General Guidelines

1. A Cover page or title page – You should always attach a title page to your assignment. Use previous
page as your cover sheet and make sure all the details are accurately filled.
2. Attach this brief as the first section of your assignment.
3. All the assignments should be prepared using a word processing software.
4. All the assignments should be printed on A4 sized papers. Use single side printing.
5. Allow 1” for top, bottom, right margins and 1.25” for the left margin of each page.

Word Processing Rules

1. The font size should be 12 points, and should be in the style of Time New Roman.
2. Use 1.5 line spacing. Left justify all paragraphs.
3. Ensure that all the headings are consistent in terms of the font size and font style.
4. Use footer function in the word processor to insert Your Name, Subject, Assignment No, and
Page Number on each page. This is useful if individual sheets become detached for any reason.
5. Use word processing application spell check and grammar check function to help editing your
assignment.

To carry out the activities given on the brief, you are required to form groups, comprising maximum of 6
members.

Scenario

Assume yourself as the event coordinator working in an event planning organization specialized in delivering
trainings on IT and soft skills. you have been appointed to design and deliver a training event on IT /Soft Skills
to an identified audience. You are required to complete the project within 2 months and the training plan
and resources should be finalized as per the requirement of the client.

You are required to form a group of not more than 6 members in order to carry out the event. The event will
be headed by an event manager/ leader and each group member will be assigned a set of tasks. While
designing and delivering the event,

• challenges faced during the design/ delivery
• Critical evaluation of the problems, challenges faced and the methods used to overcome them
• The need for continuously develop in a professional environment

Need to be thoroughly considered.

At the end of the event, produce an individual report by each member covering the following tasks.

Task 1:

Demonstrate how you are planning to effectively deliver the training event by designing a professional
project plan with following details.

• Roles appointed to group members and an evaluation of interpersonal skills of each member that
justifies the assigned role in the team.
• Goal and objectives of the project
• Evidences to the meetings conducted with the client and the team members and the findings/
outcomes of the meetings
• Challenges/ problems identified and the plan to overcome them
• A project schedule with the activities, milestones and contingencies identified.
Task 2

Research different problem-solving techniques that can be used to solve the identified problems in task 1
and demonstrate how critical reasoning can be applied to identify a solution to the identified problems.

Critically evaluate the solution methodology used to solve one of the identified problems and justify how
selected methodology helped you to successfully solve the problem and achieve the project objectives.

Task 3

Work in your team by contributing your skills and knowledge to meet the project goal. Critically evaluate
your own role and contribution to the group for the completion of the training event.

Discuss the importance of having dynamic team members in a group to meet its goals by referring to the
role assigned to the group members and analyse how team dynamics among your group members effectively
helped to achieve the shared project goal.

Task 4

Discuss with examples, the importance of continuous professional development (CPD) in a work setting by
evaluating the range of CPD criteria that can be used to measure the effectiveness of your employees in your
organization.

Produce a continuous professional development (CPD) plan using the criteria identified above with relevant
to the responsibilities, required skills, performance objectives for the members of your team. Compare and
contrast different motivational theories and discuss how they can be helpful to improve the performance of
the team members and meet the objectives of the developed CPD plan.

Introduction
Professional practice is the art of shaping an individual to the modern work culture. The module
itself guides in various ways on how an individual can improve their skills and knowledge on
work ethics such as how to work in a team, how to improve autonomy, how to be a notable
contribution to an organization, leadership skills and much more. It is important to find out
where you stand in a group of likeminded individuals and what may your weaknesses and
strengths be and how to improve those criteria’s using skills audits, CPD and PDP techniques
which will be covered in the module.

