Assessment Task 1: Workplace digital There are five parts to this task:

Management Consultants' IT Policy and Procedure to answer the
questions.

PART A – CONDUCT RESEARCH

INSTRUCTIONS:

The first part of this assessment requires you to conduct research about workplace digital applications.
You will use your research to write a briefing report (Part B) about the workplace digital applications that you
have researched. Your assessor will provide you with a template for developing the report. You should review
the template prior to commencing your research. The report should be written in clear and concise English.
Your research should address the following:
1. General trends and innovations in digital technology applicable to workplaces. You will need to research
at least five trends/innovations, give an overview of each and briefly discuss what that trend/innovation
means to the small to medium sized business.
2. Identify and review six digital applications that are available to Australian workplaces – two each for
communications, technologies and networks
 Workplace communications (ie any digital tools that allow two or more people to
communicate/collaborate with each other and that may be written, verbal, visual, audible or a
combination of these).
 Technologies that can be used in any area of the workplace eg hardware and software, learning
management systems, record management, document management systems, etc.
 Networking through digital applications to form and/or maintain relationships with other individual or
organisations.
Note: you may focus on both general technologies eg project management software, as well as a specific
version of the technology eg Wrike
 For each of the digital applications you identify, address as a minimum:
 the name of the digital application
 brief description of the digital application, including its use in the workplace
 at least one benefit of using the digital application.
3. An important part of accessing digital information is to review the validity and reliability of information
sources. Research the Internet to find out about ways to assess the validity and reliability of digital
information sources. Make notes on at least five questions that should be considered to assess the validity
and reliability of a digital information source.
4. In your briefing report, you will be also be required to list at least three of the information sources you have
used to research the digital applications. For each of those sources you will need to answer each of the
questions you developed to determine and report on the validity and reliability of the identified information
sources.

5. You are required to research legislation and regulations relevant to intellectual property and digital
technology. Your research should:
 discuss intellectual property risks in relation to digital technology
 list the names of at least five Acts and Regulations that apply to intellectual property and digital
content including their purpose and scope.
6. Research the key elements a workplace would need to consider when evaluating digital technology and
information options to determine if they are fit for their purpose. You will need to discuss your findings in
your report.

PART B – DEVELOP RESEARCH REPORT

INSTRUCTIONS:
Develop your research report based on the research you conducted above.
Use the research report template provided by your assessor to document the research that you conducted.

PART C – RESEARCH CLOUD STORAGE SERVICES

INSTRUCTIONS:
You are required to research and compare cloud storage services. You will use one of the public cloud
services to share your briefing report with your assessor.
1. Research four cloud storage service options – at least one of the options should be a public cloud service
that you can use later in this assessment.
Your research should address:
 the name of the cloud storage service
 how it compares to other services - the advantages of disadvantages of each
 brief description of the cloud computing systems
 storage capability
 pricing and plans (as applicable).
2. Write a brief report that includes the comparisons, your chosen cloud service and the reasons for
choosing it (this report will need to be submitted in Part E of this assessment).
3. Send an email to your assessor letting them know which cloud service you are going to use.

PART D – WRITE A BRIEF PROCEDURE

INSTRUCTIONS:
Write a brief procedure for using your chosen cloud storage service in a workplace.
Your procedure should cover the following points:
 The purpose and scope
 The relevant legislation that applies to the service (identified in Part A and Privacy)
 Information/instructions on how to protect intellectual property and copyright
 Where the information/data is stored prior to sharing on the cloud service
 Where the information/data is stored after it is retrieved from the cloud storage
 How long it can be stored in the cloud (from the workplace prospective)
 Instructions on how to use the service including logging in and out
 Any protocols that may apply (naming conventions, usernames, file size, etc).
Your procedure should not be longer than two pages.

PART E – UPLOAD DOCUMENTS TO A CLOUD STORAGE SERVICE

INSTRUCTIONS:
The final part of this assessment requires you to use the public cloud service you chose in Part C of the
assessment.
Create an account for the cloud service, if you don’t already have one, and upload the following documents to
share with your assessor:

 Cloud Storage Comparison Report (Part C)
 Your procedure (Part D).
Your assessor will provide feedback via the cloud service which you will be able to download.

Part B – Research Report

Briefing report: Workplace digital technologies

1. Digital technology – trends and innovations

Describe at least five current trends and innovations in digital technology in the workplace. Describe each
trend or innovation in a paragraph or two, briefly explaining the trend/innovation and its application to the
workplace.

