What are the problems faced by hospitals using traditional manual process and how will Health

Management Information System (HMIS) address these issues?

Health Management Information System is an electronic and efficient ways of collecting,

storing, processing and disseminating health information and data to carry out the management
functions

Problems faced by hospitals using traditional manual process and how Health
Management Information System (HMIS) addresses the problems.
1. Loss of data and information
The traditional and manual systems for storing and processing data may be prone to data loss
dues to the misplacement of the materials that has been used to store the data. The data in the
traditional manual process is not backed up and this makes the data vulnerable and the
information can be easily lost. This is one of the major problem that is is associated with
traditional manual process.
By use of the Health Management Information System (HMIS) data will not be easily lost as it
will not be prone to misplacement, data stored in the Health Management Information System
(HMIS) is easily accessible because there is only one system used and there is a backup for the
information stored, therefore data loss will not be easy.
2. Slow access to data and information
The traditional manual process slows down the management of the hospitals and this slows down
the management process in the hospitals. When data and information can not be easily accessed
there is delay in decision making and this slows down the management process of the hospital.
The Health Management Information System (HMIS) is a fast process and information is
processed easily and data can be easily accessible within a short period of time.
3. The information is not safe-
The traditional and manual system does not provide a secure way of storing data and information
in the hospital. The data can be accessed easily by people who are not authorized to access the
data unlike in the use of modern ways to store data.
The data and information stored in Health Management Information System (HMIS) is only
accessible to the people who are responsible and also the data is secured and encrypted so that
unauthorized parties can not access it.
4. Takes a lot of space.
The traditional manual system takes a lot of space in the hospital, use of books to record and
store information there is a lot of space needed to store the books that have stored the
information. This is one of the largest problem experienced when using traditional manual
process to store data.
There is no large space used in Health Management Information System (HMIS)as the system is
computerized and the machines do not take a lot of space as compared to traditional manual
systems
5. Prone to damage.
The traditional and manual process experiences the risk of damage and also misplacement of the
materials used, this may lead to loss of data and information stored there.
The data Health Management Information System (HMIS) is safe and secure and can not be
easily damaged, and the system makes the data more secure as compared to traditional manual
method.
