CH-001: Chart Correction

1.1 Purpose

T h i si s t h e p r o c e d u r e d e f i n i n g c o n c r e t e m e t h o d s t o e n s u r e s a f e t y
correcting charts and publications appropriately. Officer in charge shall recognize that
Chart Correction is important to ensure ship's safety and shall a
faithfully without error.

1.2 Corrections

P ub l i s h e r o f t h e c h a r t s ( J a p a n M a r i t i m e S a f e t y A g e n c y o r H
in theU.K.) correct charts by acquired data when the contents need correction after
they are published. Among all, adding/deleting/correcting job with Notice to Mariners
is called as CORRECTION.

CH-002: Small Correction of Charts

2.1 General attention

Small Correction is to correct charts by hand-writing or block correction of Notices to


Mariners, although it is difficult to describe every attention about small corrections
because notices are very variety, listed summary as follows.

2.1.1 Stamp on the reverse side of the charts

completed till aforesaid edition of Notice to Mariners.

2.1.2 Priority

(1) For Scale

charge must completed thecorrections of related charts before the ship enter
the above area.

2.1.3 Last correction

Last correction number are added to charts number which listed on each Notices.
When correcting a chart, first check that the last published correction to it, which is
given at the end of the new Notice, has been made to the chart.

2.2 Manual Corrections

2.2.1 Insert (Entry)

(1) If there is few space to insert notices around correcting area, put red m
" 〇 " i n d i c a t i n g c o r r e c t i n g p o s i t i o n a n d c o
should be inserted nearby "〇".
(2) T h e d e sc r i pt iv e or de r o f R o ut e M a r k s i s as f o l lo w s
(shapes), details of light, limit of sectors, sector line (in case of leadin
insert leading line), and finally lights mark " " by magenta color or the like. The
light's details in Notices to Mariners are written to conform wit
Charts. Therefore, you may omit the part of light's details accordingly when you
enter it on Small Scale Charts.
(3) According to [Chart Symbols and Abbreviations], limit of sectors and sector line
are described with perforated line, but you can write them with red line instead.

(4) If Buoys or Beacons are installed at the same position with sunken rock/reef or
wreck, do not delete the mark of the sunken rock/reef, the wreck or soundings and
insert installed buoy or beacons nearby them and connect to installed position with
arrow.

Submarine cable, Overhead cable, harbour limit, section limit,


passage limit, anchorage prohibited area, entry prohibited area,
dumping ground area, sector of lights, leading lines of leading
lights/marks, various name on shore, legend.

(2) Use blue ink when you delete submarine cable, berth
statutory traffic route and etc which are coloured with magenta colour.

2.2.3 Move

2.2.4 Soundings

Pay attention that the center of the sounding figures indicate the position

2.3 Corrections with Blocks (Chartlets)

coastline, natural features are changed by construction or soundings is changed at
wide area or corrections are gathered into small area. Blocks rarely indicates legends
only such as navigation rule or obstruction. The following attention must be paid
when using blocks.

(1) A b l o c k m a y n o t o n l y i n d i c a t e t h e i n s e r t i o n o f n e w i n f o r m a t i o n ,
omission of matter previously shown. The text of the Notice should be carefully.
(2) T h e l i m i t i n g l i n e s o f a b l o c k a r e
reproduction . They need not be adhered to when cutting out for pasting on the
c h a r t s ( fex
o ra m p l e , c u t t h e f o u r c o r n e r s r o u n d l y t o p r e v e n t p a s t e d b
stripped), provided that the preceding paragraph (1) is taken into consideration.
For your information, On B.A. charts, there is at least 3mm inside the line with no

information on it.

while it is dry, making two or three pencil ticks round the edges for use as fitting
marks after the paste is applied to the chart.

2.4 Entry of Notice Number

Whenever a correction has been made to a chart, the number of the Notice and the
y e a r ( i f n o t a l r e a d y s h o w n ) s h o u l d b e e n t e r e d i n t h e
of the chart. Succeeding corrections must be also entered consecutively.

