Chapter 1

INTRODUCTION

A. THE PROBLEM AND ITS BACKGROUND

Micro businesses provide local jobs and empower the local economy, it creates

communities that are more prosperous, entrepreneurial, connected, and generally

better off across a wide range of metrics. An economist with the Federal Reserve

Bank of Atlanta examined the relationship between micro businesses and economic

performance, and found that countries with higher percentages of employment in

locally based, small businesses have stronger local economies (Rupasingha 2013).

Meanwhile, running a business is not easy because it takes a lot of self-discipline,

determination and courage to even develop a thought of handling a business problems

and challenges that would arise in the future. Micro business owners or entrepreneurs

are not exempted to this hardship.

In fact, they are much prone to bankruptcy. Many sellers or business owners in the

past and in the present days already failed to manage their business well because of

lack of knowledge on how to manage and protect the flow of their money.

There are factors that can cause a business to go bankrupt. Sometimes, bankruptcy

or net loss can be caused by financial mismanagement; other times it is due to

circumstances beyond the owner’s control Outside business conditions like an

increase in competition, general costs of running a business, troubles inflicted by local

hooligans. Inside business conditions like a weak management, inappropriate location,

client loss, trade credit problems etc. Financial problems like loss of capital, inability

to secure new capital when needed, high debt or difficulties with cash flow. Tax-

related problems: Often small business owners do not keep a keen eye on the tax

structure and when they finally notice, the hefty amount crushes their resources.

(Khera,2018).

Micro businesses loss their profit due to Not Staying on Top of Recordkeeping.

Recordkeeping is a big pain in the neck. As a business owner your focus is usually on

winning business and making sure the customers get it in a timely fashion. It is

essential to record all the money that serves as their income in their everyday

businesses. (Attard, 2018)

According to SmallBizTrends.com there are many ways on how to avoid losing

profits in small businesses it can close and reconcile the record books about the daily

income. Even if business is only a part-time operation with few profits, it should have

a separate checking account and separate credit card for the business. It may need to

take out the credit card in owners’ name when starting out, and that's okay, as long as

it's used exclusively for business purchases.

Despite best intentions, mistakes can be made while computing the daily income

Once it is identified that there is a mistake, it can be useful to know how that error

affects the conclusions that arrived at. A common error, understatement of income, is

usually caused by counting inaccuracy during the business inventory count. If income

is miscounted during the business income count, this could cause income to be

understated. (Freedman, 2015)

Any business venture that sells vast amounts of product at a time, fast and

accurate counting methods are essential. Counting money, as their name implies, are

most often used for counting income, which is useful inventory management. When

counting large amounts of money, it is important to be able to count them quickly and

accurately. Counting by hand is time consuming and subject to human error. The

smaller the coins and the more items processed at once, the harder it is to keep track

of accurate counting. This can waste time and money in incorrect counts. In the past,

there wasn’t much to be done about these problems. But today’s new technology can

handle what the old could not. (Clark, 2017)

As big businesses exploded with growth, micro businesses had to adapt to

changing economic realities Several type of technologies would change the fate of the

world for small businesses. Those technologies can lend a helping hand in building a

machine. According to Seacoast Bank, the first ever recorded currency-counting

machine was invented in 1958 in China, created by a small-time banker Zhi Tian Sie,

who entered it in a contest, he won 3rd place. The micro business machine counts

notes at a much faster rate than a human. It is capable of handling a lot of cash at a

single time. It takes only a few seconds for the machine to count and there is no need

for the user to recheck the figures and waste time. Just a single quick count offers the

result. You may place the machine just next to your cash counter and save

considerable time. Small sized machines may be placed at the desk for quicker tasks.

They do not occupy much space.

According to TechSheer, most businessmen and retailers have to deal with cash

on a daily basis. Cash management is important in banks, hotels, restaurants,

supermarkets, shops, and showrooms, among others. Manually counting cash can take

up a lot of time and demands great attention. It reduces the burden of cash

management, with automated counting and helps in organizing notes of different

denominations as well. Work efficiency is significantly improved, as the machine

counts notes precisely and in a swift manner. An efficient machine eliminates the

need for rechecking. The counting machine also detects fake notes. Hence, having a

machine at the cash counter is necessary. At present, there are many note counting

machines available in the market but they are too expensive to be acquired by micro

business owners. They are specially designed to suit currency, with a variety of

features. Depending on your needs, choose a suitable machine and always opt for a

good brand. The innovation will develop to help the trade and industry in counting

coins bills faster and easier.

