5.1. Technic & Maintenance Manager

1. Job Title and Position

Job Title: Technic & Maintenance Manager

Reports To: Production and Technic Department Manager


Department: Production and Technic Department

2. Main Responsibility:

Under the general direction of the Deputy CEO, Production and Technic, plans, organizes, directs and
controls all functions related to technic and maintenance operations both electrical, mechanical and
utilities, automotive and all facilities and machineries that serve from receiving raw materials to final
dispatch operation and distribution by trucks of Edible Oil and related products and Sesame and related
products, Soap products, etc. with good labor relations, management of personnel and other
administrative matters.

3. Responsibilities and Authorities:

- Plans, organizes, directs and controls electrical, mechanical, and utilities maintenance activities
(emergency, breakdown, preventive and planned maintenance) through the assistance of
electrical, mechanical and utilities maintains supervisors, engineers, technicians for all
machineries, utilities, transportation equipment, trucks and other facilities;
- Make sure the availability of the necessary manpower, maintenance tools, spare parts, and
supporting equipment (including monitoring and testing equipment) to undertake effective and
efficient maintenance activities;
- Make sure all maintenance and operation manuals are properly managed and controlled, spare
parts and replaced components are properly stocked and controlled, availability of minimum
stock of spare parts, and efficient utilization of resources;
- Make sure availability of the necessary work instruction, maintenance manual and record formats at
point of use and maintenance requests and activities are properly recorded and documented, and as
well maintenance history of each equipment/machinery/facility are properly documented;

- Planning, coordinating and conducting planned and on job training for maintenance staff as required;

- Make sure all physical and visual checks on site machinery periodically conducted by the
maintenance staff;
- Participate in his/her capacity to attend to machine breakdowns and to solve/diagnose any
mechanical and electrical failure;
- Performs others similar duties as assigned and instructed by Deputy CEO, Production and Technic.
4. Minimum Requirement:

Education & Experience: MSc/BSc in Engineering and related fields, and 12/14 years of related
experience

5. Required Competence Level

- Possession of strong organizational skills and ability to address and resolve challenges;
- Excellent verbal and written communication skills and administrative skills;
- Ability to organize, coordinate and manage;
- Strong analytical, mechanical and troubleshooting skills

5.1.1. Senior Secretary 1/Administrative Assistant

1. Job Title and Position

Job Title: Administrative Assistant/Secretary

Reports to: Technic & Maintenance Manager

Department: Technic and Production Department

2. Main Responsibility:

Under supervision of the Technic & Maintenance Manager provides administrative assistance
and secretarial services; takes dictation and types with speed and accuracy; schedules
appointments and higher level staff meetings; maintains files; receives visitors.

3. Responsibilities and Authorities:

- Provides administrative assistance and secretarial services to the manager assigned.

- Takes and transcribes oral dictation and types correspondence, articles, reports and minutes on
general, special and technical subjects with a very high degree of proficiency and accuracy.

- Operates typewriters, computers, fax, photocopy and other office machines applicable to the office.

- Sorts out mails delivered to the office; handles incoming and outgoing correspondence and reviews
correspondence for signature; expedites matters directed to departments and other work units.

- Receives visitors; clarifies business questions whenever possible and schedules appointments
considering the workload of the manager in any particular day.
- Prepares agenda items as per given instruction; arranges staff and higher level meetings; gathers
materials or information on the subject under consideration and takes minutes whenever required.

- Answers telephone calls directed to the Deputy CEO takes messages and refers callers to the Deputy
CEO or other appropriate persons in charge

- Composes routine letters, correspondence, reports, memos, etc.

- Controls and supervises subordinate assistants for the accuracy and completeness of work
accomplished and evaluates work performance.

- Locates and extracts information and materials from files and follows up on pending items.

- Ensures the tidiness and standard upkeep of offices at all times.

- Requests office supplies and controls their proper use.

- Performs other related duties as required and assigned by Deputy CEO, Production and Technic
Operation.

4. Minimum Requirement:

Education and Experience: College Diploma 10+3 in Management or Secretarial Science, 4 years
experience of which 2 years in secretarial/administrative positions

5. Required Competence Level

- Good knowledge of secretarial science and office management


- Ability to discretely handle confidential matters
- Ability to organize files and documents
- Skill in word processing and other relevant software
- Good interpersonal and communication skill

5.2. Mechanical maintenance Division Head

1. Job Title and Position

Job Title: Mechanical Maintenance Division Head

Reports To: Technic & Maintenance Manager


Department: Production and Technic Department

2. Main Responsibility:

Under the general direction of the Technic & Maintenance Manager, control and supervise effective
mechanical performance of machineries that are serving for production and operation of Edible Oil and
related products and Sesame and related products, Soap products, etc.; from raw material receiving to
final dispatch and distribution and coordinate, control and conduct the mechanical maintenance
operations with good labor relations and team work spirit.

