A. Detailed Definition of Requirement

1. GENERAL
 Unless as otherwise expressly provided herein, SUPPLIER shall supply all management,
competent supervision, labor, beverages, food and each and every item of expense necessary
to establish, operate, maintain and manage the canteen in Maputo, Chimoio and Nampula
Plants as well as provide an efficient and continuous support service which consists of ensuring
continuous availability of consumable stocks in COCA-COLA fridges/freezers or installed
vending machine and for the cleaning of the machines (hereinafter referred to as the SERVICE).
 SUPPLIER will be responsible for ensuring continuous supply of the SERVICE which must be
maintained at agreed operating levels. No deviation below the determined minimum levels will
be permitted.

2. SPECIFIC DESCRIPTION OF SERVICE – CATERING

 SUPPLIER shall perform the SERVICE described in clause 1, which shall include the supply of all
required items or consumables for the safe and efficient execution of this Agreement. The
SERVICE shall include the entire management of the canteen facility as defined within this
document.
 The SUPPLIER shall be responsible for the smooth provision of the SERVICE. In order to achieve
the required level of performance the SUPPLIER shall provide a qualified Canteen Manager and
a competent team during the day and night.
 Continuous SERVICE is required from the SUPPLIER. In order to achieve this the staff
complement detailed above may be restructured to provide an optimised SERVICE. This may
only be undertaken if agreed to in writing by COCA-COLA.
 SUPPLIER shall supply, maintain and remove at its expense items, that shall include but not
necessarily be limited to the following:
 Overall high standards of management of the entire canteen facility;
 Select menu choice as per table in point 3 below, set meals, quality levels in conjunction with
COCA-COLA HR Department in Maputo, Chimoio and Nampula;
 Buying, managing of food as well as buying and maintaining high quality of raw materials and
other consumables;
 Supply and maintenance of high standard of preparation and culinary skills;
 Arranging and managing of all kitchen utensils such as stainless steel cutlery, ceramic crockery,
pots and pans, glasses;
 Recruiting, employing and managing of all catering staff. List to be provided to COCA-COLA HR
Department;
 Operating, maintenance and management of cash tills and staff restaurant;
 Control payment for meals (vouchers);
 Set meals service schedules, quality levels and menus, in conjunction with COCA-COLA HR
Department;
 Shall assume control of the training and safety procedures regarding the use of equipment in
the canteen;
 Communication facilities
 Food and consumables quality control
 Transport, on and off site of SUPPLIER’s staff members and all consumables
 Waste removal for all plants and disposal to the rubbish bins and containers located outside
COCA-COLA premises.
 Comply with all statutory and legal requirements.
 Comply with all Coca-Cola Work place right requirements
 Signed Pay slip and individual Contracts

SUPPLIER responsibilities shall, but not necessarily be limited to:

 Supply of management and employee uniforms to conduct the SERVICE;


 Refurbishment ideas for the canteen.
 No interruptions of any service shall be entertained.
COCA COLA shall supply without cost to the SUPPLIER:

COCA-COLA shall authorize temporary entrance of SUPPLIER vehicles.Parking facilities for a maximum
of 2 SUPPLIER vehicles

3. MEALS CONTROL SYSTEM AND MENU SPECIFICATIONS


Menu Specifications

 Despite any provisions to the contrary in this AGREEMENT or the Annexes, the following
special conditions will apply to this AGREEMENT:

 COCA-COLA agrees to host the SUPPLIER’s Catering Manager on site and professional chef
during operating hours. Such Manager will participate in COCA-COLA daily tactical meetings
regarding canteen (if required) and produce monthly reports to COCA-COLA in regard to all
catering related matters;
 The following minimum, but not subjected to the menu specifications below:

NB: All daily menu will include a Hallal and a vegetarian option.
 The detailed menu for the following week shall be agreed every Thursday by COCA-COLA HR
Department and the SUPPLIER shall not willingly deviate from the agreed meals. In the event
that an agreed menu must be changed this will be communicated to COCA-COLA in writing
who will have the right to accept or reject the proposed change.
 The SUPPLIER shall be entitled to provide additional meals (including pre-packaged foods,
sandwiches, hamburgers and the like) only if agreed to in writing by COCA-COLA. Such items
will be strictly controlled in terms of selection and price as agreed by COCA-COLA.

 Under no circumstances shall the sale and consumption of the following be permitted:
 Alcohol and or alcoholic beverages
 Tobacco or tobacco products
 Any beverages and/or foodstuffs packaged in metal cans or containers, unless agreed
by COCA-COLA.

Meal Control System


 The SUPPLIER will be entirely responsible for the management of the meal control system. The
system must comply with COCA-COLA procedures and must be approved by COCA-COLA prior
to implementation.

 SUPPLIER shall only serve meals to COCA-COLA employees provided they produce a voucher
daily signed by the responsible person.

 Meal Times - The following meal times are specified, these however may be changed from time
to time at the sole discretion of COCA-COLA provided 2 weeks written notice is provided.
 Breakfast 5:30 am to 8:00 am
 Lunch 12:00 am to 2:00 pm
 Dinner 7:30 pm to 10:00 pm

The above figures are estimates only, based on an average of our participation figures of the previous
months; and should in no manner be construed as a guarantee of volume or any other kind.

