REPORT WRITING

Report-writing requires the following:
● Clear and easy to understand language
● Complete and accurate information such as statistics,
facts and figures, etc
● An impersonal and impartial style
● Logical progression
● References
Report writing
❖ A report is a form of writing that gives information about an event,
situation or process.
❖ To be useful, a report must be written in clear, simple language and in a
direct style that would allow readers to find the required information
quickly and easily.
❖ It is necessary to be clear about three things when writing a report—
1. what the report is about,
2. who it is meant for and;
3. what it will be used for.
❖ Report writing is an important communication skill that you will need to
use during your years of study and, later, when you begin working.
Why is report writing important?
Conclusiveness:
● In today’s world of commerce, information is constantly transacted
and everything must be documented for later reference.
● Conclusions to these transactions are arrived at through discussion
and decision-making processes.
● Reports help to make informed decisions based on the data provided.
● Moreover reports over a period of time can be compared, studied and
conclusions made.

●Problems
that arise in an organisation are investigated by an assigned
committee.

●For a just investigation to take place, documents must be furnished.

●Reports play an integral role in providing witness.

●Vast establishments are constantly developing, modifying and adapting.

●To keep check on the growth and progress of an organisation is a task that requires officials at

all levels to be engaged in monitoring various departments and employees.

● Reports help to maintain a chronological order of events in the diverse units and monitor their
progress.

●In a professional scenario reports are proof of progress.

● These help to understand the growth of an organisation and its employees.

●The information obtainedfrom reports is considered to be valuable sources for


supervision.
Types of report
Scientific reports:
●It is a detailed documentation of a research problem, process, progress and results of the study.

● It is inclusive of limitations, recommendations and findings.

● Scientific reports are used for research purposes and help gain a comprehensive understanding of
progress, findings and discoveries in the field.

● Research reports are written in advancedstudies of any stream.


Types of report
Academic reports:
●They present and deliberate an experiment, survey or research.

●They usually follow a standard format with specific sections that are mandatory to be featured.

●An academic report can be used for references and aids to further study in the same or similar field.

●Academic reports are the fundamentals of a research report. They adhere to formats of citation,
spelling and punctuation.
Types of report
Formal reports:

It is an official report consisting of detailed data, analysis and information required to make

decisions. Reports are used to analyse problems and reach conclusions. This report is generally

written for the purpose of solving a problem. There are two types of formal reports:

A. Informational reports

●Gather facts and evidences utilised to arrive at conclusions.

●It provides a brief description of the issue and findings; quantitative and qualitative.

●Informational reports follow a standard format but do not provide solutions. They are usually

proposals, reports on meetings conducted and reports of work in progress.

B. Analytical reports –

●Analytical reports provide facts and data. Along with that, recommendations to solve the problem
are also provided.

●Reports on studies conducted, on evaluation of a particular subject are few among the analytical
reports.

●These reports give closure to the topic and therefore help in assessing progress.
