Shakespeare Society Committee MINUTES Meeting 08.06.

11 Meetings next term It was agreed that we would find a weekly time to meet next term, depending on timetables. The President reiterated the importance of turning up promptly so we can get everything done. Freshers and first two weeks of term The importance of publicity during this time was emphasised. All the committee to wear their hoodies. Options were discussed for the board behind our stall. It needs to be eye catching including hotos from Twelfth Night, posters saying what we are offering, and posters for Antony and Cleopatra. We would also produce double sided flyers, one side for A&C and one side for us. We will ask for an electricity power supply send an email this side of the summer and next term. Publicity was discussed: o Blog Zlati will create a blog tied to the Gmail account, and will upload a trailer alongside snapshots. o Twitter account attached to our Facebook account; so we can keep people regularly updated. o Email list Henry will retain last years mailing list, and a list will be taken at Freshers Fayre (memberships cannot be taken). o Posters when finances have come through from TN Jamie will work out a budget; with a small budget for posters (depending on photocopying cards) Taster session o We will book a room a.s.a.p next term. o First session free for all, after that free only to members 1 fee for non-members. o Introductory theme o Discussion Becky to plan o Physical/drama workshop - Helena o After this session and ongoing go to Crosslands afterwards. Socials: o Film night early week 2 - perhaps Shakespeare in Love? o Launch night will be light-hearted; no theme people can just turn up. Would be held in one venue Stumble Inn and we would hire the whole venue. Would need a small budget. Live music options to be investigated. Date and venue will need to be sorted in the first few days back Helena to work on this. It was also noted that all the committee will need to have bought Activities insurance (with their new NUS cards) to therefore become members.




Sessions& Activities during the year A variety of options was discussed for activities aside from our productions. We will alternatesessions with film nights y Suggestions were made for branching out the Dr Who episode, or Ian McKellens Hamlet y Draft a list over the Summer of things we might like to watch. We will organise pub crawls Helena to organise these. We will organise a globe trip Anna-Maeve to organise. The latest date to see a Shakespeare Sat Oct 1st Much Ado About Nothing. Groundling tickets 5 each. Depending on budget we could offer 1 off if you join before the event. Sessions a variety of options were discussed: y The structure was discussed o Biweeekly o Hand out a termly programme, also perhaps an online calendar. Could leave one blank members to decide. This needs we need to pin this down in the first few days. o Greater emphasis to be given to discussion and activities which engage members. More general discussions, doesnt have to be focussed on a play. Activities might include:  Translating from Old English to Modern, using Old English to speak all aiding understanding.  Insults, soliloquies o Make things more zippy we do not want to be teaching, we want to be engaging in discussion; the aim is to spend less time talking. Perhaps allocate more specific timings for the context elements. y Specific session ideas: Antony and Cleopatra Week 4? Cast will have been allocated. y Hammer out for the first term ; alter for later terms as to what people enjoy the most Guest lecturers: y Helena to email Drama Lecturers y Lecturers Anna-Maeve suggested - Christie Carsson Lecturer in English and Drama and John Miles does a lot of Shakespeare things. y Jamie or Tegan to email some History lecturers Nigel Saul/Anna Whitelock? y Becky to write to more people outside College. y Write a formal letter to the head of English at the beginning of September. 



Development Plan We discussed the draft development plan that had been discussed with the SU together and decided to make some alterations. Ways to get people involved: y Leaflet do you want to get involved? y Try to get people involved in every year; talk to people from different years about what Shakespeare they are studying etc. y Leave an unplanned session you choose; y Keep asking is there you anything that you want us to do. Performances/Events

Bids o Bid process was successful o Bid Pack needs alteration for the Autumn. o The Bids for the Spring term will open early November and close late November. Socials o One big social per term in Term 1 this will be the launch night. o Other socials such as pub crawl. First one to take place mid-late Term 1, perhaps to tie in with Christmas. o Suggested that we could speak to the new society Culturama to see if we could do joint trips. o Ball  Jamie to contact Treasurer of History Society to see if we can get an idea of how much things cost.  Provisionally in January. Shakespeare Festival o Idea has got a lot of potential SU keen on it. o No production in Term 3. o Week-long festival.

Social: y One big social per term Term 1 Launch, Pub Crawl mid to late term 1, something to do with Xmas? y Culturama people interested in same sorts of Venues? Shakespeare Festival what are we doing in the Summer Term? y No production put on by us in Summer Term. y Week long; possibly leading up to a Shakespeare Quad Production. o Could work with Quad stall at Festival, free publicity etc. y SU keen on Shakespeare Festival y Community outreach o Approach local schools in Autumn term and discuss child protection issues with the SU. y Ideas o Places where people can just pop in and read.

o Sketches Helena can organise something on lines of Midnight at the Boilerhouse; would need to be free and informal. Could take place in Crosslands? o Stalls selling food Would need a significant budget; replacing a production. o Could apply in September to the VPSAs development fund o Alumni Funding is also a possibility. Talk to SU about possibility of field or open air space. Party at the end of the week of some sort; gives the festival something to build up. Need to bear in mind that people will be busy with exams.

Training Manual: o Jake Wells new VPSA Joe and Andy to stay as this year. o RAG we need to do something with them, possibly within Shakespeare Festiva. o Within Shakespeare Festival o Talk to new RAG Cttee in September o Volunteering contact see what we can do in September. o SU Facilities Post Basket use SU Address as this looks more professional. o Can get cheaper stamps through the SU. o Photocopying Cards 200 BW A4 a month we will get to the bottom of how this is paid. Constitution o Needs to be changed to incoprporate a Bids process; will be done in September. The President is mandated to go to the following meetings: o SU General Meetings & Societies Council o Sec/Treasurer can go with or instead; the more the better. New committee can shadow us; we could look at this as an option through the first year. First Aid o Tegan is a first aider, but two people can do training here. o Becky and Helena to do first aid training; first week of September. o Becky in charge of First Aid kit. Health and Safety will contact Andy with a form, which will need to be submitted with the Development plan. Options were discussed of how we can make a better use of media: o Insanity use this during Freshers Fayre, get in touch quickly at the beginning of Septebmer. o Orbital/Founder potential for two articles on Twelfth Night or Antony and Cleopatra. o Get Antony and Cleopatra into the relevant SUWhats On guide o A blog, Twitter account and YouTube channel are all in the process. o Becky to write a page for the SU website over the Summer. Sponsorship: o Can get sponsorship from local pubs; that would be good potentially for the festival? The meeting closed.
