing
teamwork -- ever cooperative, hardworking, strategic, and efficient whenever they did
their tasks.

Thankfully, our classmates had been a great help in finding two great persons
to be our guest speakers. The first speaker was Mr. Jaime S. Agub, Jr. who is the HR
and Administration Officer II of South Pacific, Inc. He is a graduate of Polytechnic
University of the Philippines – Quezon City Campus with a Bachelor of Science in
Business Administration major in Human Resource Development & Management.
The other speaker, Mr. Marlon C. Dela Cruz, is a Director of Human Resource of
Tarlac State University. He is a Cum Laude graduate of Bachelor of Arts in
Psychology and finished Master of Arts in Education major in Guidance and
Counseling both in Tarlac State University.

Our participants consisted of our College Dean, Dr. Jhonel C. Panlilio, the
Chairperson of MBA/DBA Program, Dr. Susan Ramirez, the President, Mr. Peping
Pedro C. Pedro, and the Vice President for Academic Affairs, Dr. Erwin P.

Lancanlale. Participating along with them are students and faculty members also
within the MBA/DBA Department. There are also other participants from other
schools and organizations that have joined in the webinar.

My duties and responsibilities are as follows:


a) To oversee all the activities being conducted within the committees
b) To establish good teamwork and communication with the whole class.
c) Approval of every document, layout, presentation, and/or any activity
conducted before, during, and after the event
d) To ensure the smooth but efficient flow of the planning and execution
of the event
e) To Conduct virtual meetings and dry run
f) Briefing of working committee before the day of the event.

What are the challenges you have experienced in your task? How did you resolve
it?
Who will be the Speakers?
On June 9, 2021, we open the suggestions for the possible speakers, finding
the perfect speaker wasn’t easy after all. Ms. Arianne suggested her professors from
Polytechnic University of the Philippines with a professional fee of P15,000 for the 2
speakers. But, someone from the class disagree to pay the amount, Ms. Therese
Vicente tried to convince one of their HR and Administrative Officer to be one of the
speakers and Mr. Jaime S. Agub Jr. gladly accepted the challenge without any
monetary fee. I, as one of the members of TSU community tried to ask our HR
Director Mr. Marlon Dela Cruz if we can invite him on the said webinar and he gladly
said yes too with a minimal professional fee and a certificate.
All the information and updates were sent in our group chat in messenger. The
class of MBA502 were all members of the said group chat. Without informing us, Ms.
Arianne talked to the professors of PUP informing them with the event. When the
Letter of Invitation for Mr. Agub and Mr. Dela Cruz were needed for approval,
Shockingly, Ms. Arianne suddenly said she had informed her professors that they
would be the speakers for the event.
I took the responsibility to inform her that the final speakers would be Mr.
Agub and Mr. Dela Cruz and apologize sincerely for the misunderstanding.

Half-hearted Members
As the event head, I made sure I could see progress on the activities assigned to
every committee. I made every committee a group chat on messenger and suggested if
they can use that to plan with me. As I observe them work, some of them were
unresponsive maybe they were busy with work. Therefore, to be fair I assigned them
to do other task like collecting the fees for the webinar and check and answer the
queries on FB Live during the event.
Did you have difficulty communicating with your team or leader?
No, I appreciate everyone for helping and in giving more options and ideas on the said
webinar. Organizing a webinar will not be easy without these teams. As we all know,
everyone is busy with their personal work, families and other errands but they open
their line and extend their patience even in late night meetings. I do appreciate our
Professor for always extending her help and in guiding us in every step of the way.

Duties and Responsibilities:


I was assigned to the program committee. In the program committee, I have
been tasked to draft a sample program flow of the webinar. An additional function of
duties is during the webinar session as a support and to monitor if the final program is
followed in the schedule.