TASK 1
Demonstrate how you are planning to effectively deliver the training event by designing a
professional project plan with following details.
1. Roles appointed to group members and an evaluation of interpersonal skills of each
member that justifies the assigned role in the team.

that was held with his implementing abilities to make
it happen by communicating efficiently with the rest
of the team members and creating relevant

come up with a suitable Title for the Training event.
Shayan however also had to cope with a 12-hour
work shift and also to participate in these meetings as
the leader to implement out of the box strategies until
he had to leave the program due to unforeseeable
circumstances.
Kavishke Completer Finisher, Kavishkes’ presence in the team has enriched the
Specialist, tasks in numerous ways he was one of the members

suitable for the training event as he had specialist
knowledge in what needs to be presented, he also
provided sample materials that was used to provide
an idea on how to start with the process to where it
stands now. Once the topic has been confirmed

entrust as a completer finisher. Last but not least
kavishke did not hesitate to bring himself up to also
take in presenting the training material as the possess

Udantha (Leader) With Shayans’ sudden withdrawal I had to take on

always felt that communication is a key aspect to get
the work done from your subordinates while showing
leadership qualities valuing every member opinion
and strengthening them so that none would feel left
out. I have also volunteered myself to be a presenter
to reach out and interact with the audience. I believe I
could do a fair job with my presenting abilities while
openly interacting with the audience which however
still needs to grow with proper feedbacks.
Danushi Coordinator, Danushi has bought fancy skills that makes herself a
Presenter, Team well allrounder. She is very effective in

improve existing resources, she coordinates well with
the leader providing guidance and improvement
techniques such as introductory paths and how to turn
the event to an interesting path. She is a brilliant team

more in time allocation. She also stepped up to take
part in presenting the content and she also has good
techniques in that area.
Chamela Coordinator, Chamela is yet another talented member in the team

To briefly summarize; each individual was a valuable asset to this Training event as from the
initial stages to the final rehearsal stage. It is because the unique and strong interpersonal skills
that each individual bought in to achieve the goals and objectives. It is the effective
communication techniques that was built in with the team that was used to overcome difficulties
that were aroused during the planning and implementing stages. There were late night meetings
and over the phone discussions that took place among members to talk through and come up
with solutions sometimes precautions were taken before the problem rises, that way we were
able to come up with contingencies. The most important fact that was visible, is the group
members were really bonding up well getting to know each other brainstorming themselves to
strengthen team cohesion and collaboration. Taking all of the those said points into
consideration I would like to conclude the event was a success with all these positive mindsets
really pulling it together and working towards a particular goal which I believe was achieved.

Objective of the Project:
The project is based on a training event that is designed to provide the audience with a modern
technological culture; which is “G-suite”. The training event prime goal is to introduce
Google’s Products / apps that fall under G-Suite. Further a real time virtual session will be
provided to educate the audience on the basic skills needed to work on each app. The audience
will be able utilize these skills and use them at their work places or in their daily agendas with
ease.

Contingency Plans:

➢ The Training is to be conducted via online meeting platform in this case there is a risk of
power failure or a health concern and will not be able to attend for one the presenters; in
that case to overcome this risk we have prepared another 4 extra members from the group
to replace each original presenter so that it would be possible to minimize or negate the
interruptions caused.
➢ Another similar risk that might occur during the live stream of the presentation is that
there could be network bandwidth issues or the pc could get stuck due to unavoidable
reason for reasonable amount of time that will impact the time period of the event, in that
case there will be a method of communication among the presenters so that another
presenter could share their screen in accordance to come out of the situation.

Task 2 – Research different problem-solving techniques that can be used to solve the
identified problems in task 1 and demonstrate how critical reasoning can be applied to
identify a solution to the identified problems. Critically evaluate the solution methodology
used to solve one of the identified problems and justify how selected methodology helped
you to successfully solve the problem and achieve the project objectives.

Define the problem – It was a difficulty to get volunteers to present the content. Because most of
the members had stage fright and had no experience in areas as such.

Nature of the Problem – Critical

Solutions Applied:

Option A – Decided to introduce the importance and advantages of the opportunity to become a
presenter.