2.5 Index of Notices to Mariners (for M.S.A. charts) and


  Cumulative list of Admiralty Notices to Mariners (for B.A. charts)

Notices, are published in this list. It is produced at the beginning and middle of each
year. Officer in charge must check the contents well to keep the charts as full-corrected
condition.

CH-003: Temporary Corrections

3. Temporary Corrections

(1) Notices must be enter by pencil in the same manner with small c
regarding T & P Notices. You may not enter notice number on bottom left-hand
corner of the chart.
(2) After completed T & P corrections on chart, insert the su
date of the occurrence and Notice No. nearby corrected point.
(3) these T & P corrections are not entered on newly supplied charts.
(4) T & P Notices should be rubbed out as soon as the Notices
canceling them.

3.2 Categories and Items for T & P Notices

3.2.1 Temporary Notices

Notices which are expected to restored, withdrawn, altered or those with a time
limit are classified to "Temporary Notices" such as amend of Route Marks,
restriction of sailing/anchoring and wreck. These item are listed on Notices to
Charts and Publications Correction Document No. Date : 2012.09.14

Mariners with letter of "T" (Temporary) after notice number. In case shallow place
Are found out, it is treated as "Temporary Notices" till it is verified by sufficient
analysis.

3.2.2 Preliminary Notices


Among Notices regarding install or amend of Route Marks, the notices
announcement because they are very important to navig
"Preliminary Notices". These items are listed on Notices to Mariners with letter of "P"
(Preliminary) after notice number.

3.2.3 Miscellaneous Information

T h e f o l l o w i n g i n f o r m a t i o n a r e l i s t e d o n
reference.

(1) Though the data is not sufficient, required to be noticed urgently. These are re-
noticed as small corrections if they are required so, after further investigation.
(2) Though it is scheduled to noticed as small correction soo
required to be noticed urgently.
(3) Information of which dangerousness for navigation is small, but l
reference.

3.2.4 List of T & P Notices to Mariners

"List of T & P Notices to Mariners" is issued 4 times a year as a separate volume of


Notices to Mariners. This list include not only effectiveness of T & P Notices but
their noticed year, edition no, notice no. for each charts.
These are listed on aft portion of list.

6. Upkeep of the Publications

6.1 Publication List

Corrections are listed in section I in Notices to Mariners. The


e n t e r e d b y i n k o r c u t / p a s t e d o n r e l a
Catalogue (NP131) shall be corrected in the graphical page and the Numerical Index
of Part 9 also.

6.2 SAILING DIRECTIONS

Corrections are listed in section IV in Notices to Mariners. The legend must be


entered by ink or cut/pasted on related part.

6.3 List of Lights and Fog Signals

Corrections are listed in section V in Notices to Mariners. The legend must be

entered by ink cut/passed on related part. After corrected, the date of completion
must be enter in back cover.

6.4 LIST OF RADIO SIGNALS

Corrections are listed in section VI in Notices to mariners. The legend must be

6.5 MISCELLANEOUS ADMIRALTY NAUTICAL PUBLICATIONS

Corrections are listed in section VII in Notices to mariners. The legend must be
Entered by ink or cut/pasted on related part. After corrected, the date of completion
must be entered in back cover.

6.6 Ship’s Routing

Ship's Routing adopted by IMO. Also they are listed on Notices to Mariners.

7. Procedures for supplying Charts, Publications and Notices to Mariners

7.1 Charts

Order to designated Auto-Supplier with contract by RR445 (Requisition for Navigation


Chart). Person in charge of Auto-Supplier arrange/supply the same. In case of
emergency, Maser may order to local agent directly. In this case Master report the
details to the company (JX Tokyo / Nissho Odyssey Ship Management).

7.2 Publications

The following Publications are supplied automatically by Auto-Supplier with


supervising by the company. Also, publications that are required extraordinary must
be ordered to Auto-Supplier by RR445

(Requisition for Navigation Chart).