What are the challenges you have experienced in your task? How did you resolve
it?
It was challenging to create a program based on the given time frame. The
webinar was supposed to last only for two and a half hours. The first draft exceeded
the given time frame even when budgeted, but we have to stick to the given scheduled
time. I have sought the advice of our committee members and make it checked to the
class leader and ask some suggestions which are which to include or not. It is really
important to have a relay of messages in face to face or non-face to face setup,
without it is difficult to resolve a problem. Even I have experience conducting a
webinar, which is still challenging as it is a different level, with other participants and
people.
Did you have difficulty communicating with your team or leader?
The group members have their job on the weekdays; it is pretty challenging to
communicate because there should be a specific time to make a message in the group
to be seen or noticed immediately.

Duties and Responsibilities:


The main duties and responsibilities of a program committee, is to solicit
information regarding the upcoming seminar/webinar. In this case, our team gathered
information such us, to what time the webinar will aired, and how much time do we
need to facilitate the program. We also coordinate with the host to make sure we can
include their plan to make the webinar more lively and knowledgeable at the same
time.

What are the challenges you have experienced in your task ? How did you resolved
it?
The only challenge I may say was only the time. We are all working and have
different availability time, we set date and time when we are going to finalize the
program. But we still managed to plan the program and finished it on a given period.
Though, there were some adjustments on the time table but were able to update it.

Did you have difficulty communicating with your team or leader ? If yes, how?
Honestly No, because we’re always online and make sure we’re able to
receive update on time from the head of the committee. Though sometimes we can’t
reply right away due to work schedule, usually we’re having our
conversation/meeting after office hours.

Conclusions and Recommendations


When we were planning what to put on the program specifically to this one,
it’s not a usual seminar, due to pandemic we are already used to a webinar, extending
knowledge to everyone who wants to join/participate on a given topic. We made sure
that every after talks from our speaker the program won’t be dull so, we inserted some
games and question and answer games so it would be lively while waiting to the next
speaker. We all managed to finalized it.
Open communication is the one needed if you want to pursue a good webinar
program. We are all open for suggestions and if the other one is not available while
we are doing the finalization, we made sure that he/she can contribute after her/his
busy schedule. Successful webinar requires consistency, after we finished the
program, it doesn’t mean that we are done with pu task. Until the day of webinar we
still doing brainstorming on what we can contribute to the group. It was indeed a
successful webinar after all the hard work from different committee.

Role: Member

As a member of the Program Committee we were tasked in creating the


overview of what’s going to take place on the day of the event (webinar) or the
sequence of the program. We have to ensure that the sequence of activities will
conform to the time allotted for the event. The program itself serves as the event’s
lifeblood. This means that we must be sure that the event will not only be informative
but exciting and engaging as well. Additionally, we also have to have a backup
program plan/s in place in case unanticipated circumstances occur in order to keep the
event moving smoothly.

While planning for the event, we had to make changes to accommodate all of
the unpredictable aspects of the schedule. We also had to change the sequence of the
program, including which ice breaker to include or to omit in order to keep it

interesting for our participants and some adjustments in case the other committees
will tell us to do so. But thanks to the other members of the program committee, who
have many ideas and ways to address any changes in plans in a quick and effective
manner when they occur.

The preparation of the webinar is not simple, but everyone involved is motivated
to make the even a success and that makes the workload manageable. I didn’t have a
hard time communicating with anyone in the group, in fact they are very considerate
if someone is not available or overloaded with work commitments.

Role: Program committee and Usher on Facebook Live

Duties and Responsibilities


My duties and responsibilities given to me is a member in program committee we
shared about our ideas what would be the program going to be or the flow of the
program, what would be the time bracket, if there will be a games and our back up
plan if something went wrong during the program. 

But, my main responsibility in our webinar is that I am the usher in facebook live.
I answered all the questions and concerns in the comment section, greetings all the
viewers and commentators one by one. Relaying questions to the host from the
viewers in facebook so that the speaker can also answer their question and posting the
evaluation form after the webinar. 