Smart Spaces- The integration of elements, such as new techniques and services with numerous gadgets,
is boosting this trend. This concept is increasingly gaining traction in the workplace. Identity access
management, such as in conference rooms, uses the smart everything concept. The idea is to use digital
transformation and automation to create intelligent work and living environments.

Digital Twin Technology- The digital twin approach aids in the generation of real-time data by connecting
digital equipment and processes, as well as cost-effective pre-planning using simulations for prospective
products. This aids offices in identifying and anticipating problems early on, as well as seeking out more
advanced solutions, avoiding downtime, and developing better goods and new prospects.

Internet Of Things- In the preceding year, the Internet of Things (IoT) gained traction in numerous areas,
including workplaces, thanks to its use in Real-Time operating systems. It also can facilitate the integration of
data and information processing while maintaining control over multiple transportation systems. As a result, a
variety of IoT-related devices have been tested in the workplace.

Edge Computing- Intelligent Edge solutions analyse data generated by IoT devices on the fly (at the
network's edge, therefore edge computing), eliminating the need to send it through a long data centre path
first. This allows businesses to evaluate data in real time.

Pacing towards 5G network- As more organisations adopt a work-from-home attitude, despite some
restrictions in most parts of the country, there is a growing demand for faster and greater bandwidth
networks. 5G, the next-generation network built on a "Service Based" architecture, provides a higher level of
service based on the network's "Slice."

2. Workplace communications – digital applications/technologies

Provide examples of two workplace communications technology i.e. any digital tools that allow two or more
people to communicate with each other and that may be written, verbal, visual, audible or a combination of
these. Make sure the technologies you choose are up to date and/or innovative.

Zoom- With group video chats, Zoom can give the next best thing. We can host one-on-one meetings or
groups of up to 100 individuals. During conferences, private and group chats allow for more in-depth
conversation. Zoom allows for screen sharing, which makes giving presentations a breeze. It is compatible
with a wide range of devices, including smartphones and tablets. Team members can join conferences by
dialling in, and screen sharing is still available on mobile devices. Cloud recording can also be used to save
conferences for future use.

Wrike- Wrike allows you to send chats to teammates that show in their workspace. This cuts down on time
spent switching between sections of the app and ensures that urgent messages are seen and responded to
as soon as possible. To provide context input, you may also post comments directly to photographs, videos,
and documents in Wrike. With live activity streams, project and team reports, and workflows, you can track
your team's progress on projects. This avoids the need to inquire about which jobs have been accomplished
and which remain unfinished.

3. Digital technologies – general

Provide examples of two digital technologies that can be used in any area of the workplace e.g. hardware
and software, learning management systems, record management.

Onlyoffice- OnlyOffice is a handy tool that allows you to create documents and edit all types of files stored to
its platform, as well as sync with third-party services like Dropbox and Google Drive. OnlyOffice’s key
advantages are its extensive features, compatibility with multiple formats, and the ability to edit on the go.

When companies adopt OnlyOffice, they receive a flexible piece of software. They get not only an online
document editor, but also chat, document management, mail, calendar, projects, and CRM capabilities. The
programme may also manage a community that includes news, forums, blogs, and other features.

Microsoft SharePoint- Microsoft Office SharePoint Server is a set of integrated server capabilities that can
help organisations improve their effectiveness by providing comprehensive content management and
enterprise search, accelerating shared business processes, and facilitating information sharing across
boundaries for better business insight. This collaboration and content management server also gives IT pros
and developers the platform and resources they need for server administration, application expansion, and
interoperability.

4. Networking through digital technologies

Provide examples of two digital technologies for networking i.e. to form and/or maintain relationships with
other individual or organisations.

Eventbrite- Eventbrite is a complete event planning software with a variety of options that may be
customised. Users can improve their events by thinking ahead and planning for major activities as well as
contingencies. It may be used to plan everything from basic music recitals to rock concerts. From registration
to ticketing to listing, promotions, fundraising, and even payments, plan your event. Users may manage
every information, including promotions, on the platform. These can be shared on Facebook and other social
media platforms. We can combine event registration with other websites and track all of them in real time.

