Possible ways through which sports equipments may get damaged/lost

1. Damage while playing


a. Damage of rackets due to hitting on ground/hitting racket of another player
b. Ball puncture due to sharp edges in playing area / uncleaned playing area/puncture
from the fencing of playing area (like barb wire etc.)
2. Damage due to improper storage & handling
3. Damage due to improper maintenance
4. Theft of equipments from sports room or from playing area

Equipment Management System

1. Storage & handling of Equipments


• Database of all equipments shall be prepared and made available with sports council
and security guard who issues equipments.
• Sports room should have dedicated space for storage of all equipments for all sports
• All equipments related to a particular sport shall be kept at single place only
• Equipments must be appropriately stored and must be put inside cover wherever
applicable
• Equipments should not be stacked over each other
• CCTV camera may be installed inside sports room to identify the theft of equipment or
damage during storage & handling
• Sports room should not have direct exposure to sunlight or rains which may damage
sports equipments

2. Using of sports facilities/equipments and to prevent damage while playing


• SOP for using sports facilities and equipments must be circulated with all students to
make them aware of good practices & sensitize them.
• In case any equipment damage occurs while playing, students must inform guard/sports
council immediately with proper reasoning of equipments damage
• Fine system should be kept in place to prevent careless use of sports equipments
• Student will be held accountable for any damage of any equipment when it is in
possession with the student during playing

3. Issuing of equipments
• Sports facilities shall be used only after booking of slots in PLAYO app.
• During issuing of equipments, it is the responsibility of student to ensure issued
equipment is not damaged and is in good shape
• Equipments must be returned to guard after use. Checking of equipment shall be carried
out by guard in front of students to avoid conflict at later stages.
• Records for using of sports facilities and sports equipments shall be properly maintained
by the security guard. Auditing of records shall be carried out by sports council
periodically

4. Maintenance of equipments
• Maintenance of sports facilities and equipments should be carried out periodically to
extend the useful life of sports equipments
• Possibility of repair/maintenance of equipments to be sought in place of buying new
equipments for practice session to reduce cost