What are the challenges you have experienced in your task? How did you resolved
it? 
The challenges that I personally encountered, at first since I am the only one usher
in facebook, I am not fast enough to answer all the questions and greetings one by
one. The speakers’ already asking questions but I can’t relay directly to the host.
Fortunately Ms. Charlene helped me to screenshot and sent it to our group chat so that
the host can ask the question to the speaker. And I am able to greet all the viewers,
answer their common question like how they can get their certificate or how could
they acquire their certificate without registering. And exchanging ideas, when the
viewers start sharing their knowledge or ideas about the topic of the speaker I tried to
share mine also or giving them acknowledge so that the viewers will know that we
also reading their comments.

And the biggest challenge that I encountered is the Evaluation form link. Since I
am in-charge answering and greetings the facebook viewers they personally messaged
me because the link is not working or they did not received any email yet to acquire
their certificate. And there this one guy that stressed me out. He is from Sri Lanka and
messages me after the webinar which is August 1 saying that evaluation form link is
not working so I answered him because I knew to myself that I am responsible. So I

tried giving him an option and days passes August 3 at 11pm He messaged me again
saying that he really wanted that certificate because he is attending international
webinar and he really need that certificate so I did my part sending the link again and
explaining why the link is not working anymore because our webinar is already done,
I just got his full name and email address. Therefore, I messaged Ms Karina if she can
still provide that certificate. 4th of August the Sri Lankan guy messaged me again, so I
directly message Ms. Charlene if she can still do about it. Fortunately Ms. Charlene
replied and tried to contact Ms. Karina and after that, they open again the evaluation
link and I coordinated with Sri Lankan guy and after we’re able to provide a
certificate for him, and that’s how we solve that problem. I thought after the webinar
we are all done with our part. But when these cases happened it is your instinct to
solve that kind of problem since you’re in charge on that part.

Did you have difficulty communicating with your team or leader ? If yes, how? 
No. All the teams in charge are easy to approach if you have a questions that you
don’t know they patiently answering you and help you on what would you do, what to
say and instruct me what would I do next. They are willing to help and support you on
your assigned duties. They are one chat away. 

Recommendation and Conclusion 


From the planning until to the closing remarks all the teams did an excellent job,
in a sense that most of us, this is the first webinar we organized. All the ideas, the
brainstorming, designs, the flow, the music, the host and everyone behind that
webinar happened because of our willingness and driven to become this webinar a
successful and is all worth it. We have a lot of positive feedback. It was so
overwhelming to read it. It was really nice experience for everyone.

This may be a virtual and it was really hard for everyone but once your mind and
goal are set in, that this webinar would be and should be successful, your way of
thinking will be one and it is easily to achieve. Trust your member and their ability
once you work as one, no Jollibee. Your success will follow.

II. Marketing Committee

Hyca Ermitanio, Karina Yvonne Pascua and Al Renz Valen

As marketing committee, its duties and responsibilities were:


 Developing a strategy for the entire marketing campaign
 Laying out e-documents such as e-tarp, certificates, announcements, and
others being posted on social media

What are your duties and responsibilities:


 Tittles for webinar Certification Power Point Presentation
 I suggested 3 titles, as a result of voting it was chosen.
 As for certification, communication is required due to determine the Ideal
layout for printed page. Make sure the page text, person's name, and images
are balanced.
 Creating and improving the power point.
 Back-up support of the technical team.
 Always present in the dry run. I am on the Marketing committee that covers
the composition of the layout and design expert. I held the certification area to
be used in the seminar from the head resources and participants. It must be
imperative to be pleasant including that it is from the master of business
administration which raises the knowledge of the facts and realities to
enlighten the people to be touched this program. As under the committee, the
detailed and proper delivery of the certification must be ensured. I made sure
to have 15 samples by providing enough options for the appropriate theme in
the program. June 27 2021, I started sending samples so that it would walk it
through with editing in fact, the organized-program by the class is fast
approaching. As time went on, I joined the techincal team as I covered the
power point presentation from the transmission of the hymm and philippine
anthem, and addition of music. Whenever there’s a dry run, I’m there behind
the technical committee, making sure to balance the flow.

