How to Add Resources dictionary to Primavera using Excel.

1- First of all you have to prepare your resources by extracting them from your BOQ and
list them with their ID and Unit of Measure, Price per unit, etc. . . .

2- Create new project with one activity


3- Go to resources and insert let say 30 resources (Material Type) by using (Insert) key
from keyboard, you will insert a big number of resources in few time.
Or if you have resources already available on your database you can use it for this
purpose.

Make sure that you have effective date in the (unit and Prices).

4- Assign all of these resources to the activity.

5- Now go back to the Excel sheet and make filter on your unit of measure

To add unit of measures:


From Admin > Admin Categories > Unit of Measures

To assign them to the resources


From Resources Screen > Details > Unit of Measure

Make only one unit of measure to one resource (it means if you have 6 unit of
Measures, you assign only 6 resources, each resource with one unit of measure)

6- Export the project and Open it with Notepad.


7- Search for (parent_rsrc_id) and make copy for the resources as in the Picture below
starting from RSRC till you reach TASK as shown in the second picture.

8- Paste them on new Excel sheet and keep the selection in the Notepad.
9- If you notice here we have some categories in the selection :

rsrc_id : this id is not the ID that we will change , so no need to change it

rsrc_name : Resource name that we will change it according to our resources names .

rsrc_short_name : Resource ID

unit_id : Unit of Measures

Now we will replace these categories with our current data:


a- Copy and paste the resources names in the column O (rsrc_name).
b- Accordingly copy and paste the ID’s in the Column P (rsrc_short_name).
c- In order to fill the unit of measures we need to do the following :
In the Notepad file look to the second paragraph you will see

Now try to understand that P6 is using Unit-id (100, 150, 151, 152, etc.) instead of unit
description.
So you will go back to the excel sheet that you have prepared in the beginning and add
new column beside unit of unit of measures , then you will make filter to each unit of
measure and type its ID according to the given ID by primavera :

Then copy these numbers and paste them in column Z (unit-id).

d- To assign the Prices for these resources , if you see that we have another part in our sheet ,
which contains

Each resource here has a Primavera ID (rsrc-id), you will match the previous list with the
resources prices in the prepared sheet and to fill the prices in the column E, (cost-per-
qty).
Most of times the order of the resources are matching with the above list so no need to
make lookup matching but you need make sure for that .

Now we replace the cost as follows:

e- Now we have inserted everything needed for our resources, so we will replace all of these
data in the sheet with the selection that we made in the Notepad, save the changes in
Notepad and Close it. (to paste the selection > use Edit and then paste / Don’t use Ctrl+V )
 Make sure that the selection from Excel is containing all rows till column (AF)

f- Go back to P6 and import that file again and set the option (create new ) while importing

As you see, after we import the project, we got all our resources with prices and units of
measure.
