Instructions for Registration - 2011

Pre-registration set-up - Wednesday evening - Peirce Hall Lounge 8:00 PM A leader from each stake will be given a folder containing the registration forms that have been submitted for units in your stake. Each stake will also receive a master list of attendees for your stake. Check to make sure that there is a completed registration form for each attendee on the master list (there is no Kenyon College form). Keep the registration forms in the folder during youth conference. General Registration Thursday 9 AM Peirce Hall Lounge/Dining Hall 1. Each stake will have its own table during registration CONS Lounge, COS Lounge, COES Dining Hall, COSS Dining Hall 2. Using the master list, check off attendees when they arrive. 3. Give each attendee on the master list a youth conference schedule, campus map, a lanyard (this is the meal pass), and colored wrist band (white wrist bands are for chaperones). Make sure wrist band is securely affixed to attendees wrist. 4. After the wrist band is securely affixed, issue a room key to the attendee. DO NOT CLIP EXCESS BAND LENGTH AT THIS TABLE 5. Direct each attendee to the shirt table. Clip off the excess length of the wrist band and then issue the shirt (after shirts are distributed to all those on the master list, shirts for those not on the master list will be distributed based upon availability). 6. Direct attendees to their rooms, unpack, and prepare for activities as scheduled. Individuals not included on the master list. 1. They will not be checked into rooms or given keys as part of initial registration. They will be registered, but not checked into rooms. 2. Collect the completed registration form. Give each registrant a youth conference schedule, campus map, a lanyard, and colored wrist band. Put the completed registration form inside the LATE REGISTRATON FOLDER for your stake. Turn the folder into Terry Elton or Debbie Cluff upon completion. 3. Have the person put his/her things in the unit leaders room until he/she is given his/her room key. 4. After the initial registration is completed and we have a feel for extra rooms and no shows, we will assign rooms to those not included on the master list and give you their keys. The master list for each stake will be updated with the on-site registrants, reprinted, and distributed to stake leaders during lunch on Thursday. 5. Keys will be issued to them by their stake leader during lunch on Thursday. Return of Keys Tables will be set up in Peirce Hall Lounge from 12:00 to 1:30 p.m. on Saturday. Each attendee is responsible for cleaning his/her room to a condition that is better than it was when he/she initially entered it. All trash must be deposited in the trash chute in the hallway of your dorm building. Each attendee will turn in his/her key to his/her unit chaperone only when his/her room is cleared by the chaperone. Chaperones are not to accept room keys unless and until the room is personally cleared upon inspection. Then all keys will be returned to the appropriate stake leader in Peirce Hall Lounge. Stake YW and YM Presidents are responsible for checking the keys off of the master list for all attendees from their stake. There is a $25 charge from Kenyon College for each lost or missing key. There is a $1 charge from Kenyon College for each lost or missing lanyard. After the return of keys, each unit will be responsible for their attendees luggage/belongings. A portion of Peirce Hall will be available for the storing of luggage/belongings during testimony meetings.