Functions
SUPPLIER shall provide service for any catering requirements to COCA-COLA. This needs to be authorised
by COCA-COLA Senior Management. Menus, costs and other arrangements as agreed.
4. MANAGEMENT AND ADMINISTRATION

Supervision and Quality Control


 SUPPLIER shall be responsible for the provision and supervision of the Canteen operation as
well as the quality of service and all its personnel. In order to achieve the level of service
required the SUPPLIER will provide 2 qualified Catering Manager with at least 3 years
experience in managing a canteen facility in an industrial environment in addition to all other
staff.
 All Kitchen and Canteen staff must have fulfilled all Ministry of Health Licensing requirements
and bear a Health Card (Boletim de Sanidade) issued by the Health Competent Authorities
(Centro de Profilaxia e Exames Médicos).

SUPPLIER’s Responsibilities:
 Diet and menu control as per “Menu Specifications” ;
 Implementation and pro-active maintenance of high standards of hygiene;
 Food and consumables purchases;
 Food preparation and serving meals on the agreed times in Point 3.3.1 above;
 Comply with Coca-Cola contractor on site Policy.

Maintenance of Canteen Equipment


Maintenance to the existing COCA-COLA canteen equipment will be the responsibility of the COCA
COLA maintenance team except cutlery, plates, glasses.

Inventory

 At the AGREEMENT commencement, COCA-COLA shall conduct an inventory of quantity and


quality of all appliances and furniture in the canteen and kitchen areas, the COCA-COLA
property.
 Inventory shall then be held on quarterly basis, and SUPPLIER shall be accountable for any loss
and breakage of appliances, goods and related items in the Canteen and Kitchen areas, and
replace such lost or broken goods within fourteen (14) days of written notice by COCA-COLA.
Communication
 Communication guidelines are as follows:
 Communication medium shall be in Portuguese or English
 Monthly meetings between SUPPLIER Management and the COCA-COLA Pocurement, HR
Department personnel and UNIONS if required;
 Operationally, the SUPPLIER shall report to the HR Department in respective regions.

5. SPECIFIC DESCRIPTION OF SERVICE

 SUPPLIER shall also be responsible for specific services as follows:


 Clean the kitchen and Canteen areas, and also fridges or freezers after each replenishment
service and ensure that any spillage in or around is cleaned up immediately
 Undertake regular inspections of fridges and freezers and report any malfunctions
/breakdowns in writing within 24hours to COCA-COLA.
 Provide COCA-COLA with a monthly forecast of refreshment (drinks) stock consumption. This
must be based on historical records of consumption and must be used to determine
replenishment stock orders.

6. Measurement of SUPPLIER Performance


In terms of the SERVICE defined above, the performance of the SUPPLIER will be measured in
terms of the following:
 Reporting to COCA-COLA on consumption levels of all ingredients;
 Ensuring timeous availability of meals as established by COCA-COLA;
 Ensuring timeous replenishment of fridges/freezers;
 Ensuring adequate stock levels of consumables are maintained;
 Housekeeping in storage, kitchen and canteen areas;
 Cleaning of Canteen and Kitchen equipment and ensuring area around is clean;
 Theft incident involving SUPPLIER staff.

7. HEALTH, SAFETY AND ENVIRONMENT
General

 The SUPPLIER shall adhere to the health, safety and environmental rules and regulations that
will be applicable at COCA-COLA Plant. Every person in these premises must adhere to all the
safety rules laid down in the Mozambican Health, Hygiene and Safety act (No. 08/98 of 20
July).
 SUPPLIER shall comply with all applicable COCA-COLA’s Procedures and Best Operating
Practices (BOP) pertaining to health, safety and environment.
 The following specific points are complementary and do not in any way replace the general
procedures in respect to SUPPLIERS. They are to be executed and complied with before the
beginning of any operation on site.

Catering Personnel Clothing

 SUPPLIER employees shall always wear the required basic catering clothing. All catering
clothing must be in good condition and worn properly at all times. SUPPLIER shall supply the
required catering clothing to its employees at its own cost.

8. SUPPLIER OBLIGATIONS AND RESPONSIBILITIES


General

 SUPPLIER is expected to carry out the SERVICE as required by this AGREEMENT and shall abide
by the procedures and documentation referred above.
 Incident Investigations
 SUPPLIER will be required to undertake incident investigations, which will be required after an
event has taken place, to determine the nature, extent and cause of losses or damage. A COCA-
COLA representative will be present at all such investigations. SUPPLIER will be required to
comply with and take action on all recommendations resulting from such incident
investigations.
 Reporting of all Accidents / Incidents
 The SUPPLIER undertakes to verbally notify COCA-COLA immediately upon occurrence of the
following:
 An accident / incident causing injury or death to SUPPLIER and/or COCA-COLA employees or
third parties. The incident / accident notification shall be confirmed in writing by means of a
report, delivered within eight hours, after the occurrence of such an accident/incident, to the
Superintendent Risk, Management and Administration in the Finance and Administration
Department, or his designate. Failure to report any such incidents could result in termination of
the AGREEMENT
 Damage to COCA-COLA equipment or facilities. The SUPPLIER shall be responsible to correct or
compensate COCA-COLA for any damage caused by its employees, agents or representatives.
