Sub:- Enquiry for Procurement of seal wear ring of roller journal assembly for coal Mill XRP- 1003
installed at 1X500MW, unit SGTPS, MPPGCL, Birsinghpur

Dear Sir,
Quotations in sealed cover are invited for supply of materials as per schedule enclosed.
The cover shall be duly super scribed with enquiry and date of opening and name of the firm.
Quotation should be accepted if sent by post.

01. SUBMISSION AND OPENING OF QUOTATION:-

The sealed quotation must reach this office on or before 3.30 P.M. on the 13.03.2020. The
quotation will be opened on the same date at 4.00 P.M. in presence of supplier or their
representative who so ever may be present quotation received late will not be opened.

02. EARNEST MONEY DEPOSIT:- Not Applicable

03. PAYMENT TERMS:-

Payment would ordinarily be made in 45 days or on turn as per queue whichever is later after
receipt of material in good conditions in MPPGCL stores. The company shall be not be liable for
any interest payment.

04. SECURITY DEPOSIT:- Not applicable

05. VALIDITY:-
The quotation should remain valid for minimum period of 180 days from the date of opening.
Otherwise the offer is likely to be rejected. In case the validity period has not been mentioned, it
will be deemed 180 days.

06. PRICE VARIATION AND RATE JUSTIFICATION:-

No variation in rates is acceptable. Prices are accepted within validity period of 180 days.
Please submit a copy of a printed price list/Catalogue along with the offer to ascertain the
reasonability of rates. In case of non-availability of printed price list, copy of order executed
previously for Govt./Semi Govt. organization may be enclosed with offer.

07. DELIVERY:-
The materials are required immediately. Bidders are requested to indicate shortest possible
delivery period.

08. PENALTY:-
The delivery period stipulated in our enquiry will be essence of the supply order. In case of delay
in executing the order, the company may at it’s option (i) either recover from supplier the sum @
½% of the price of the stores not delivered per week subject to maximum of 10% or (ii) purchase
from elsewhere on account and at the risk of the supplier, or (iii) cancel the order in case the
supplier not honoring the written order for some reason. The company may debar the firm from
future supply.
09. P&F and Freight Charges:-
P&F and Freight charges (if any) may be quoted separately. (It should be noted that as standard
conditions of MPPGCL the P&F charges shall be paid extra @ 1% and Freight charges shall be
paid extra at actual, limited to 4% subject to documentary evidence).

10. GST:-
GSTIN registration along with documentation proof as well as HSN code & GST rate of each
item must be furnished.
11. SPECIFICATION OF MATERIAL:-
Specification of material Brand/make should be mentioned in quotation. Rates of each make
must be quoted separately, and in case the parties do not follow the instructions, their offer is
likely to be rejected. The undersigned reserves the right to decrease/increase the quantity of items
required and accept/reject any offer wholly/partially, accept any of the tender considered
advantageous to the company without assigning any reason whatsoever.

12. SAMPLES FOR APPROVAL:-

If samples are desired with the offer, the postal charges for arranging the samples will not be
borne by the Company. Samples once submitted will not be returned to the firm. Only unusable
samples will be returned.

13. REJECTION:-
If all the information’s are not furnished in particulars and quotation submitted not complete, the
same is liable to be rejected. Even otherwise, the Company reserves the right to accept or reject
any or all of the quotations without assigning any reasons thereof.

14. DESPATCH DAMAGES:-

The material should be dispatched duly packed to consignee according to Railway. Tariff
packing conditions. In the event of any loss during transit due to nonstandard packing while
taking delivery, the replacement or loss/damage of materials will have to be made good by the
supplier within 15 days from the date of delivery of materials.

15. POSTAL DELAY:-

The Company shall not be responsible for any postal delay in any case whatsoever. The bidders
requested to make sure that the quotation is submitted in time.

16. INSURANCE:- Nil. However, safe delivery of material at MPPGCL’s stores shall be in firms
Account.

17. GUARANTEE/FITMENT: - The material must be guaranteed for fitment & for service life for
a period of 12months from the date of commissioning / 18 months from the date of dispatch
whichever is earlier.

PQR:

1. The bidder must be manufacturer/ authorised dealer/ supplier of same/ similar

(seal wear ring of RJA for coal mill XRP-1003 or above) items.
2. The bidder must have to submit purchase order copies of same/ similar (seal
wear ring RJA for coal mill XRP-1003 or above) items, executed by them in
NTPC/ BHEL/ Govt./ Semi Govt./ SEB;s /PSU’s/ any leading power generating
company during last seven years end with bid opening date.
Note: -
1) Firm have to submit its offer in two parts. Part – I as PQR, Part-II as Price
bid. Each must be on separate envelopes and these two envelopes should be
enclosed in a single envelope.

Technical terms & conditions:-

i) Test certificate confirming to the specification obtained from NABL laboratory
should be submitted. No extra charges towards certificate shall be borne by
MPPGCL.
ii) The Bidder has to submit order copy towards the performance of the same / similar
types of seal wear Ring of RJA.
iii) Fitment guarantees and interchangeability of above material in the existing spare of
coal mill XRP-1003 to be furnished by the firm.
iv) The bidder has to submit chromium plating (thick – 0.08 to 0.1mm radially) test
certificate from BHEL approved lab.