The researchers decided to create and design a machine which will be called

Micro Business Money Counting and Sorting Machine or MBMCS Machine that

will serve as a helping hand to a systematic counting and sorting of money.

For cash-based businesses creating this kind of machine can be both smart

innovation and a great relief. There’s something about counting piles of money the

first few times, but quickly becomes tedious, time consuming chore. This kind of

machine automate this process so you can quickly total up a day’s cash proceeds and

get on with other important tasks.

The future users will have a more convenient and practically realistic flow in their

business – the researchers aim to give assistance or lessen this problem in the micro-

business industry specifically about the problem being aware of the total cash-in of

the business.

E. SCOPE AND DELIMITATIONS

This study is focused in the innovation of an automated machine for counting and

sorting money called the Micro Business Money Counting and Sorting Machine or

MBMCS Machine. The purpose of this research is to produce a high quality yet

affordable counting and sorting machine, the MBMCS Machine. This machine will

count the bills and coins faster than the manual process of counting the money and

help the micro businesses owners in decreasing the possibilities of miscounting,

misplacing the cash and even theft that can lead in net loss or bankruptcy.

The MBMCS Machine can instantly recognize the bills and coins once they are

placed on their right places in the machine and can count the money faster and more

convenient compared to the manual process. The machine then, shows you the total

amount of money inside it in no time and securing the cash. The capacity of the total

amount of MBMCS Machine will only limit to 4-digit coins and 5-digit bills.

However, the MBMCS Machine can only sort the coins on its own and not the

actual bills, so the person using the machine will be the one to sort the bills on their

proper compartment in the machine. Also, the machine also cannot accept deformed

coins and cannot recognize whether the coin is fake or genuine.

In testing its affectivity and efficiency of the machine, the researchers will give a

sample machine to a particular sari-sari store owner if the MBMCS Machine really

works in an excellent way. There is a built-in calculator on top of it. This will help to

ease the work of the store owners in calculating the change of their customer. This

study will last until year 2020 for its improvement and the study will soon be

conducted at Roxas, Isabela specifically at a mini sari- sari store or market stalls in

Rizal.

Chapter II
REVIEW OF RELATED LITERATURE AND STUDIES
A. Related Literature
In the early invention, the mechanical device of the coin machine is capable to do

the counting and wrapping all kinds of coin – gold, silver, nickel, and copper in USA.

It consists of a counting-board, a separate counting tube for each denomination and

size of coin, and separate brass tubes for attacking and wrapping (Jens H. Molbak,

1888).

The process of operation is simple. A handful of coins of any denomination are

placed in a counting-tube of the right size. The tube is then run rapidly over the

grooved tracks of the counting-board, where they are deposited. Each track holds

only ten coins. When the coins are all placed on the track, the board is slightly tilted,

thus throwing the coins into the spaces between the tracks. One end of the board is

then raised, and the coins quickly run down the aisles into the stacking-tube to the end

of the tray. This tube contains a paper wrapper, which can easily be closed when the

tube is opened. Formerly coin counting was a job for an expert, but this machine

equals in speed and accuracy the best of the old-time money-handlers known to

banking fame (Jens H. Molbak, 1888).

In the structure of coin discriminators, it generally contains the structure and

component like sensor for detect coin, coin entrance, every coin tubes and electronic

circuit. For the mode of operation, the coin is insert to the coin slot and through coin

path then passes through the sensor which is located at along the coin path to measure

the coin’s physical properties. The properties of coin like dimensions, weight,

elasticity, conductivity, and dropping time is measured based on the sensor used in the

coin discriminator. Generally, there are 4 sensors are commonly used, which is

electromagnetic sensor, magnetic sensor, acoustic sensor, and optical sensor (Edward

H. Bell, 2004).

The most commonly sensor that can be found in the conventional coin

discriminator is the Electromagnetic sensor. This sensor is usually are the inductive

sensor or Hall Effect sensor. The permanent magnet is normally place on the side of

the coin path and the location of the magnetic sensor is directly opposite to the

permanent magnet. A constant magnetic flux and magnetic field strength is generating

across the coin path. When the coin is passes and go through the path, the coin will

vary the magnetic flux density so that the initially form of the magnetic flux density in

the space is been change, and this resulting specified change of the magnetic sensor

and instantly induced the electromotive force (EMF) . The induced EMF’s magnitude

is influenced based on the metallurgical property like thickness and diameter of the

coin. To detect the peak value of induced EMF, the magnetic sensor is connected with

an electronic sensor. Since different type of coin will produce specific peak voltage, it

can be used to verify the validity of coin denomination (Earl Hovey C, 2001).

