Abstract

This project was conducted in Ethiopian Electric Power Corporation TEPI district
Office. The objective of this study is to automate the manual system of this
department and develop system. In data collection mechanism we use interview to
know details about TEPI District. We search the problem of Billing System in
manually. This project provides some solutions to handle the problems that
employees face Because of using manual system. The major finding of this project
is to show the problem of working with manually. That means it is very difficult to
work with manual system.
1. INTRODUCTION
1.1. BACKGROUND OF THE PROJECT

Ethiopia Electric Power Agency in TEPI Town is established in 1970 E.C ,were
as from 1970-1988 was used in Diesel(Generator),but after a couple of years it
become change in to substitute or in water that describe from GIBE-1.TEPI town
Power Agency uses manual system to give service for their customer. Before a
couple of years the organization was in some limited space in rent house even it
was in more little space of area. But starts from 1990 the organization builds its
own office in the center of TEPI Town .so it becomes independent organizational
office with much more employees under the workplace and much more customers.
1.2. Statement of the problem

Electricity is a core utility for the development of one country Electric power
providers has a duty to ensure that customers are supplied with the required
voltage level at all times. Surprisingly, the causes and effects of voltages drops on
transmission systems have not been extensively looked at. There are so many
customers of EEPCO at different parts of our country. Tepi city is one of them.
However, customers at the extreme end of the feeder, located in TEPI town have
been Experiencing low voltage levels for some time now.
The department of distribution system has the duty to supply a good power quality
for their customer. The organization had taken carefully on the standardized
materials to use. But the distribution system is unable to consider these standards
instead it uses different conductor types and size to supply the Electricity; such
members of problem in TEPI Electric Power supply service is currently uses a
fully manual system. So the system, it has its own problems. Since customer
registration is taking place in physically, so it leads to wasting time and more man
power. During requesting maintenance, the customers may spend unnecessarily
expense and waste their time. The customers may not get the chance to request
service of the organization properly. During generating monthly report, it takes
time and it may not be easy to manage and analyses the monthly work due to
massive collection of data and the generated report may not be accurate.
1.3. Objective of the project
1.3.1. General objective
It is more useful at the customer side of the selected distribution to expand the
demand of the society who lives in TEPI Town and its areas. Even it has a great
role to distribute more factories in which the place distributed this power agency,
not only but also to create more a great relationship instead of marketing the power

 To know what the causes or the factors of voltage drop are.
 Effects or consequences of the power supply.
 To know the exact location where this problem occurs.
 To know the methods used to solve the problem.
 Reduce magnitude to acceptable international standard .
 Improving reliability and safety of the distribution networks.
 To understand the relationship between distances of the customer from the
distribution.
 To understand the relationship between operating voltage and its resistance.
1.4. Methodology
In order to prepare this project proposal we have examined different methodologies
that will help us to investigate ways of gathering information.
1.4.1. Data collection methodology:

The collection of information is the main core of the system analysis the
information we used to describe the end of the existing system of EEPCO TEPI
town. By understanding this we have used the following methods of traditional
data collecting methods.
Interviewing
Direct observation
Reading stored document
Questioner

 Interviewing
The interview was conducted with different people who are working for the staff.
 Direct Observation
We have examined physical observations on how employees perform their jobs to
analyze the existing condition.
 Reading stored document
To have detailed awareness about our project we used documents such as books, e-
books and some related previously done projects which are very important to
develop our project. During the analysis of documents, we give a special
consideration to those documents which can bring more features to our system.
 Questioner
We would conduct questioners for the EEPCO in TEPI to study the existing
system and develop the new system.
1.4.2. System Analysis and Design Methodology
The team plan to use the object oriented design methodology for the development
of the system among the different methodologies. Because it is better way to
construct, manage and assemble objects that are implemented in our system.
Object oriented design methodology has two phases:-
Object Oriented Analysis (OOA): During this phase the team will look at the
problem domain and with the aim of producing a conceptual model of the
information that exists in the area which will be analyzed. And this model the
functions of the system (use case modeling), identifying the business objects,
organize the objects and also the relationship between them and finally model the
behavior of the objects.
Object Oriented Design (OOD): During this phase the model interactions and
behaviors that support the use case scenario, and finally update object model to
reflect the implementation environment. And also transforms the conceptual model
produced in object-oriented analysis to take account of the constraints imposed to
our system format, so that we will use this phase to refine the use case model to
reflect the implementation environment.
1.5. Tools and Techniques (development environment, programming
tools)
1. Hardware tools required are:
o Personal computer (PC): almost all tasks of our project are designed and
performed on computer.
o Flash disk: required for data movement to store & transfer data from one PC to
another PC.
o Network cable: since our system is web based, it is very necessary requirement.
It is also help us to extract relevant information about our project from internet.
o Server: to store the data.
o Stationeries (pen, paper): for writing all necessary documentations associated
with the project.
o Note book: to take notes during data collection and for other document.
o Other sources: to construct better information and more reliable,