Option B – Randomly pick volunteers.

This was rather a complex situation to over come as a team because the team was much hesitant
to participate in the task of presenting to an audience. In this situation we were in need of 4
presenters and initially none volunteered. Therefore, as the leader I chose to come with a several
strategies to boost up the motivation and interest of the members in this regard. Therefore, as
mentioned above we have two options out of those two the best option seemed to be Option A
rather than option B. If we would have had to go with Option B by selecting some random
volunteers without knowing their potential there is a higher chance the event would be
unsuccessful since this part of the event is significant, going with option B is like letting the
selected volunteers feel like they are trapped and had no option but to participate. With that
mindset it would could eventually lead to disastrous failure. But with Option A it was more like
acknowledging the team what the task is and the importance of it, we approached Option A by
organizing a small presentation to educate the team about the importance of good presentation
skills and how it will affect in the long run of their careers as well. With Option A we were able
to motivate the team by praising and raising autonomy the importance of being able express ideas
Infront of an audience and how it will take you ahead and being able to accept challenges.

Option A was a success because at the end we called out the team members again and asked for
volunteers to accept the task in their own will and surprisingly we got quite a few volunteers, and
out of those we selected the best by considering certain criteria’s. Being able to solve this problem
made it possible to achieve an important objective since this step was succeeded, we were able to
get to our next objective which is to get to the rehearsal phase to practice more and improve with
the volunteered presenters.

Option A – Giving a deadline and forcing the members to somehow submit on that day

Option B – The specialists and the Resource investigators in the team shall guide members with
research areas and materials

This was yet another complex situation to overcome as a team the reason is that the members had
busy work schedules and shifts that was affecting their time. Therefore, had difficulties to allocate
time for this research work as most of the members have stated. Therefore, we came up with two
options as mentioned above. Option A is just very straightforward does not really contribute in
handling the situation very well, in a way it does not benefit or speed up the process. The best
Option I think would be Option B because if we are to approach the challenge in this manner this
would actually help to come out of the situation it is because our team had a couple of Specialists
and Resource investigators who had specialized knowledge and access to content that is directly
related to our event topic. Therefore, we asked these specialists to provide good research materials
and sources that the members can actually skim and gather some important tips and tricks to
prepare each individual reports in this case it is time saving for these members because they did
not have to spend time searching tons of relevant and irrelevant data because that part is directly
provided to them by the specialists in the team.

Option B was a success because most of the members we able to actually submit their research
material on or before the deadline. Therefore, the team was able to achieve the objective not just
that we were able to reach our next milestone which is to start preparing the presentation slides
according to the planned timetable which was an outstanding achievement. If we were not to have
come up with strategic options this task of resource collection would have taken weeks leaving
us no time to handle the rest of the work load.

Define the problem – During the initial phase of the project, it was quite a challenge to agree with
a topic.

Nature of the Problem – Medium Risk

Solutions Applied:

Option A – To let the Leader decide a topic on his own will and the rest of the team shall proceed
with that.

Option B – Hear out to the opinions of other team member and approach a voting system.

This was also a tough phase in the initial stage of the event, because a few members had a different
perspective on what the topic should be this was a challenge since we were unable to approach a
particular one, if we are to do so the opposing raise their concerns stating that it would not be a
good fit for the event. Therefore, in order to come out of this situation we approached two options
as mentioned above. Option A is straight forward; to go with the leaders say but this option does
not seem to be a valid approach since there could be a lot disagreements among the members
upon their instincts. By actually choosing option A could also dismantle team collaboration and
fall into a negative mind set state which could affect throughout the event phases. But by
approaching Option B we were able to hear out each and every member opinion on a topic and
arrange a voting system to check which topic would have the most preferences. Option B did
actually contribute to come out of the challenging problem without an ease not only that the
members will not have a mind set that they would go to an extent to think that their opinion is not
heard.