7.3 Notice to Mariners

Notices to Mariners are supplied through local agent when you request them to the
designated chart auto supplier. Upon received them, you confirm the edition number
is in series from the last Notices to Mariners on board. If not, you inform your chart auto
supplier the number and ask its supply.

7.4 Receipt Date

Enter receipt data on suitable place of the above Charts, Publications and Notices to
Mariners upon received them by ink.

CH-008: Treatment of Old /Canceled Edition

If Charts or Publications are revised, old/canceled edition must be treated in the same

CH-010: Auto supplied Charts and Publications Outfit Management

10.1 Purpose
The purpose of this procedure is to describe the shipboard chart and publications
outfit Management agreed between JX Shipping Co., Ltd. and the authorized Chart
Agent (the contractor).

10.2 Responsibility
The Master is responsible to ensure in understanding of the shipboard chart and
publications outfit management system of work. Accordingly, he should always comply
with below procedure.

The Navigating Officer (Second Officer) is responsible for ensuring that the inventory
of charts and nautical publications used for vessel’s safe navigation are readily
available for each intended voyage and are of latest editions and maintained corrected
with latest available NMs. He shall keep the Master fully informed of the

chart and publication inventory.

10.3 Outfit management


In agreement with contracted Admiralty Nautical Publications Distributor, the Company
compiled with standard “Inventory” containing all navigation charts, nautical and other
commercial publications required to be carried onboard particular vessel, depending on
her type, size and trading pattern.

The Outfit Management is process mutually controlled by the Company and the
contracted Chart Agent. It includes the following:
- Regular and continuous maintenance and update of particular “Inventory”
- Automatic supply of new editions
- Automatic supply of new charts replacing existing charts with different numbers
- Maintenance and updating of standard nautical and commercial publications

The responsibility for arranging timely supply of weekly Notices to Mariners lies with
the vessel.

Neither Company approval nor requisition is required for timely delivery. The Master is
responsible to ensure that the Chart Agent is informed of the port, ETA and Port
Agents details of where he requires the Charts and Publications delivered to.
Six (6) working days is considered as minimum notice period required to be given to
the contracted Chart Agent for timely supply of navigation charts and publications in
any suitable port of delivery worldwide.

Special attention shall be given to ensure that locally supplied charts


urgently or which are replacing damaged or worn out charts contain all including the
latest NMs.

It is of crucial importance to advise the chart agent of any additional charts or


publications locally supplied to the ship in order to ensure that these are inserted in
chart agent database and active “Inventory”.

10.4 Periodical Verification


The followingverificationprocedure has to be carried out in order to maintain an up-to-
dated record of the vessel’s charts & publications and ensure prompt supply of new
editions on board.

Masters on board should contact regularly to each service contractor to have an


updated active charts and publications inventory.

The verifications should be completed on board not later than every 2 months.

The Master is required to review the inventory of Charts and Publications in line with
Master’s Self Assessment. Every detected deficiency will be reported to the Chart
Agent with cc to Company.

CH-011: Local Charts Management

All local charts supplied to the ship are to be withdrawn and destroyed
immediately upon completion of voyage, unless these are under contracted by
auto-supply agent.

In cases where only local charts are available for regular port of call or transit areas,
they may be retained onboard for reference but must always be marked with
permanent marker as following:

“FOR REFERENCE ONLY – NOT TO BE USED FOR NAVIGATION”

These charts should be stored in separate “Reference Folio”. Once the ship is
scheduled to call same port, this chart may only be used for preliminary passage
planning. Local chart showing same area but of latest edition and updated with latest
local corrections shall be ordered by the Master and supplied by the ship’s Agent latest
on ship’s arrival at Pilot Station.

UK Hydrographic Office adopts many charts of foreign editions into its Admiralty series,
with particular emphasis on areas and ports that are important for international
commercial shipping. Typical examples are Admiralty charts of JP series which are
reproductions of Japanese Hydrographic Office charts and are completely included in
Admiralty Chart Series.