What are the challenges you have experienced in your task ? How did you resolved
it?
The day before the seminar after the dry run, I edited the power point
presentation connected to script and to host. When the big day came, I started to have
difficulties on my part, virus came on my laptop for sending newly modified ppt due
to late sending videos and sending ppt with video to the technical team knowing that
it has high mb. With a few minutes left, we were all pressured when suddenly there
was a sudden brown out with Sir Angelo within their area so his partner had to take

over then I had to teach her about the flow from the start til the end but there were
viruses that came to my laptop. It was a dead feeling but by communicating we
resolved it right away. Chats and calls were on. We backed up and cheered each other
up. It was a goose bump feeling but that was the best. The thing is, we all get even
closer thru this difficulties.

Duties and Responsibilities:


Create posters, Programme, Invitation and assistant to Registration Committee.
Marketing Team had a great time with each members as no ideas were kept
hanging around.

What are the challenges you have experienced in your task ? How did you resolved
it? 
Revisions that are urgent and revisions from one to another of the same required.
Resolving after free time due to conflict of schedules.

ROLE: Lead Representative of Marketing Committee
Duties and Responsibilities

As part of the marketing committee, we are assigned to provide the main lay-
out of the posters/invitation, program style for social media posting, certificate
generation for the speakers in recognition, as well as participation for viewers and
registrants, countdown draft for Facebook newsfeed, as well as the backdraft of
PowerPoint presentation slides during the program. With the tasks on-hand under our
committee, it was my lay-out for the poster/invitation that got selected in the class’
poll in group chat. From the point of selection, the ambiance was eventually created
by the team and was applied across all materials used in the webinar. The
backgrounds were shared within our team to complement each other’s tasks from
creation of official invitations up to video teasers. In conjunction with the technical
parts, I became the representative of the team to stand with our opinions over the
covered responsibilities.
Though this part wasn’t included in the tasks initially assigned to us, I also
contributed with the Registration Committee to auto-generate certificates from the
form they have created solely for feedback purposes and have these sent to
participants as consolation.

Challenges Met and Resolution
Since I do have a background experience in the lay-outing department back in
University where I served as assistant lay-out artist in The Collegian (University’s
Official Publication), I volunteered in the task without any hesitation whether I can
pull it off the way I did seven (7) years ago. At first, we were ambiguous with what to
expect and what to provide since no one in the team has experienced handling a
webinar. While being asked with the updates of our output, I tried sharing a list of the
assigned tasks with everyone and the assigned person based on our self-assessments,
as well as the progress made, in order to have a clearer view of outlooks. Jotting them
down for everyone in the team to see was a great help because its eradicated
uncertainty between the members.
Personally, the main thing that made it difficult from my end was the
unavailability of timely feedback on abrupt layout changes and with my capacity to
change it as soon as I get them. Due to workload, the only available time to get things
completed is 6pm onwards when everyone is also not expected to be available. Since
it was a team effort, everyone’s feedback is gold in order to meet the expectations
from the outsiders. But we are able to overcome this by working efficiently, yet
coolly, on specific parts.
Days prior the event, the registration committee faced a dilemma on certificate
generation. I volunteered on taking actions to learn and try Autocrat to have the
Google Forms create the certificates after filling them out. This will remove the tasks
for Marketing Committee to manually create or draft certificates for the participants
via PowerPoint then send this one-by-one to respective email addresses registered.
This became a success after couple of tries. It did become a little hassle after the event
when the form suddenly prompted its limitation of 100 emails per hour. The
certificate was successfully generated but form logistics wasn’t able to send the
attachments so I have to stepped in and sent the remaining certificates that
encountered the said error.
Did you have difficulty communication with your team or leader? If yes, how?
I did not have difficulty with communicating with the team or co-members. I
would love to work with them on another project, as another case may be.