Couchsurfing- Couchsurfing is an online service that allows people from all over the world to sleep on
someone's couch rather than paying for a hotel room or a dorm bed in a hostel. Couchsurfing has the
advantage of being free. Hosts share their homes, couches, and spare rooms with strangers out of the
goodness of their hearts, expecting no (or very little) compensation. This is ideal for those on a tight budget
who want to travel. Couchsurfing is also an amazing online community, which allows people from across the
world to communicate

In many industries, the difficulty for incumbent manufacturers is not just that technology has grown and
become increasingly sophisticated, but also that they may not control the intellectual property (IP) on which

new digital technologies are based. They have a basic dilemma in this fast-changing digital world: their
influence is based on conventional business practises and concepts, which are in danger of being obsolete
and weakened. Many companies have invested much in intellectual property portfolios for old business
models that are at risk of being replaced by disruptive new approaches.

 Legislation and copyright – list at least five Acts and Regulations that apply. List the name, the purpose
and scope of each.
Intellectual Property Rights 1994- A legally enforceable right to exclude others from utilizing the knowledge
developed or to determine the terms on which it can be used is known as intellectual property.

The Copyright Act 1968- he Copyright Act gives authors and other copyright owners of original 'works' the
exclusive right to reproduce, publish, communicate, and adapt their material; and to licensee, transfer, or
sell it to other people.

Patent protection- An Australian patent provides a legal right to stop third parties from manufacturing,
using and/or selling an invention in Australia. It may also be used to license someone else to manufacture
an invention on agreed terms. Australian patents are administered by IP Australia.

Trademark protection- Businesses can register a trade mark as a marketing tool. A registered trademark
provides legal protection that prevents others from using your brand. Trademarks are issued and protected
nationally.

Design protection- Applications for registration of designs must be filed with the Designs Office of IP
Australia. The Designs Office will assess whether the design meets legislative requirements.

into a virtual, permanent hard drive. It bills itself as a "personal cloud area where you can store all of your
files and folders a user-friendly interface that clearly shows where everything is situated and what it does,"

IceDrive's online storage can be shown on our (Windows) machine as a regular drive, just like our hard
drive, with the goal of making it easier and more intuitive to use. It's just like accessing a local drive, and we
can utilise services like opening or editing files at nearly the same speed as a local operation as we saw in
our assessment. There's almost no noticeable lag.

Users of Android devices will find Google Drive to be a natural choice because it is already integrated, while
users of other systems may benefit from the substantial free storage. We can also use Google's own office
suite and keep unlimited high-definition images on our phones with the companion software Google

Write a brief procedure for using your chosen cloud storage service in a workplace.

 The relevant legislation that applies to the service (identified in Part A and Privacy)

Microsoft OneDrive

The purpose of choosing this cloud drive is that it has a secure private cloud–based folder where we can
keep everything we need and access it from any device. But we can also configure sharing and editing
permissions at the folder or document level, allowing us to collaborate with peers both inside and outside
our company. We can also cease attaching papers to emails, with all the risks that entails, and instead work
on cloud shared files in a GDPR environment.

Microsoft is providing functionality to identify and manage data for the purposes of compliance with the
GDPR. We offer a wide variety of features that organizations can use to implement their own policies for
data access and management, including OneDrive and SharePoint data. For example, the Compliance
Manager in Office 365 helps guide customers through preparatory steps they can take to improve their own
GDPR readiness. Microsoft will provide detailed guidance on how to leverage Office 365, OneDrive and
SharePoint functionality to manage and honour GDPR data subject requests (DSRs) by the GDPR deadline.

According to Article 35 of the GDPR, a Data Protection Impact Assessment (DPIA) is a legal necessity. In
short, a DPIA is used to verify whether new assets or initiatives in the firm comply with the principles of
"privacy by design" and "privacy by default." Privacy by default simply implies that when a consumer
purchases a new product or service, the toughest privacy settings are applied automatically. In other words,
the user should not be compelled to update the privacy settings manually. This principle also has a
temporal component since personal information must be maintained for no longer than is necessary to
provide the product or service.

The team had put in place technical and organisational safeguards to secure customer data against
unintentional, unauthorised, or unlawful access, disclosure, modification, loss, or destruction. Here are a

You work for a company that has offices in Sydney, Melbourne and Brisbane. As senior managers are
based across different offices, meetings are usually held in any one of the offices with senior managers
travelling interstate to meetings.
The company has recently decided to conduct at least 50% of meetings online and has asked you to
investigate relevant software solutions. Management would prefer a free service but are happy to pay a fee
for usage but not a license fee. They have also specified that documents will need to be shared during