Money counters are used in all the places where companies wish to count, check,

sort and pack large quantities of cash. Automating these processes rather than

performing them manually makes them more secure, efficient and cost-effective:

Counterfeits are identified more reliably, manual counting and checking processes are

no longer required, administrative effort is reduced, and strain is taken off employees.

All of this strengthens customer confidence in cash processing. Banks, cash-in-transit

companies, and casinos use cash counters in almost all functional areas, from the

counter to their back office or cash center; when cash is put into or removed from

circulation; as well as on all transport routes. Cash counting machines are mainly used

for bank office operations elsewhere in industry – for example in the retail trade,

catering, at gas stations or by transport operators. These devices reduce employee

workload arising from routine tasks such as counting daily takings, sorting notes and

coins, bundling, and identifying counterfeit money. (functions, n.d.)

This machine can count large quantities of cash very much more quickly than

employees can by hand. They also don’t ever lose count. This makes cash processes –

such as payments in and out of the counter, loading ATMs, or daily closing of tills –

significantly more secure and efficient, as well as being more cost-effective for the

company. It saves time and resources. Cash counters perform several tasks at once: as

well as counting, they also simultaneously check whether coins and notes are

authentic. They sort banknotes by criteria such as currency denomination, and can

recognize that a banknote is damaged and needs to be withdrawn. Advanced cash

counting machines can also read serial numbers while counting. (functions, n.d.)

Money Counting Theory states that Money counting machine works on the

precept of the breadth of the money pack. A cylinder which has rods in a continuous

way and the cylinder move these rods with a specific speed. The speed stays stable as

like in the

ATM machine. Counting machine has cylinder move on the pack of the money

and there is a transducer to shift out the single money one by one at a stable speed

which finds out that how much singular money has passed out in front of it. (Shaikh

D. A., 2016).

Coin sorters optimize the cash management process by efficiently sorting and

bundling all cash according to denomination. Sorters work through a number of steps

to process cash: place mixed denominations of cash in the machine where it is then

recognized, authenticated, and then sorted according to owner’s specifications.

Sorting machines have a number of benefits for businesses, the primary one being

increased efficiency. With increased efficiency it can also reduce labour costs. The

time it takes to manually process cash can vary widely from day to day; introducing

automated cash management technology into the business reduces labour costs and

gives a consistent cash handling experience each day. Once the business has the

ability to reduce cash processing time, it can refocus on the growth and development

of the business. (lombardi, 2017)

Think of a currency counter like an all-in-one super-machine for helping business

handle cash more efficiently. This machine has a number of functions. It acts as a

vault, money counter and sorter, and a counterfeit detector, all at once. This can help

through Theft Reduction. Currency counters act as vaults, so robbers can’t get the

business’ cash. This is one step to reducing theft in your business. These machines

also reduce internal theft by eliminating the need for manual handling of cash.

Unscrupulous employees don’t need to handle the cash, so they have fewer

opportunities to steal. Also, this can be an aid for Automatic Counting. Currency

counter are cash-counting machines. They automatically count the cash. This means

business get correct counts quickly, for each and every transaction. It also means that

it can pick up on errors sooner, rather than later. If there’s a problem, the machine is

going to let the business know. This reduces human error. Since the machine is

counting, owners don’t need to worry about whether or not it already counted that

twenty-peso bill or if the business lost count in the middle. It also won’t ever

transpose numbers, so recording errors are reduced as well. Automatic Sorting is one

of the special functions of the machine. It automatically sorts the business cash, so

there’s no need to spend time picking toniest out of the loonies. Business owners

don’t even need to sort the big wad of cash that customer handed over, with bills

facing every which way and all the fives mixed in between the twenties and tens. This

save time. It also reduces the potential for error and theft as well. (dave, 2016)

Synthesis

Based on the literature, the money counting machine has many parts with

specific functions. The counting machine helps the business handle cash more

efficiently. It acts as a vault, money counter and sorter, and a counterfeit detector, all

at once. This can help through theft reduction, an aid for automatic counting and

automatic sorting. The process of operation is simple. A handful of coins of any

denomination are placed in a counting-tube of the right size. The tube is then run

rapidly over the grooved tracks of the counting-board, where they are deposited.