Since Option B was a success in order to select a topic. This led to achieve yet another
important goal with in the given time period and was able to reach the next objective which is
collecting research material on the selected topic and move forward according to the planned
schedule.

Sony’s Obstacles
A recent article by (Kalai, 2015) suggests that Sony corporation has faced some intriguing
challenges in their path to success as one of the biggest and leading tech giants. Some of the
challenges were; lack of innovation, Sony however understand the consumer needs and has
come up with innovative developments such as the Walkman however Sony did not make any
improvements and upgrades to this development and when Apple released the iPad it became a
challenge for the innovative ideas of Sony however, Lack of core competence, This factor also
directly affects Sony’s decline due to the company’s failure to enhance its core business of
producing breakthrough ideas due to lack of concentration and fundamental expertise, Sony is
falling behind in product positioning and branding. Sony however uses a few effective tools in

solving these problems such as the PDCA cycle (Plan to do check act). The innovation-oriented
solution that Sony has approached with the lead of Shoji Nemoto (head of innovation
technology) and Tomoyuki Suzuki (image senior Vice President) take responsibility in
strengthening Sony's capabilities in the field of innovation, guiding Sony employees to develop
new technologies and ideas based on their extensive R&D and technical knowledge. Sony also
led by Kunimasa Suzuki (head of products and services innovation strategy) has taken steps to
provide efficient technological ideas for the existing product lines to over come the problem.
The competence-oriented solution they have reached is Sony intends to concentrate its efforts
on three major areas: digital imaging, games, and mobile business. They are now adopting new
technologies and features in order to conduct proper research for these products and wish to
invest in these areas in order to progress. Sony has decided to devote roughly 70% of its total
R&D budget to these three areas alone. Sony intends to reclaim brand leadership by sharpening
its brand focus.

Task 3 – Importance of team dynamics and individual role analysis.
I would classify my role in the team as a coordinator to further prove this I would like to point
out that I was always in the forefront when it comes to making decisions it is not because that I
myself make the best decisions it is because I have the skills to coordinate with every team
member and draw out solutions from each member and arrive at a decision on behalf of the
team in a reasonable time. Although I could certainly improve this ability by engaging more
with silent type characters in the team help raise their autonomy and include their ideas further
into discussion. Empathy is yet another important characteristic I would say I posses because as
the leader in the team I should have that quality but it may not be because of that to point out
certain incidents, when members cannot submit their research material on time due to the
tedious work shift I immediately tend understand the situation from their point of view and help
them out in most of their researcher so that it makes them save time and minimize the stress,
although I certainly think that I need to improve this skill further because there were also times
that tried to jump over such cases when I was stressed up to the nose but then again this was
rarely a case. I kept a track of the progress of the work done and the pending tasks and always
acknowledged the team in those regards but if had approached a different path such as asking
may be the less motivated and silent type characteristic members to keep track of the work
schedules and ask them to educate the team that they would have also been more active and
collaborating with the team. To further justify my contributions to the team I believe that my
team bonding and collaboration skills really helped out in achieving event milestones with in
the calculated period of time to further enhance these skills I plan to not miss out small yet
important details that needs to considered that later triggers and if I had done so in the
beginning we could have had saved even more time to practice and rehearse for the event
keeping those in mind id like move further engage in such activities with these skills in the
future.

Vividness and dynamics of team members.


Kavishkes’ presence in the team as a Completer Finisher a Specialist and as a Presenter has
raised the team stakes high. His role as completer finisher shows off his commitment to the
project when he was the first member to prepare and submit research slides with this quality of
his motivated the rest of the member to complete the task and help achieve the objective in time.
He might not be very good in communicating which is certainly something he shall work on but
the duties entrusted to him is achieved on time and is a success.
Shayan was the former leader in the event his role would be classified as an implementer to
justify this shayan was a good communicator and he was really quick in making friends yet he
had to work on his self-confidence sometimes, because he was often doubtful if he could
accomplish a certain task. Apart from that he was successful in implementing valuable ideas
that actually helped reduced the time spent on certain tasks that were rather complex.
Danushi and Chamela are wonderful Coordinators, Presenters and Team Workers. I could
discuss on both of them together because their characteristics were somewhat similar, they were
both open minded and great communicators. If they ever come across a difficulty they do not
hesitate to reach out to other members in a very friendly manner and request for guidance this
quality is very important because it helps to reduce errors caused and the task accomplishment
was rather quick.

