General Service job:

1. Supplies Stationer
main activities: Purchasing Stationary for O and M Company TJBPS. The target is to
ensure the availability of stationeries when is required in an efficient and effective manner.
The General Services Supervisor has the overall responsibility for BM Procedure and for
updating BM instruction. General Services staff must monitor the stationery requirements and
regularly conduct physical check with the selected vendor in order to maintain the availability of
the stationeries.
General Services will create and update the list of stationeries needed as stock, based
on that information Procurement will ask inquiry from local experienced supplier when
applicable in order to have best price, quality and terms of payment and all procurement
procedures shall be followed. To establish stock level, reorder quantities are established and
selected supplier will be notified on a regular basis to replenish the stock balance to prevent stock
out situation.
Placement of the stationeries stock will be in Administration building, Amenity Building
and CCR. General Services will appoint 1 person in charge to administer and record in each building
for stationeries consumption and it shall be reported to the General Services for each stationery
use.
Stationery is monitored by general services and supplier through physical check and
usage list at regular intervals and ordered weekly or when required. Based on that physical
check or consumptions, General Services will issue reorder form to the supplier and signed by
Finance & Administration Manager. Based on the reorder form, supplier will replenish the stock and
General Services shall ensure the quantities delivered refer to the issued reorder form and put accept sign
in delivery sheet from supplier. Invoice from supplier should be delivered directly to Accounting
staff with the attachment of delivery sheet signed by General Services.

2. Mail Distribution
Main activities: to distribution all of internal mails and document for all
personnel/employees in TJBPS
GS Supervisor responsible to arrange and monitor all sent documents with the
mentioned address accordingly. All departments have responsibility to make sure that all mails
and documents ready for send.
All mails and documents will be pick up by a messenger who has assigned by GS.
Section and the documents from all departments will be sorted in groups of department address
in order there will be no misplaced or suspended documents during distribution. Schedule for
pick up mail and document at 08:30 WIB, 13:30 WIB, 16:30 WIB.

3. Transportation services
Main Activities is to responsible to prepare and schedule all transportation and the
drivers in daily basis in efficient and effective manner in the operation activities including
but not limited in normal working day, Shift working day, and emergency situation in
TJBPS.
For normal working day company provide 3 bus from pick up point. Bus will start at
06.45 am and back at 16.30 pm and company also provides operational cars to support all
daily operation activities.
For shift work company provide 1 bus based on shift schedule from operation
engineering. For emergency company provide 24-hour standby by car in office and Jepara
with a driver. For Expatriates and manager company provides car and cover all with the
driver, fuel, and car maintenance. For operational transportation company provides car for
all procurement activities, finance activities, guests or employees, catering and other
activities needed by the company. Last company provides 1 bus and 2 minibus (elf) for
employee’s children in daily school days.
