EMPLOYMENT RELATED LETTERS

Remember this…

When you leave the walls of your school, you will be seeking an employment and
hopefully become a part of a stable and successful company. This means that from students you
are now an employee who takes part in the day to day activities of the company. With this
responsibility comes the need to be competent in writing employment related letters, which
includes letters for your application.

Job Application Letter

Also known as a cover letter, should be sent or uploaded with your resume. The job application
letters you send explains to the employer why you are qualified for the position and why you
should be selected for an interview. It also provides additional information about your skills and
experience. Effective cover letters explain the reasons for your interest in the specific organization
and identify your most relevant skills or experiences.

A. Preparing the Job Application Letter

1. Begin with your contact information at the top so they can reply to you. This should
include your whole address and phone number/s.
2. Write the date in the letter.
3. Write the name of the employer to whom you are applying for the job, including his
designation. Include the address.
4. State the position to which you are applying so that the employer knows for certain.
5. Begin the letter by telling the employer why you want the job and why the job would be
suitable for you.
6. In the second paragraph, you can point out a summary of your scholastic background or
attainments. Highlight your qualifications and strengths and your former position and
education. Mention your specific responsibilities you had in your previous job. In your
letter you could mention what you would do to the company if given the job. These details
will make the body of your letter. You could write well in simple language that could be
easily understood and try to be honest. Remember you are selling yourself to the
employers.
7. In the third paragraph, you can summarize your strengths and any particular
qualifications or experience that would be considered relevant to the post. it should
include the most relevant aspects of your career.
8. Finally, explain how you think you can contribute to the company and help it become
successful.
9. If they are going to contact you, at the bottom of the letter but before your closing and
signature, write I look forward to hearing from you at your earliest convenience.
10. End appropriately. Use sincerely yours.
11. Sign invite your name underneath.
B. Two Types of Application Letter

1. Unsolicited Application

This is a form that is filled out or a letter submitted by a job applicant for a position
that is not vacant or advertised at the time of this admission. Many employers will
accept unsolicited applications that go into a general pool of candidates for future
reference. An unsolicited application letter is similar to a resume, and typically
includes information such as the job seeker’s contact information, why he or she
would be a good fit for the company, a description of relevant skills and degrees,
and the manner/s in which the individual would be an asset to the organization.

2. Solicited Application

A solicited application letter is a letter that someone writes when they want to get a
job at a company. They will write it saying how they heard about the job and why
they think they will be best for the position. It puts you on the manager's radar
and they might call you for an interview.