Copyright infringement has simple implications for Google. The Digital Millennium Copyright Act is followed
by us (DMCA). We may prohibit access to content that infringes relevant copyright law if we are properly
notified under this legislation. If we receive a legitimate infringement notification identifying content linked
with your work, that content will be deleted, and you may be subject to a strike. Copyright holders may also
opt to sue for infringement. Copyright infringement in the United States can result in statutory damages of

PART D – CONDUCT MEETING USING ONLINE MEETING SOFTWARE

INSTRUCTIONS:
The final part of this assessment requires you to conduct an online meeting.
The purpose of this meeting is to talk about the digital application you chose. You will use your presentation
from Part B of this task to guide you through the meeting.
Your assessor will be in another room on their own computer to observe your performance.
Remember to give your assessor the opportunity to ask questions and make sure you follow the meeting
protocols you developed in Part B of this task.
Submit the following documents to your assessor at the end of this online meeting:

 Copy of your presentation

Before the meeting,

 The meeting will take place on Google meet, an online collaboration platform. When joining by
computer, no prior download is required because participants can join using the meeting link in
their web browsers. It is, however, recommended that you download the app to gain access to
more features.

 By verifying your internet connection (ideally cable), web camera, and headset before the
meeting, you can ensure that you have a steady connection.

 For the call, choose a calm location. Any background noises or other distractions may cause
the meeting to be disrupted.

 Select a spot with adequate lighting and a clean backdrop.

 Presenters should prepare and open their presentations on their PCs ahead of time. The
speakers will be able to share their experiences.

During the Meeting

 15 minutes prior to the scheduled start time, the online session will be available. The link to the
meeting will be emailed to all participants by the Secretariat.

 Type your name in the chat window to request the floor. Following the speaker queue, the
Chairperson will take the floor.

 All participants are asked to turn on their web cameras for optimal interaction. It is recommended
that you use a headset for a better audio experience.

 When not speaking, always mute your microphone to prevent background noises from interfering
with the call.

How to join Slack:

 Before starting a call, you must be logged in to your Lifesize account, and you must allow access to
your Lifesize account from Slack the first time you use the Lifesize app for Slack.

 Click Call from a direct message or a channel. Slack will create a one-time meeting and send a
message or calling card to the channel. Invitees can join the meeting by clicking on the meeting

 It is important to note that calls between Lifesize accounts are not supported.

 Join Lifesize meetings in the account using either the Lifesize meeting extension or name. Type
/Lifesize join and enter the extension or name (example: /Lifesize join 1234567).

 If your meeting is passcode-protected, you can find the passcode in the calling card. If a meeting is
hidden from you, you will see an error message that the meeting cannot be found.

 Once your meeting has ended, Slack will display a list of attendees and the time the call ended in the
calling card and the date in the channel.

Procedure to answer the questions.

Read through the case studies below and answer the questions that follow

CASE STUDY 1

Jane is the Marketing Officer at Grow Management Consultants and has recently downloaded cloud
storage software onto her private mobile phone so that she can use the documents for another job she has
applied for. She doesn’t have authority to use her mobile phone for work use and it doesn’t have a
password protecting her phone.
The free software Jane downloaded was an app from the iTunes Store that had no reviews. She has
transferred a large number of files via the Internet at work to her phone and a colleague has reported it to
the Branch Manager.

CASE STUDY 2

Jane has received a formal warning and ask been asked to remove the app from her phone. Management
have since heard that a number of staff have downloaded cloud storage services onto their devices so that
they can work from home. While they have had their devices approved for use, they have not had
permission to use the cloud services.

1. What information could Grow Management Consultants add to their policy and procedure to ensure the
use of cloud storage services meets their compliance requirements?

2. Write an excerpt for the policy and procedure document on how intellectual property and copyright will be
protected using cloud storage services.

Grow Management Consultancy produce a monthly blog about all aspects of leadership and
management. The blog site is at www.growmanagement.net.au/blog
Your most recent blog is about Leadership in the digital age. You have just been searching the Internet to
find out about topics that you think might be of interest to your readers and you find that a competitor,
Better Management Consultants has posted more than half of your blog, word for word, on their blog page
as their own. The website address that includes the blog is www.betterMC.net.au/weeklyblog and the date
of the blog is shown as two weeks after you originally produced your work.

1. Research copyright laws in Australia to find out if this scenario is a breach of copyright laws. Explain your
findings in a paragraph.

2. Could Better Management Consultants use the text from the blog under 'Fair Dealing' exceptions? Explain
your response in a paragraph.

3. Explain what Grow Management Consultants can do regarding this breach of copyright, without taking
the matter to court.
