SPRING 2022 ARRIVAL TIMELINE
As we get closer to spring, there will be a number of procedures that need to be completed to ensure your safe and
smooth transition. We have created this timeline to better illustrate the process, starting from where you are
currently are up until your arrival. Tasks in blue will be done by the candidate, whereas tasks in green will be handled
by our office. We recommend printing this off on an A4 sized paper and checking off the blue boxes on the left-hand
side as you complete them.
Complete and Submit COE Documents:
• Passport Photo Page
• ID Photograph
• University Diploma and Transcript(s)
• Signed Guarantee of Employment
• Signed Written Oath
• General Information Form
• Full Educational History Form
Sign and Submit Admission Documents:
• Written Pledge
• Pre-Booked Departure Flight Ticket
• Valid Proof of Vaccination Certificate
Submit to Your Local Embassy of Japan:
• Your Original COE Document
• Your Notarized GoE Document
• Copy of Your Examination Certificate
Information Update - Submit Once
Available:
1. Your Certificate of Health
(Distributed with Info Packet #2)
2. Your Completed Background Check
3. Photo of Your Finalized Visa
4. Your Booked Departure Flight Ticket
(AFTER picking up your finalized visa
from your embassy)
Obtain and Submit Before Your Flight:
1. Certificate of Negative PCR Test Result
(Sampling MUST be within 72 hours of
your flight)
2. Proof of Private Travel Insurance
3. Your Japanese SIM Phone Number
4. Ministry of Health’s Q&A Web Form
BORDERLINK creates your
COE Application using the
documents you provided,
and applies to the
Immigration Bureau on your
behalf.
BORDERLINK sends you Application for
Admission documents via EMAIL.
BORDERLINK creates your Application for
Admission using the documents you
provided, and applies to MEXT on your
behalf. Once approved, BORDERLINK
receives your Examination Certificate.
BORDERLINK sends documents by POST:
• Your Original COE Document
• Your Notarized GoE Document
• Copy of Your Examination Certificate
BORDERLINK sends your Booked Flight
Ticket to the Japanese Government to
confirm your upcoming arrival.
BORDERLINK shares your information with
the Immigration Health Verification Center.
Entry to Japan
At your time of entry in Japan, you will need to submit
the following documents to the Immigration Bureau:
1. Certificate of Negative PCR Test Result
2. Examination Certificate
3. Your Finalized Visa and COE Document
