 Operational problem

Operational problem is problem that happen into some business and it may effect to
whole areas of the environment and staffs. It’s a lot kind of operational problems in the
workplace and some of them is really often or common to happened.

1. These are 3 problems that happened in my workplace environment:

- Lack of communication
I think it’s a really common problem in the workplace environment. In my
workplace it almost happened everyday especially while busy period of
service. It happen when we run out of the item in the menu and we give the
information to one of the front staff that has been told to forward that
information to the other staff to make sure everybody knows. But the
information has not been sent and the ordering of the item that has been
finished still come in. that will make the chef to tell the other staff to change
the order from the customer and it may disappointed the customer. It may
effect the value of the customer service of the business and also may effect the
trust between the staffs.

- Misunderstanding
It also happened in my workplace when some customer order something
particularly sounds quite similar like pancake and baked egg. Its happen either
because of the accent of the customer or the staff did not listen it properly.
This problem does not happen as often as previous problem but sometime this
will effect to the other order. For example in the order or docket it says 1
pancake and we made the order then served it but suddenly the food coming
back the staff said the customer was ordered baked egg instead of pancake but
the docket clearly said pancake, so we need to make that food and canceled
the pancake. It will effect to the other foods because we need to push the food
that has been sent wrong. It will make a couple minutes delay of other foods.
It will effect the time of the service and we may lose customer because of that.

- Lack of staffs
This sometimes happened in my workplace because of poor rostering form the
manager and because sometime one of the floor staff has been sent home early
because we are not really busy for breakfast and suddenly for got busy on
lunch service period. When this happening some problem will occur such as
delay of the food delivery because they more busy in taking order than taking
food. Because of that the customer need to wait bit longer until their food
coming and sometimes the chef need to cook the food again because they
cold. It will effect in customer satisfaction and same as above we may lose
some customer.
2. The process that I would probably take to discover this problem are:

1. Supervising process
2. Staffs meeting
3. Customer feedback
4. Face to face communication with the staffs
5. Check and reviewing the business performance
6. Monitoring the business performance
7. The quantity of the customer.

4. I would support the team by providing all the tools or equipment that may needed
in the process implementation of improvement program. I would keep checking
and reviewing all the program, also I would supervising and mentoring the
program by providing a coach or mentor to help the staffs or employees in process
of improving their skills and knowledge. It would easier for the staffs or
employees to learning or guiding by example rather than just told and doing it.

5. I would monitoring the improvement program by checking day to day change of


my staffs. Also by check or monitoring the skills and the performance of my staff,
because by see the performance of the staff we can see how far our staffs has been
improved since before. We also can monitoring the improvement program by
doing the skill mapping and by checking the KPI of each staffs. Checking and
reviewing the feedback from the customer also can help us on monitoring the
progress of the improvement program. The more positive feedback we have got,
the more improvement we did. And by seeing how many customer keep coming
back to our place which may be some indicator of improvement as well.
Systematic review also one of the system that we can use to monitoring the
improvement program.