Conclusion and Recommendation


Every second of selfless effort is an investment for a better situation and/or
improvement of one’s self. It is not always the hardships the team faced and
conquered that measures how effective the members were, but it was also the level of
harmony they have while completing the team and personal goals. Being open to
feedback is a way of building a stronger interpersonal relationship that fruits to
nonoverlapping opinions. If given the chance to do the work all over again, our
committee would happily start from scratch and redo all the things accomplished
before the webinar. Despite the ambiguity in the initial phase, we are still able to
finish ahead of time. We successfully draw the lines and connected them along the
journey. We are able to reap commendations for all the efforts we made throughout
the process.

Since the tasks assigned to us were primarily in the back office, we were able
to pulled-off the layouts with only a few revisions because of the constant feedbacks
we get from each other as a team and with the class, then with the University/College
Heads. The only support we were able to provide further in the class after we’re
through with the tasks was to participate actively on feedback sessions for other
committees.

III.Technical Committee

Czarmaine Fabelico, Angelo Gamalinda,

As technical committee, its duties and responsibilities were:


 Providing support for presenter to test virtual platform
 Providing support as needed for throughout the event, mostly behind the
scenes, to support technology challenges of presenters or attendees
 Engaging attendees in the chat area with relevant prompts and questions

Duties and Responsibilities:


As a technical committee, the duties and responsibilities that were assigned to
me are taking the lead in conducting the webinar, engaging participants in the use of
the web inter-activity tool, setting up chat windows, answering participants out loud
during the webinar and ensuring the flow of webinar is in order. 
  What are the challenges you have experienced in your task? How did you
resolve it? The main challenge that I have experienced with my assigned tasks during
the webinar is the stability of internet connection. To resolve this, I switched from one
internet provider to another (e.g. Wifi, Modile Data, Pocket Wifi) with more stable
connection. 
Did you have difficulty communicating with your team or leader? If yes, how?
None. Since everyone in the group is actively participating. 

Name: Czarmaine G. Fabelico


Role: Technical Committee
Duties and Responsibilities:
As one of the members of technical committee group, my assign task is to
assist Sir Angelo will playing the PowerPoint Presentation and videos. I was assigned
to mandate the flow played by Sir Angelo. Also, I entertained guest by answering
their queries in the chat box and allow participants to join the zoom meeting. I also
did the editing of videos for the Introduction, countdown, TSU Campus tour,
Doxology, National Anthem and TSU Hymn. Being a technical committee requires a

lot of effort and perfectionism because a little mistake can ruin the flow of the
program.

Challenges met and how they were resolved:


I would say that the most difficult challenges we faced were a lack of
communication and time availability. The lack of communication resulted in
misunderstandings because we all know that communicating through chats cannot
relay what you really want to say to your fellow classmates, but we overcame this by
conducting video calls and holding a team meeting to properly disseminate our task
and We manage to adjust and couple up with one another time for our classmate's
time availability.

Did you have difficulty communicating with your team or leader? If yes, how?
With our own team as a technical committee we did not encounter difficulty in
communicating but with other group we encounter a little misunderstanding because
of time differences but we manage to overcome it by adjusting to each overs
availability and conducting practices.

IV. Registration Committee

Raul Cabilangan, Bianca Camille Garcia, and Ely James Nacar

As registration committee, its duties and responsibilities were:


 Setting up of online pre-registration on google form to monitor the number of
participants
 Embedding the feedback document on google form

Duties and responsibilities?


The committee was tasked to do the registration form and feedback form. I
was assigned on the creation of registration form, feedback form, e-certification
(collaboration with marketing) and also assign to ask question during webinar.

