Process Groups
— Stages or Processes?

— A “process” is a series of actions or tasks intended to achieve a result which


must be completed to advance the project.

— So a process may be developing a budget, creating a project plan, acquiring


a project team etc.

— A process group is a series or number of processes which will generally


occur at the same stage or time period in a project lifecycle.

— According to the Project Management Body of Knowledge (PMBOK), best


practice project management consists of a number of processes organized
into nine knowledge areas and five process groups.

‫ﮔﺮوپ ﭘﺮوﺳﮫ ﻋﺒﺎرت از اﻗﺪاﻣﺎت و ﯾﺎ `ﻌﺪاد از ﭘﺮوﺳﮫ ‪-‬ﺎ اﺳﺖ ﮐﮫ ﺑﻄﻮر ﮐ‪ dc‬در ‪-‬ﻤﺎن‬ ‫—‬

— The process groups are similar to what we previously described as stages
in the project lifecycle.

— Each of the 5 Process Groups is made up of a number of tasks which


must be performed to manage the project successfully.

— There are 5 process groups, not 4, because we now add another one –
monitoring and controlling the project.

— The process groups are used in all projects and are always
performed in the same order or sequence.

— Each process group contains a number of tasks or actions


required to develop and complete the project.

— These are divided into specialist areas of expertise eg.


creating budgets, managing procurements. These are called
knowledge areas

2 – The Initiating or Start Up Process
— Always the first step in a project;

— Formally authorizes the commencement of the new project;

— Develops the Project Charter and a Preliminary Project Scope Statement or


statement of requirements;

2 – The Planning Process
— The project must be planned. Careful planning reduces the risks.

— Planning will determine

— What needs to be done – the scope of the project, the results required;

— Who will do it – the resources required, whether contractors will be used;

— How long it will take – the time schedule;

— How much it will cost – the project budgets;

— How it will be managed – quality and performance control and

— The Execution stage or process group is aimed at completing the
tasks necessary to produce the project objectives – the
deliverables.

— The Direct and Manage Project Execution process is the main


role of this process group. It is mainly concerned with overseeing
the various tasks of the project to ensure proper execution of the
project management plan.

— This is the core responsibility of the project manager and the


project management team – to manage the project to a
successful delivery

2 – The Monitoring and Controlling
Process
— The Monitoring and Controlling Process Group ensures that
problems are identified and corrective actions taken during the course
of the project.

By constantly monitoring the performance of the project team, this process


group has a higher likelihood of spotting potential problems before they occur.

— The two main tasks of this process group are

— Monitor and Control Project Work which identifies and obtains


performance data and recommends improvements when necessary.

— The Integrated Change Control process evaluates the changes


recommended to ensure those changes are beneficial.

The Monitoring and Controlling Process Group is mainly

2 – Closing Process
— The Closing Process Group includes the two processes necessary to
terminate the project.

— The Close Project process takes the results of the project team’s work
and ensures the project requirements have been satisfied.

— The Procurement Closure process settles all accounts and ensures that
all payments have been made.

— As part of this stage, all documents are archived and any updates to
policies as a result of lesson’s learned are made.