Formerly coin counting was a job for an expert, but this machine equals in speed and

accuracy the best of the old-time money-handlers known to banking fame according

to Jens H. Molbak, 1888. The time it takes to manually process cash can vary widely

business reduces your labour costs and gives you a consistent cash handling

business.

Related Studies

In the Philippines, the first coins were used in 1861. Until now, people still use

coins in their everyday lives. There are those that deal with coins everyday like banks,

transport groups, casinos, charitable institutions and the like. Coin counter

technology is one of the basic technological methods today. Aside from bank use, it is

also consumed by people from medium to large scale business. Meanwhile, a coin

segregator is another technological advancement in the banking industry. Coin sorting

machines have the ability to sort from a random collection of coins into separate bins

for different denomination. The concept of the coin counter is mostly based on the

detection of the dimension, weight, edge of credit pulses by using sensor. The coin

sorting tray is designed to sort different type of coins based on the size of coin in

different denomination. The Filipinos are too inclined in retail than in wholesale. With

this, the researchers suggest that this demand should be given attention. In connection

to this, the business industry uses coins in wide variety nowadays. This made the

researchers to come up with the idea of coin sorting, counting and packing system

(International Journal of Engineering and Techniques - Volume 3 Issue 4, July-Aug

2017)

In technology there are seen automated materials handling systems implemented

into industry and replaced many tasks carried out by humans with automated

machines these advances have allowed production times to be noticeably reduced,

machines have become faster and smarter as technology advances. Mechanically

operated machines were replaced with basic electronic machines. Hollerith

determined that data punch in specified locations on a card, in the now familiar rows

and columns, could be sorted mechanically. This design was designed to reduce the

labour and time that would be required to (cruz, 2011).

A money counting machine is a machine that counts cash either piles of banknotes

or loose collections of notes. Note-checking machine not only counts, they also

function as a high-speed counterfeit banknote detector, that helps to detect

counterfeited money in the face of the advanced Forgery techniques by printing,

copying, and electronic scanning technologies. (Sharma S. T. A., 2014)

The first ever recorded money counting machine was invented in 1958 in China,

made by a small-time banker Zhi Tian Sie, who participated it in a challenge. He won

third place. Zhi died at the age of 30 years old and his model was lost until recently

rediscovered when tearing down his home. Various set of counting machines such as

Basic Note Counter, Intelligent Counting cum Counterfeit detection Machines, and

Hi-Speed Heavy Duty Cash counting machine are available to suit different type of

customers. Highly dependable and ideal for Banks, Big & small business houses,

Traders, retailers, jewelers and almost all types of business establishment can use

them according to their suitability. With the development of sophisticated printing

methods fake currencies have become on part with the original currency. The need to

validate currency authenticity has increased dramatically, increasing the demand for

continuous improvement of counterfeit detection technologies. One of the earliest

processes was to use Ultraviolet (UV) detection (IECCET/2008-2012., -2012)

CHAPTER III

RESEARCH METHOD AND PROCEDURE

This chapter deals with the procedures and methods that were used in the

study. This briefly discusses the research design, data gathering procedure and the

construction of the Micro Business Money Counting and Sorting Machine.

RESEARCH DESIGN

The design is a constructive research since it is to develop a system to be used

as a solution to a problem that needs to be solved. The problem is to create a way to

sort and count coins faster than a man can do. The counter and sorter should also be

more accurate and easier than manual sorting and counting. The research aims to help

the micro business owner’s in managing their income and lessen the problem being

aware of the total cash in of the business. To have more convenient and practically

realistic flow in their business. In this type of research, the problem is identified a new

system or new method is applied in order to construct a cheap but high-quality

counter machine. The counter and sorter should be easier than the manually counting.

On the other hand, experimental research is conducted in this study. The

experimental method was employed in this research for it aims to know procedures

and potential uses of MBMCS Machine.