What are the challenges you have experienced in your task? How did you resolve
it?
There is no much problem in creating the registration form and feedback form,
I had a good support, excellent collaboration with other committee that supplies ideas,
comments and suggestion on what to expect on the outcome of the form. The real
challenge is when they inform me to include the e-certification on the feedback form.
I believe the marketing committee was tasked on the releasing of the e-cert. At first, I
do not have any idea on how integrate the e-certification on the feedback form, with

the help of youtube, Ms. Charlene and some adds-on application on the google form I
was able to simulate the e-certification. I was trying to ask for the original raw layout
of certification to convert it to google slide but I did not have any response from the
marketing until a week before the webinar. I asked Ms. Charlene to inform Marketing
if we will do automatic sending or a manual certification, since I do not get any
response from my requisition. We decided to do the manual sending instead since the
task was given to Marketing. But 3 days before the webinar I was told to integrate the
e-certification on the feedback form. Since we have difficulty on the communication,
I decided to make another layout with different design which was agreed so we can do
the e-certification. Unfortunately, 2 days prior to the event I had health emergency
situation (my wife was covid positive, my daughter and I need to be quarantine). I ask
helped again with Marketing Committee thru Ms. Charlene and fortunately it was
them who continue the pending Job. In the end, e-certificate was integrated with the
feedback form.

Did you have difficulty communicating with your team or leader? If yes, how?
We are three in the team and apparently Ms. Bianca was tasked to do the
introduction of the speaker leaving Ely and I on the registration and feedback
committee. I did not have any problem with my team, I acted as one-man team
because Mr. Ely did not participate on the task.

Recommendation and Conclusion:


I would recommend to have activities like this with the upcoming MBA
Students who would take HR Management. The member of the class really puts a lot
of effort and professionality that develops camaraderie and team goal which is very
important. We were able to meet new friends and associates because of the

My duties and responsibilities in the webinar is I was assigned to make the
letters sent to the speakers and letter of invitation sent to the TSU MBA organization
together with Ma’am Therese Vicente.
What are the challenges you have experienced in your task? How did you resolved
it?
My challenges that I have experienced in my task is title/tagline and giving
emphasis to the objectives of the webinar to be conducted. With the help of my
teammate Ma’am Therese, and my other classmate, from their individual suggestions,
we are able to create a good title and objectives for the letter. Constant revisions of
the letter for enhancement is also a challenge for us, but with the assistance of Ma’am
Charlene that she provided us a guide to follow for the format and flow of the paper,
everything went well.

Did you have difficulty communicating with your team or leader? If yes, how?
I didn’t have difficulty with communicating with my team mates and other
committee. Constant communication and frequent virtual meeting via MS Teams was
conducted to make sure everything is in good flow. And everyone is very
approachable when I have any concerns.
Recommendation and Conclusion
Truly that teamwork is essential to success and growth. And this is proven as
each and every one of us gave their best effort and devote their precious time to make
this webinar possible. Having a good team around you helps you to think in different
ways, resolve conflicts quickly and generate new ideas. I saw the effort of everybody
working hand in hand for finishing and polishing everything before the event.
Everyone in the team works as one, that everyone has the same end goal and helping
each other to reach it.

Being part of the Human Resource Management Seminar entitled “Shedding Light on
Personal Effectiveness in the Workplace” I got to involve and I was assigned at
secretariat/finance committee in which we are the one who prepared the invitation
letters for the speakers. We are responsible for inviting speakers and do follow ups
regarding their assigned topic and for gathering their information. In addition to that I
was also assigned to collect contributions for the token and appreciation gifts for our
speakers and to our dear professor.

Challenges/Experience on the Task and How did you resolve it:
Organizing a webinar was a bit a challenging you have to consider a lot of
things, but in our committee which was the secretariat/finance we did not encounter a
lot of challenges it’s because our team communicate to each other and we make sure
that the information was properly disseminated and we are helping each other to come
up with a good results regarding our task. Collecting payment was also easier despite
of we are collecting through online banking and through gcash everyone was
cooperative and participative. Everyone makes effort to perform their duties and
responsibilities.