Tharaka plays two important roles as a Resource investigator and a Specialist. Tharaka is an
expert in the field he always shares his knowledge and educates the team with important facts
and information. He is always available if any member needs any guidance of which path to
follow. He hands out tips and tricks with industry experience this has affected the project in a
numerous way. Due to his specialized knowledge, we were able to accomplish the objective in
successfully confirming a valid topic for the event at small time period with out a difficulty. He
also provides the team with research material. He has innovative ideas to strengthen this quality
of his initially we were going to approach a rather boring path in showing a number of slides
filled with lengthy paragraphs but Tharaka chipped in a coordinate his idea in making the event
a live transmission on G-suite products. Likewise, Tharaka has participative leaderships and
consensus decision making abilities that helped with pace of the event preparation life cycle.
Salitha qualifies the role of a Specialist a Plant and a Coordinator. Salitha is a friendly
personality he constantly checks up with the team on task accomplishments. He is self-confident
and that made him to volunteer and get the task to design presentation slides that helped achieve
yet another important goal in the event planning process, he is productive and the work
entrusted to him is completed on time however I feel like it would be better if he could work a
bit more on time allocation.
Importance of team dynamics.
According to (University of Notre Damme, 2021) team dynamics are the psychological forces
that directly affect the path of the team’s overall performance. The dynamics are created
collectively with the individual involved in the team focused on a common goal. Team with
poor dynamics often result in bad decision-making abilities, wrong choices or decisions made at
all. (Hutabarat, 2020) suggests that team dynamics enhance and improve motivation, innovation
and effective performance to further mention team dynamics also develops members with
characteristics such as shared purpose, Trust and openness, Diversity and inclusion,
interdependence and a sense of belonging, communication and collaboration.

Task 4 – Analytical evaluation on Continuous Professional Development
Importance of CPD (Employer)
According to (Desai) CPD enables employers to set and maintain higher standards with in an
organization, the effect of a proper CPD result in a positive environment in regards to growth
and success, helps to create a positive learning culture and develops the connection with
employees, increases staff productivity and contributes to the development of a more efficient
and a motivated workforce, a solid CPD will retain employees when they feel valued this is yet
another advantage for the employers as a factor that contributes to human capital. Employers
will be able to adapt to change and respond to developments in the business.
To support the above; a few examples would be, the employer can link job descriptions and
person specifications to relevant national occupations standards and other competences to
provide a competence-based profile of each worker. Identifying the learning and development
needs for workers in relation to their competencies and recording them as personal development
plans. Another example would be to identify learning opportunities that workers need for their
CPD.
Importance of CPD (Employee)
A CPD benefits employees in numerous ways such as; update their qualifications allowing them
to learn and develop the skills required to carry out their duties efficiently for an example
undertaking a CPD training event or taking part in an online examination from professional
bodies as a part of the CPD evaluation boost the skills of employees enables them list it out on
their resumes as a strength. Helps to connect gaps and adapts employees to a fast-paced world.
Aids in increased workplace productivity and the capacity to learn and develop. It also helps the
employees to express their mental states in learning new skills and demonstrating ambition and
aptitude. CPD can set employees on the path towards focusing on career progression that will
lead to job security and efficient working capabilities in an organization for an instance the
employee will get to know his/her strengths and weakness once this is identified they work
towards improvement because none would prefer to stay in the bottom of the well, this widens
their horizons and builds their confidence. (Desai)
CPD evaluation criteria’s
The criteria’s used to evaluate an employee are as follows:
1) Identifying employee needs – Carrying out a skill audit for employees. Analyzing
feedback received from customers or colleagues, asking the employees themselves on
what areas they are interested and needs further improvement.
2) Planning and carrying out development activities.
3) Evaluating the reflecting of learning – How well the learning skills are recorded to
reflect on individual practice.
4) Ability to apply skills learned – Monitoring the how much of the skills acquired from
the CPD has been able to apply to their daily tasks. How has it affected in accomplishing
them now compare to earlier stages.
5) Sharing the skills acquired among other employees – The ability to teach others what
you have gained is a gifted ability not only it helps other but it will personally further
enhance your knowledge in those relevant areas.