3. Responsibilities and Authorities:

- Conduct and control mechanical maintenance activities (emergency, breakdown, preventive


and planned maintenance) through the assistance of mechanical staff and technicians for all
machineries, utilities, transportation equipment, and other facilities;
- Properly handle and control the necessary manpower, maintenance tools, spare parts, and
supporting equipment (including monitoring and testing equipment) to undertake effective and
efficient mechanical maintenance activities;
- Properly handle and control maintenance and operation manuals are properly managed and
controlled, spare parts and replaced components are properly stocked and controlled,
availability of minimum stock of spare parts, and efficient utilization of resources and report to
his supervisor if minimum stock is not maintained;
- Properly handle, control and utilize the necessary work instruction, maintenance manual and record
formats at point of use; control, complete, record and document maintenance requests and activities
and as well mechanical maintenance history of each equipment/machinery/facility;

- Participate in conducting planned and on job training for mechanical maintenance staff as required;

- Conduct and control all physical and visual checks on site machinery for effective and proper
mechanical performance;
- Conduct, control, attend to machine breakdowns and to solve/diagnose any mechanical failure;
- Conduct weekly testing of emergency generator for mechanical performance;
- Undertake all duties safely and in accordance with PhiBela Health & Safety policy and
practice;
- Provide accurate information and regular progress updates as required by the Technic &
Maintenance Manager ;
- Performs others similar duties as assigned and instructed by the Technic & Maintenance Manager.

4. Minimum Requirement:

Education & Experience: MSc/BSc Mechanical Engineering and related fields and 8/10 years of related
experience

- Analytical, mechanical and troubleshooting skills

5.2.1. Senior Mechanic and Shift Maintenance Head for Edible oil, Margarine & Shortening and Soap
Industries

Department: Technic Department

2. Main Responsibility:

Under the general direction of the Mechanical Maintenance Division Head, plans, organizes, directs and
controls the shift mechanical maintenance and operations for all facilities and machineries within Palm
and Soft Edible Oil Processing, Margarine and Shortening and Soap Industries from receiving raw
material to final dispatch operation of Edible Oil and related products and Sesame and related products,
Soap products, etc. with good labor relations, management of personnel and other administrative
matters.

3. Responsibilities and Authorities:

- Plans, organizes, directs, controls and participate as senior mechanic in the shift mechanical
maintenance activities (emergency, breakdown, preventive and planned maintenance) through
the assistance of mechanic and junior mechanics, supervisors, engineers, technicians for all
machineries, transportation equipment and facilities;
- Control and supervise the availability of the necessary manpower, maintenance tools, spare
parts, and supporting equipment (including monitoring and testing equipment) to undertake
effective and efficient maintenance activities in his/her shift;
- Control and supervise all maintenance and operation manuals are properly managed and
controlled, spare parts and replaced components are properly stocked and controlled,
availability of minimum stock of spare parts, and efficient utilization of resources and report to
his supervisor if minimum stock is not maintained;
- Control and supervise the proper utilization of the necessary work instruction, maintenance manual
and record formats at point of use and maintenance requests and activities are properly recorded and
documented, and as well maintenance history of each equipment/machinery/facility are properly
documented;
- Participate in planning, coordinating and conducting planned and on job training for maintenance staff
as required;

- Control and supervise all physical and visual checks on site machinery are periodically
conducted by the maintenance staff during the shift operation;
- Coordinate, Control and supervise and participate in his/her capacity to attend to machine
breakdowns and to solve/diagnose any mechanical failure;
- Performs others similar duties as assigned and instructed by Mechanical Maintenance Division Head.