DATA ANALYSIS

On the data gathering procedure, personal interviews with electrical and

mechanical engineers was done. The researchers used this data gathering because it

helped to successfully construct a machine that can be tested and serve as standard

setup for all the result. These sources are important because they contain essential

information about the construction of MBMCS Machine.

RESEARCH PROCEDURE

In gathering the data, the researchers used all the available resources and

references that could be found like PDF files, published researches, related articles,

and different websites found on the internet.

For the creation of the MBMCS machine the researchers Breadboard It Before the

buying process all of the jars, connectors etc, breadboard this project to make sure that

the researches can get the counter and the display working. This goes back to the

statement in the first step, make sure to have the skills to do this and getting it

working on a breadboard is a really good way to test that theory. After breadboarding

reaserchers List the possible materials to be used. The basis of the creation will be the

Schematics - Display and Counter the Schematics - Display and Counter Due to the

size of the project and the number of chips required. Finally, start constructing the

The design can be divided into input section, sorting, counting and
the output part. The input section is the part where the coins and bills
will be sorted for sorting. Included in this section are the input
switches which are the start/resume button, stop button, page button
and the reset buttons for each coin denomination. After the input, the
stored coins will now be sorted according to denominations in the
sorting part of the design. From the sorting section, the coins will
now be counted and compute for their equivalent value, in the
counting section of the design. Then the results will now be displayed
in the LCD, which is the output section of the design.

In creating the design, the mechanical part and the program is at the same

time. The sorting portion is the mechanical part of the design. The technique used in

the sorting process is by the size of the coin and the material of the coins for five and

ten- peso coin. For the counting portion of the design, infrared phototransistors

sensors are used to count the coins.

For the input section, a funnel made of plastic is used to drop the coins to the

sorter. This is to limit the number of coins and the weight that will be put in the

design. In the sorting portion, an AC Motor is used to run a revolving plate with holes

with the size enough to hold any coin, which is rotate on another plate that contains

holes exactly fitted to Philippine coins. These two plates do the coin sorting process.

For the five- and ten-peso coins, since they have the same size, a material sensor is

used to separate them. This sensor checks if the input coin has the same material with

the sample. In the design, the material sensor uses the five-peso coin as the sample.

This will accept five-peso coin and will reject any other coins that will be inserted to

it which is the ten-peso coin in the design. The same goes for the bills which are

separated by compartments and sorted by the owner.

For the counting portion of the design, infrared phototransistors sensors are

put to every end of the bridge or tunnel of every coin coming from the sorter. This

sensor is used because it is not sensitive to room lighting. This sensor gives a value of

logic one every time something passes through it. The signal will be processed by a

microcontroller to increment the count and compute the equivalent value of the coins.

Then these values will be output to an LCD display of the design. The LCD contains

the number of coins counted by the sensor and processor, the equivalent values, and

the grand total of the coins sorted by the machine. (Torralba, 2008)

should be clear. Next, the machine system will be designed as the coin and bill

acceptor is the device to count the coin and bill value and it is interface to the

computer through the help skilled individuals. The design of the money counting and

sorting system will be detail explained in the part below. Then, the sorting mechanism

is being designed to allow 3 different coins to sort and store in the box respectively.

Next, both hardware and software are combined and assemble. The overall test to the

machine is making to ensure that the machine is performing well. Finally, the data and

result through the project is obtained to analysis the overall performance.

TIME EFFICIENCY TEST

The Researchers will then record the time consumed in counting the bills and

the coins after the construction of the MBMCS machine. It will be tested at three

different trials to successfully arrive at the desired results.

ACCURACY TEST

The Researchers compared the accuracy of manual counting process and the

actual money counting machine and the researchers found out that the actual money

counting machine is faster done the manual counting process for it takes a lot of time

to finish the job. The actual money counting machine also provides a secured amount

of counted money while the manual counting process can lead to miscount.

STATISTICAL TOOLS

To interpret the data effectively, the researchers will employ statistical tool.

The researchers will use the Likert scale to determine the level of effectivity of the

MBMCS machine. And ANOVA will be used to compute for the average time the

MBCS machine will take to count the bills and coins at different time.

Steps in ANOVA:

1. First step is to compute the total sum of the three different trials.

2. To complete the ANOVA table, calculate the average time of the sum the

three different trials.