Did you have difficulty communicating with your team or leader? If yes, how?
Being part of this team was a great experience for me it’s because everyone
was responsible and responsive when asking question and formulating solutions
regarding new ideas and information that we can use in the flow of the webinar most
certainty our leader was hands on and approachable she make sure that we are doing
well and do our task effectively.
Nevertheless, I haven’t encounter difficulty communicating with our team and with
our leader. It was a smooth sailing for everyone.

Base on the effort and perseverance of everyone, I therefore conclude that the

Duties and Responsibilities


As collectively agreed with the whole class, our final requirement for our
subject MBA-502 Human Resource Management will be through the facilitation of a
webinar, a seminar via online platform or tool with the application Zoom.
We had prepared for its conduct even though majority of us have no
background on the procedures but with the guidance of our professor, we were able to
carry out the roles assigned to each of us. We actively participated on finalizing all
details from the topic and title, the tasks at hand, choosing/ inviting the guest

speakers, the program proper (technicalities and marketing) and the roles we all must
accomplish.

I had been tasked to discuss the portion in the program, Key Take Aways,
wherein I must take down notes during the webinar itself as the guest speakers discuss
topics and sub-topics. To emphasize on the lesson so to literally take these away even
when discussion/ webinar was finished and what ideas must retain for
implementation.

Challenges and Resolutions


I believe that many of the challenges we faced as a team were addressed
through our constant cooperation and work collaboration done via chats/ group chats
via the FB Messenger. We also conducted not just one or two dry-run as instructed by
our professor. Through this, challenges on the actual schedule of the webinar were
properly settled and resolved with continuous communication and collaboration:
before, during and after the webinar.

With the task assigned to me, I became nervous as I must take a portion in the
program where I will be noting/addressing the Key Takeaways; and beforehand I had
asked the hosts to react to these notes so that I will not look like a speaker too! It was
also agreed that this portion will be commence after the two speakers finished the
Q&A with the participants. I became more nervous when even before this portion, the
hosts were already mentioning key points from the webinar topics and I had thought I
may sound redundant if I will be mentioning them again; at the moment I am thinking
that Key Takeaways portion may be cancelled. It really is a good thing that our
communication lines were open! I messaged the team in the chatroom about this and
thankful that Ma’am Dang, our professor, was prompt to boost my confidence by
stating that I will not sound redundant but rather to stress the key points/ideas/lessons
from the webinar...thank goodness! I am nervous no more! Able to deliver my task,
glory to God!

Difficulty on communication
*None at all! I am blessed to be part of such team who works collaboratively
well and the outcome proved that teamwork pays real good because we were proud
that we were able to conduct such activity that became a tool or source of information
and guidance to wide selection of participants (some expressed their appreciation on
the feedback form).

Duties and Responsibilities:


My duties and responsibilities are focused on the terminal report. In doing this,
I needed to make a survey which was incorporated digitally by the registration

committee. Also, I needed to collate all the documents we used such as the letter of
invitations, the posters, the programs, certificates that will be included in the report.

What are the challenges you have experienced in your task ? How did you resolved
it?
With my task, I was not really sure on how to do this as thi was my first. I had
no idea about it and I haven’t seen one either so I did not know how to start it. Gladly,
our head organizer, ms. Charlene Gem Bactad was there to help me. She sent me a
sample and I was able to do some parts. I was not able to do the other parts
specifically with the challenges that everyone had as this was personal. Ms. Charlene
helped me on this part. She informed the group that everyone needed to send to her
their challenges on their particular roles. I’m very thankful for her support.

No, our head organizer was very supportive and accommodating

What are the challenges you have experienced in your task? How did you resolve
it?

Actually as a host, I thought it was just simply as I knew, but when it comes on
the new set up, like what we have done (webinar) I need to adopt and adjust the new
normal set of as being a host, unlike when you’re in face-to-face you can easily get
the attention of the participants, so there’s no catatonic. We also had difficulties in
time difference from the team, coz we need to adjust our schedule, just to have our
practice. There’s also a moment that I was the only host who attended the practice so I
need to be alert and attentive because I need to do also the role/script of my co-host.
Moving on, with that experiences and challenges I think we really justified our role
and task on the webinar. The stressed was worth it!