4. Minimum Requirement:

Education & Experience: MSc/BSc/Diploma in Engineering and related fields and 6/8/10 years of
related experience respectively

Industries

Reports To: Senior Mechanic and Shift Maintenance Head
Department: Technic Department

2. Main Responsibility:

Under the general direction of the Senior Mechanic and Shift Maintenance Head, conduct and
undertake all mechanical maintenance and operations for all facilities and machineries within Palm and
Soft Edible Oil Processing, Margarine and Shortening and Soap Industries from receiving raw material to
final dispatch operation of Edible Oil and related products, Soap products, etc. with good labor relations,
management of personnel and other administrative matters

3. Responsibilities and Authorities:


- Conduct and undertake the shift mechanical maintenance activities (emergency, breakdown,
preventive and planned maintenance) under the supervision of the Senior Mechanic and
through the assistance of junior mechanics, engineers, technicians for all machineries,
transportation equipment and facilities of Palm and Soft Edible Oil Processing, Margarine and
Shortening and Soap Industries;
- Control, apply and properly utilize the necessary manpower, maintenance tools, spare parts,
and supporting equipment (including monitoring and testing equipment) to undertake effective
and efficient maintenance activities in his/her shift, and reporting to the senior mechanic any
defaults and challenges;
- Properly utilize, apply and control all maintenance and operation manuals and properly
managed and controlled, spare parts and replaced components are properly stocked and
controlled, availability of minimum stock of spare parts, and efficient utilization of resources
and report to his supervisor if minimum stock is not maintained;
- Properly utilize, apply and control the necessary work instruction, maintenance manual and record
formats at point of use and maintenance requests and activities are properly recorded and
documented, and as well maintenance history of each equipment/machinery/facility are properly
documented;

- Participate in planning, coordinating and conducting planned and on job training for junior mechanics
and technicians as required;

- Conduct and undertake all physical and visual checks on site machinery and maintenance
activities during the shift operation;
- Follow up, control and attend machine breakdowns and to solve/diagnose any mechanical
failure;
- Performs others similar duties as assigned and instructed by Senior Mechanic and Shift Maintenance
Head,

4. Minimum Requirement:

Education & Experience: BSc/Diploma in Engineering and related fields and 4/6 years of related
experience respectively

5.2.1.2. Junior Mechanics (Mechanical Maintenance) for Edible oil, Margarine & Shortening and Soap
Industries

Reports To: Senior Mechanic and Shift Maintenance Head
Department: Technic Department
Unit/Service: Mechanical Maintenance
2. Main Responsibility:

Under the general direction of the Senior Mechanic and Shift Maintenance Head, participate in all
mechanical maintenance and operations including greasing, oiling, and others; for all facilities and
machineries within Palm and Soft Edible Oil Processing, Margarine and Shortening and Soap Industries
from receiving raw material to final dispatch operation of Edible Oil and related products, Soap
products, etc. with good labor relations, management of personnel and other administrative matters

3. Responsibilities and Authorities:

- Participate in the shift mechanical maintenance activities (emergency, breakdown, preventive


and planned maintenance) under the supervision of the Senior Mechanic and Mechanics
through the assistance of engineers, technicians for all machineries, transportation equipment
and facilities of Palm and Soft Edible Oil Processing, Margarine and Shortening and Soap
Industries;
- Properly trained and participate to apply and properly utilize the maintenance tools, spare parts,
and supporting equipment (including monitoring and testing equipment) to undertake effective
and efficient maintenance activities in his/her shift, and reporting to the senior
mechanic/mechanics for any defaults and challenges;
- Properly trained and participate to utilize, apply and control all maintenance and operation
manuals and properly managed and controlled, spare parts and replaced components are
properly stocked and controlled, availability of minimum stock of spare parts, and efficient
utilization of resources and report to his supervisor if minimum stock is not maintained;
- Properly trained and participate to utilize, apply and control the necessary work instruction,
maintenance manual and record formats at point of use and maintenance requests and activities are
properly recorded and documented, and as well maintenance history of each
equipment/machinery/facility are properly documented;

- Properly trained and participate to conduct and undertake all physical and visual checks on site
machinery and maintenance activities during the shift operation;
- Properly trained and participate to follow up, control and attend machine breakdowns and to
solve/diagnose any mechanical failure;
- Performs others similar duties as assigned and instructed by Senior Mechanic and Shift Maintenance
Head,

experience respectively

packaging materials, filling and packaging, Packaging Cartons Productions Industries from receiving raw
material to final dispatch operation of Plastic packaging materials, filling and packaging, Packaging
Cartons Productions, etc. with good labor relations, management of personnel and other administrative
matters.

3. Responsibilities and Authorities:

- Plans, organizes, directs, controls and participate as senior mechanic in the shift mechanical
maintenance activities (emergency, breakdown, preventive and planned maintenance) through
the assistance of mechanic and junior mechanics, supervisors, engineers, technicians for all
machineries, transportation equipment and facilities;
- Control and supervise the availability of the necessary manpower, maintenance tools, spare
parts, and supporting equipment (including monitoring and testing equipment) to undertake
effective and efficient maintenance activities in his/her shift;