 MS-Access: to create and design the database which used to store the
information of the customers & the employee of the organization.
 Windows 10 Operating system: will be used for the system since it is readily
available in laboratories.
 Browsers:-since our system is web based, it is very necessary requirement.
 MYSQL server 2008:-for designing the database
 Microsoft office Word 2010:-for documenting the corresponding deliverables
associated with the project.
 Edraw Max 7.8:-To draw different diagram with different shape.
1.6 Scope and Limitation
1.6.1 Scope of the project
The scope of this project is developing web based system for Tepi town power
supply serves organization.
This project is focused on the following points:
Some activities related to customers. Like:
Customer service and apologize
Customer registration
Customer maintenance order processing
Report generation
Bill report
Distribute the power supply in whole dimension of the center.
1.6.2 Limitation of the project

There are so many limitations which are obtained in doing our project like:-
Shortage times
Lack of Budget
During data collection employee of the organization sometimes doesn’t exist.
1.7. significant of the project

The Electric Power supply is using the computerized working system hence it is
the series problem in time management and to perform it their work efficiently so
making the system computerized and web based information system investigate the
technological problem to find ways and means to enable the enterprise
computerized working system could help them to work efficiently furthermore this
project in significant in that enable the system
 Reduce man power means which amount of the work will be computerized
those are time-consuming when the customer requests for the services
 Decreases complain from the customer on their services and work clarity.
 Consume the customer money by transportation to the enterprise by requesting
from their home.
 It ensures fast and efficient sharing critical information across all customers and
between interconnected responsible offices in the enterprise.
 Ensuring the response of requested question from customer timely and save
their Money which spend others without plan.
 It protects the bill control system from printed when the customer brake the
service.
 It takes less time to maintain to check that any create any failure of wires and
other such materials which needs maintenance when they request from
anywhere.
 Serve or distribute enough power to each the customer of the institution.

The beneficiary of the project


In the whole of the project the societies are more beneficiary from the product of
the project; were as in the proposed system we are more beneficial because it can
help us to develop our technical knowledge or it can help us to have well founded
knowledge.
1.8. Feasibility study
1.8.1. Technical feasibility
From technical feasibility aspect to develop proposed system, we are capability to
develop such project. We have experience in all aspects of technology tools to
develop such project. The scope of our project in compasses both web based
application and data proposed system we are familiar with c#, SQL SERVER data
base.
1.8.2. Economic feasibility
The cost budget of our project is estimated to be the expenditure of we will insure
while conducting to the project. It is a measure of cost effectiveness of a project
and also used to identify the benefits and costs concerning the project. Economic
feasibility is cost benefit analysis.
Tangible benefit: This means the concrete benefit that can be expressed in terms
of birr.
 Reduction of paper and pen.
 Reduction of space needed to record data
 Minimize time of operation
 Reduce work overload
Intangible benefit:
 Improve employees’ moral.
 Give better and effective service.
 Error reduction.
 Increase security.
 Increase efficiency.
 Increase satisfaction of customer.
 Increase communication speed.
1.8.3 Operational feasibility:
To gain understanding of the degree to which our proposed system will likely solve
the business problems or the advantage of the opportunity outlined in the system
service request. TEPI District EEPCO bill preparation system solves the problem
around the worker as well as the problem around the customer.
1.8.4. Schedule feasibility
In schedule feasibility it’s not firm or permanent that we get the problem from the
system. Whereas it has huger schedule or time table to perform the action what is
planned by the management. The project is shows the time estimation in which a
project will be completed, we used a Gantt chart technique to show the time
schedule