No, we’re all aligned / well communicated. I was also thankful with this
webinar, we made a group or team that we don’t even know that will all be a MBA
buddies.

DUTIES AND RESPONSIBILITIES OF INTRODUCING THE RESOURCE


SPEAKERS
A concise and compelling introduction can have a positive effect on an
audience, which is why it is very important for the organizers to prepare and practice
in advance of welcoming a guest speaker onto the event/webinar.
The class found two (2) great keynote speaker for the webinar, what I needed
to do is to ensure that my introduction does them justice. I kept on reminding myself
that a great introduction can really kick-start the webinar – setting the tone for what’s
ahead, adding a level of professionalism and boosting people’s interest.

Given the task to prepare a crafted introduction, my responsibilities included:

1. Give the speaker credibility


No one is expecting me to read out the speaker’s CV, but an overview of their
professional achievements and career highlights can quickly communicate to our
audience that they are in the presence of someone who is an expert in their particular
field or industry.

2. Raise the audience’s excitement levels


An introduction will prepare people for the speaker, heightening their sense of
anticipation and it also confirms that the audience have made the right decision to

spend their precious time attending our webinar and listening to some thought
leadership, rather than doing something else.

3. Confirm the value of the event


Similarly, the introduction should demonstrate that the information the speaker is
about to impart is important. They might be sharing a new piece of research or
discussing a recent trend that our audience needs to get to grips with. Whatever it is,
an effective introduction will tell the audience that they are receiving vital insights.

COPING UP WITH CHALLENGES


A bad introduction is hard to recover from, so the challenge for me is to make sure
that I keep the speaker on our side and to prepare the audience for what’s to come in
the best way possible. These challenges addressed by avoiding the following taboos:
1. The information isn’t up to date
Time to time checking if the subject of the speech hasn’t changed and that I have the
speakers’ correct names and job titles. In addition, I made sure that I know how to
pronounce the speakers’ names correctly.
2. There were included irrelevant details
I always kept the differences between a biography and an introduction at the front of
my mind. I did not want to bore our audience with information that’s not 100%
relevant to the speaker and the subject they plan to talk about.
3. My speech is too long
An introduction speech should not take more than three minutes or I will run the risk
of our audience switching off before the speaker even starts. That said, I did not rush
through my speech in order to cover everything I wanted to say – I paused for breath
and did not bombard the audience.
4. A sense of humor failure
In the 2nd introduction, I only threw a joke cause I was sure that it will amuse the
speaker and the audience because the event isn’t a comedy routine and the last thing
you want to do is cause offence. Similarly, I avoided talking about sensitive,
embarrassing or personal information without the speaker’s approval. Getting to grips
with best practice around managing our event speakers can help us strike the right
tone.

COMMUNICATIONG WITH OUR LEADER

Our leader in the group is a good communicator and a good listener too. She
listens to gain a clear understanding of the members’ perspective and knowledge.
Thru listening, she fostered trust, respect and openness. Active listening for me is an
essential part of coaching as it allows people to talk about their concerns.

CONCLUSION AND RECOMMENDATIONS
The webinar platform provided great tools to engage our audience,
communicate the needed message in an attractive way and bring interactivity to our
online event. The Q&A session made the attendees ask questions and air their insights
about the webinar topic. The survey / feedback part encouraged them to share their
opinions. Overall, our audience is as happy as we are with what the class provided
them with. The class made them feel like they are participating in a real meeting.
When done right, a webinar can be an extremely effective tool in ensuring the online
educational environment for closer inter-connections between students, educators,
researchers and other participants. Webinars create opportunities for both educators
and learners to experience different levels of interaction online for enhancing their
outstanding academic ability as well as skills, and these opportunities are essentially
different from other communication approaches such as discussion-board postings
and e-mails.
