Brief Writeup on ISO 50k-2018

Documentation:
1. Apex Manual – Level-1 document to be prepared by Energy Manager
2. Operating Procedures – Level-2 document. Some to be prepared by process
owners and some by Energy Manager
3. Annexures – Level-3 document. Some to be prepared by process owners and
some by Energy Manager
4. System Formats – Level-4 document to be maintained by Energy Manager
5. Procedural formats – Level-4 document to be maintained by respective
process owners
Energy Manager will have a set of all the above documentation in soft form and
will be MASTER COPY document. He alone can edit the 50k documentation
Entire 50k documentation can be made available to all the process owners as
“READ ONLY” document with no edit access.
Process owners can take a printout of the documentation, which will be identified
as “UNCONTROLLED COPY” as it will not be signed by the competent and
responsible persons as defined in the responsibility section in the respective
document.
If the “UNCONTROLLED COPY” is signed and stamped by the responsible
persons as identified in the document, then it will be a “CONTROLLED COPY”
All old documents are taken out from the documentation and kept separately as
“OBSOLETE DOCUMENTS” along with details of Document Amendment Record
Sheet.
Note:
I will prepare the documentation and give it to you for your review and
subsequent implementation.
Documentation Flow

Sequence of Steps:
1. Identify sources or energy used in the Organization
2. Identify where the energy is used in the Organization.
3. The above two should match.
4. We can exempt certain areas for our energy use while defining the scope
and boundary of our EnMS.
5. Collect the data as per point 1 and point 2 for the last 2-3 years so that we
can nullify any variations while capturing the baseline data.
6. We calculate Energy Baseline (EnB) based on the average of the data
collected in point 5.
7. We also collect the output of the energy use areas so that we can use this
data along with data collected in point 5 to capture Energy Performance
Indicators (EnPI).
8. From the data captured in point 2 we can identify significant energy use
areas.
9. A significant energy use area can be an area where the energy
consumption is high or where the potential saving for energy consumption
is high.
10. Once we capture SEUs, for each SEU we
a. Use the energy aspect register to capture the equipment-wise
details of energy consumption, energy losses and rank the
equipment based on a set of criteria based on which we can take
up the equipment modification for improving energy performance.
b. We use a cut-off wattage for the equipment and all equipment
above this cut-off wattage are considered for energy performance
improvement activities.
c. In this way, for each of the SEUs, we get a list of equipment where
energy improvement activities can be taken up.
d. The outcome will be a list of equipment for all identified SEUs
where improvements can be done.
e. But, if this is taken to the top management for approval, it will be
straight forward rejected because of the budgetary constraints.
f. Hence, we need to prioritize which equipment should be taken up
for improvement. Here the Energy saving opportunities register
will be of help.
g. As per this register, we list out all the energy saving opportunities
identified as per the energy aspect register and rank them based on
a set of criteria to identify that equipment, which can give us the
maximum savings.
h. For this outcome, the respective SEU in-charge has to get a
budgetary approval and get is signed by the Top management.
Then a PO is released on the identified party for procurement.
11. Identifying SEU is the most important activity in EnMS because all
improvement activities stem from there only.
12. SEU can be at a process level or operational level and has to be drilled
down to the equipment level.

13. In the process, we may notice that many equipment may not be having
any measurement equipment and we may not be able to capture the
necessary details
14. Hence capturing the power consumption details is very important. If
energy meter / transducer can not be arranged for power reading, we can
capture the data manually as a part of improvement.
15. Each SEU must have
a. Energy Data Collection Plan Worksheet (FT-EnMS-06) for capturing
the energy consumption data.
b. EnMS Suggestion Form (FT-EnMS-07) by encouraging workers to
give suggestions
c. SEU Future Energy Estimates Worksheet (FT-EnMS-09)
d. Training plan and training records for the trainings provided / to be
provided to the Organizational staff.
e. Checklist for Operational Controls (FT-EnMS-10)
f. Calibrated monitoring and measuring equipment (ANX-15)
g. Energy Objectives and Targets and their monitoring (ANX-08)
h. Energy performance considerations during purchasing/design
related activities.
As can be seen from the above, every requirement of the Standard revolves around
the SEU.