Continuous professional Development, Professional self/own learning is a crucial process to
stay updated with in the industry, it is a never-ending process because there is something to
learn every day. Some of the importance of CPD in own learning is that you stay relevant which
means it does not matter which industry you belong through professional development you
should develop skills required to develop in the top end spectrum, provide value if you have the
passion to self-learning you shall be an important asset to your company or a team that you

Comparison of motivational theories.
According to (Haque, 2014) motivation is a method of creating enthusiasm in individuals in a
team or an organization in order to achieve targets. In the most basic terms motivation is a
method of achieving organizational or team goal by making sure that the individuals or
employee’s requirements and expectations are met. Furthermore, it is a challenge to improve
productivity with in a team or an organization therefore proper motivational mechanisms should
be implied to individuals.
Maslow’s Theory
Maslow suggested that motivation rises from an individual desire when 5 fundamental needs are
met, they are; physiological, safety, social, esteem and self-actualization. These requirements
can generate internal forces that can impact a person’s conduct. Physiological needs are those
required for human survival such as (air, food, water, shelter, clothing and sleep). Safety needs
include those needs that provide a person with a sense of security and well-being. Personal
security, financial security, good health and protection from accidents, harm and their adverse
effects are all included in safety needs. Social needs, also called love and belonging, refer to the
need to feel a sense of belonging and acceptance. Esteem needs refer to the need for self-esteem
and respect, with self-respect being slightly more important than gaining respect and admiration
from others. Self-actualization needs describe a person's need to reach his or her full potential.
The need to become what one is capable of is something that is highly personal. (Hartzell, 2021)
McClelland’s Theory
The theory was developed in the 1960s it suggests that regardless of our age, sex, race or
culture, every individual possess one of these needs and are driven by it. The theory portrays
states that achievement, power and affiliation are significantly inherited behavioral patterns of
individuals. Which means every individual apart from their culture, wealth etc. These three
types of needs are commonly acquired. (Management Study HQ, 2021)
However, comparing each of them to the other. the theory of David McClelland looks so real
that it perfectly fits into real life situation by recognizing one’s achievement will definitely raise
that individual’s motivation when they are on the spotlight it makes them want to do better and
be a much better example. Same goes to power when an individual’s ideas are considered and
appreciated, they will definitely educate themselves more and find new and better ways of
getting things done hence the performance with no doubt in improved on the other end. Talking
about affiliation when an individual is affiliates a preferred individual or a group that they want
to be a part of is yet another intriguing way of motivation and boosting up performance. On the
other hand, Maslow viewed human needs as being static whereas in reality these needs are
dynamic, the theory indicates that a satisfied need is not a motivator. But it is true that
individual needs are never fully or permanently satisfied. The fact that McClelland believes
human needs changes by life experiences and the opinion of their culture makes it more natural
than the others. Maslow only believed in his hierarchy of needs. Therefore, McClelland’s
theory is a very suitable motivational tool for today’s world in the sense that it fits into any
organization.

Summary
The report consists of a wider prospect of best practices in th professional world ranging from
effective event planning, interpersonal skills, problem solving techniques, SWOT analysis,
