Introduction

nowadays it is more complicated for a company,effectively reach your customers
and it is much more difficult to retain them because new competitors appear with
new ideas, new ways of working, with new, more sophisticated and continuously
growing tools; so he give the market a broader horizon where an organization must
be prepared and assume changes in a way such that no higher costs are incurred
and where all employees live up to the new expectations and challenges.
This growing dynamic in recent times has caused most organizations to
incorpórate within their work tools and policies that help them to be competitive
regardless of whether they are small or large,basing these on the philosophy of
information systems. The company or organization that has a system

The study of information systems provides students of all majors with the

This research project is an academic result of the Management Information
Systems subject I, which deals with the real study of a system applied in a local
institution, in this case COMTECO. Through of your system we will be able to
observe some of the most important components used in the Customer Service
area.

3. Objectives of the competency demonstration work


3.1 General objective
Show the operation of the Programming, Supervision and Account Control
modules of the GSI System, used in COMTECO; analyzing its
functionalities, in order to establish its own characteristics and know how it
contributes to decision making

3.2 Specific objectives

• Analyze the behavior of the business to establish relationships with the


modules defined above and check if they contribute to the organization.
• Analyze the input elements, to determine which are the data from which the
system feeds to start data processing.
• Define the processes carried out by the system, based on the data input it
receives and in contrast to the
• business behavior to determine how the needs of the institution are being
met.
• Describe the outputs of each of the processes of the modules under study,
clearly establishing each
• one through unit testing cycles, also reflecting the reports provided to
establish the information obtained

4. METHODOLOGY APPLIED TO THE PREPARATION PROCESS

For the development of this research work it is considered convenient to use a


Research Methodology Descriptive scientific type, since the main interest is being
able to detail the fundamental characteristics regarding the functions that are
developed through the COMTECO GSI system. In addition, the Analytical and
Deductive Methodology, which allow us to clearly describe the general operation of
the system and its specific components, obtaining valid answers to significant
questions, as well as performing predictions.

8. THEORETICAL FRAMEWORK
8.1. DATA AND INFORMATION IN THE ORGANIZATION

There is an important premise when talking about the functions that are developed
in an organization:

"All activity generates data and / or information."

For example, when you go to a library to borrow a book, regardless of meeting the
loan requirements that are required, there is a record of that fact, generally a
document is generated that is often called a ballot of loan of book or file of loan;
where data are recorded on the book loaned, the date, to whom it is lent, the
address, telephone number and other additional information. Later this data will be

To use a formal term about the object of study described above:

An ORGANIZATION is a Set of Necessary People and Resources that pursue an


end. It could be a company, an institution, such as the mayor's office, some division
of the government administration, the university, a hospital, a commercial store,
etc.

An organization has three levels:

• Command Level

• Intermediate level

• Operational level

The last two are the ones that generate information. Each level processes data that
serves the next level. Although will use the terms data and information
interchangeably, but there is a difference:

• A DATA is the record of a fact. For example, what is contained in a loan slip in a
library, such as the borrowed book, the date, etc.

• INFORMATION is data with meaning, processed data. For example, the number
of loans have performed on a particular date. The loan ticket data is grouped by
date, it is counted and finally you have that information.

The information has some properties or qualities that are described below:

• Accuracy represents the percentage of correct information over the total.

• The Opportunity that refers to the time elapsed from the moment it occurred until
its availability of the same.

• Fullness means that the information must be complete.

• Meaning, that is, a lot of semantic content.

• Security, that is, it must be protected from deterioration and access.

8.2. INFORMATION SYSTEM
An information system can be defined as: “a set of elements in an orderly
relationship with each other according to certain rules that it contributes to an
object system (that is, which it serves and that sets guidelines for operation) the
information necessary for the fulfillment of its purposes, for which it will have to
collect, process and store data, both from the same organization and from external
sources, facilitating retrieval, preparation and presentation of the same ”.

Within an Organization, data of a different nature is handled, such as:

• INFORMAL INFORMATION: It is the one that is not recorded, such as certain


orders and verbal reports.

• FORMAL INFORMATION: It is that which is written or registered, generally in


documents, notebooks, files and others.

• KNOWLEDGE INFORMATION: Refers to information that arises from experience,

it is usually not registered either.

Formal information, that is, information that is noted or registered is what interests
us

8.3. MANAGEMENT INFORMATION SYSTEM


Management information systems are a collection of information systems that
interact with each other and that provide information for both operations and
management needs In theory, a computer is not necessarily an ingredient in a
Management Information System (GIS), but in practice, a complex GIS is unlikely
to exist without the processing capabilities of computers. It is a set of extensive and
coordinated information of rationally integrated subsystems that transform the data
into information in a variety of ways to improve productivity according to styles and
administrator characteristics.

6.3.1 MAIN GIS ACTIVITIES
• Receive data as input, process data through calculations, combine data elements,

All managerial functions; Planning, Organization, Direction and Control are


necessary for good performance organizational. To support these functions,

6.4. ADMINISTRATIVE INFORMATION SYSTEM

For us, however, an S.I.A is the combination of communication equipment and


other devices designed to handle data. A fully automated administrative information
system receives, processes and stores the data; transfers information as you need
it; produces reports and copies as required.

According to the previous definitions, the S.I.A is the process of transforming data
into quality information, that allows administrators to make decisions, solve
problems and fulfill their functions / operations in efficient and effective way

GSI is a Web application used in the COMTECO telecommunications cooperative,

clients and services regarding the technical work of the institution.

9. CONCLUSIONS
º Through the analysis of the business behavior, it was possible to know all the
general aspects of the institution and the activities carried out to understand the
need for the study system.

º It was possible to know and describe the data that the system receives in order to
perform the functions for which it is developing.

º Know the processes developed in each study module, helped to describe the
different their functionalities and the roles that are fulfilled within the general
package.

º The understanding of the processes allowed to describe the reports and outputs
that the information system has; also know the result of the information processing
and how it helps the organization in the decision making
