CIRCULARNO. 16/2020

1. Keeping in view the recent surge in COVID-19 cases pan India and specifically among employees of
RINL and their family members, exercise of strict control to contain the spread of this pandemic is
the need of the hour. It is necessary to be careful and vigilant to combat this tough situation and
make efforts to fight against it.

2. In this connection, various guidelines have been already issued including the requirement to furnish
the details of travel undergone by employees or their family members etc. However, it is noticed
that this requirement is not being strictly adhered. Such lapses dampen our effort of risk assessment
as well as dilute the proactive measures being taken to prevent the spread of COVID-19.

3. In view of the above, the following are reiterated for strict compliance:

3.1 Employees including trainees should proceed on leave only after the leave is sanctioned.

3.2 All non-essential travel should be avoided by the employees including trainees and their family
members.

3.3 Employees including trainees intended to leave Hq for essential reasons shall take the prior
permission of HOD as per Annexure-I.

3.4 Employees including trainees should submit declaration in Annexure-II in case any family
member/relative arrives at his residence from a hotspot area.

3.5 Employees including trainees who were or are absent from duty for 3 days or more (including
offs/holidavs etc), for any reason whatsoever shall have to submit a declaration as per Annexure-III.

3.6 The office of HODs concerned shall maintain a register for the purpose for recording such details of
the employees including trainees as stipulated at 3.3, 3.4 & 3.5 above as per Annexure-IV.

3.7 HODs in consultation with Zonal HR concerned will suitably advise employees including trainees for
self isolation when employees, family members etc return to/arrive at employee's residence from
outstation.

4. Employees including trainees are advised to strictly comply with the guidelines issued from time to
time. In case of non- compliance, employees are liable for disciplinary action as per the Rules of the
Company.

5. This issues with the approval of the competent authority.
