LEARNING ACTIVITY 1

1. How important is communicating as a function of engineering management?

Communication is a set of steps that take place whenever there is formal communication in an
organization. With these, it goes a long way to ensure that your stakeholders are kept informed
regularly. Effective communication during planning is critical to ensure that all project participants are
on the same page. Achieving the goal of a design organization depends on the performance of the
human and non-human elements involved. Employees behave as they want. Leadership through
communication is very important, if not, problems can come before they have.

2. What is communication? How may it be done?

Is a process of exchanging information through symbols such as words and messages.


Communication can be between supervisors and subordinates, between colleagues, between managers
and clients or customers, and between employees and government officials. This can be done in person,
in print, or electronically, such as by phone.

3. For what purposes may communication be used in organization?

In management, communication must be made for a purpose. Also, may be used to serve any of
the following functions:
1. Informative function – provided the info’s through communication may be used for de-
cision making at various work levels in the organization.
2. Motivation function – used as a means to motivate employees to commit themselves to
the organization’s objectives.
3. Control Function – is for plan reports and policies.
4. Emotive Function – provides a means to decrease the internal pressure affecting indi-
vidual.
4. What are the steps in the communication process?

The communication process consist of eight steps:


 Develop an idea
 Encode
 Transmit
 Receive
 Decode
 Accept
 Use
 Provide Feedback
5. What is a communication channel? How may each of the channel types be described?

Within an organization, information flows forward, backward, and laterally. This flow of
information is called communication. A communication channel is any medium through which you can
send your message to your intended audience. Face-to-face or Personal Communication
Face-to-face or personal communication is one of the richest channels of communication
that can be used within an organization. Physical presence, the tone of the speaker’s voice and
financial expressions help recipients of a message interpret that message as the speaker intends.

 Broadcast Media Communications


TV, radio and loud speakers all fall within the broadcast media communication channel.
These types of media should be used when addressing a mass audience.

 Mobile Communications Channels


A mobile communication should be used when private or more complex message needs
to be relayed to an individual or small group.

 Electronic Communication Channels


Electronic communication channels encompass email, internet, intranet and social media
platforms. This channels can be used for one-on-one, group or mass communication.

 Written Method of Communication


Written communication channel should be used when a message that does not require in-
teraction needs to be communicated to an employee or group. Policies, letters, memos, manuals,
notices and announcements are all messages that work well for this channel.
6. What is meant by “noise”?

Defined as interfering with the communication process between speaker and audience. The
purpose of noise management is to keep noise pollution low and protect human health and welfare. The
specific objectives of noise management are to develop standards for maximum safe noise exposure
levels and to facilitate noise assessment and control as part of environmental health programmers.

7. What is “decoding”? How may it be successfully achieved?

Decoding means transforming the message from the sender into a form that makes sense to the
recipient. A successful decision can be reached if the recipient knows the language and terminology
used in the message. Decoding is also greatly improved if the receiver understands the sender's purpose
and context.
8. What are the forms of communications? How is one different from the other?

Communication consists of two main forms: verbal and nonverbal. Verbal communication refers
to anything conveyed through hearing or sight and is also divided into two categories: oral and written.

9. How may barriers to communication be classified? What is the possible effect of emotion in
communication?

Communication barriers can be categorized as physical, personal, and psychological barriers.


Emotion Cloud Communication ability, the ability to correctly judge the true meaning of received
messages. People with different values will find it difficult to communicate with each other.

10. How may communication barriers be overcome?

Communication barriers may be overcome through following recommendation:


1. Use feedback to facilitate understanding and increase the potential for appropriate action.
2. Repeat messages in order to provide assurance that they are properly received.
3. Use multiple channels so that accuracy of the information may be enhanced.
4. Use simplified language that is easily understandable and which eliminate the possibility of
people getting mixed up meanings.
11. What techniques may be used in communication?

There are the techniques use for the type of flow of the message:
1. Download Communication – letters, meetings, telephones, manual, handbooks and newsletter.
2. Upward Communication – formal grievance procedures, employee attitude and opinion survey,
suggestion system, open door policy, informal gripe sessions, task forces and exit interview.
3. Horizontal Communication – memos, meetings, telephones, picnics, dinner and other social af-
fair.
12. What is a management information system? What are its purposes?

A management information system is defined as an organized method of providing


historical, current and forecast information about internal operations and external information
for use in decision making.
The purpose of management information system:
1. To provide a basis for the analysis of early warning signals that can be originate both ex-
ternally and internally.
2. To automate routine clerical operation like payroll and inventory reports.
3. To assist managers in making routine decision like scheduling orders, assigning orders
to machines and retendering supplies.
4. To provide information necessary for management to make strategic or non-
programmed decisions.

Case 6. NORTHERN CONTAINER CORPORATION: Time to Cry

Even its first year of operation, Engineer Monsod has worked hard to keep the NCC operating
at full capacity. The company's various departments are staffed by his 323 employees, an increase of
5% each year. Northern Container Corporation is a fairly new five-year-old company that needs
customers who are likely to do business with them for the long term. Then came the Red Ribbon
Manufacturing Corporation, headed by Mr. Tapiador, who had already made a verbal agreement with
Engle. Monsod orders tin cans from the company. However, Engr. Monsod was perplexed after
receiving a letter from RRMC saying he could not go ahead with the deal because he was already
negotiating with another supplier. After a while, the engineer, Monthod, picked himself up and
prepared to ponder what had happened and what possible solutions.

First, Engr. Monsod needs to meet with the marketing manager and explain what happened,
why RRMC did not receive any response from their company regarding the transaction that led them to
deal with another supplier. Engr. Monsod should require a regular report from all company departments
so that he is aware of the company's activities and knows if any deficiencies have been made. This
problem should never happen again or the company will have to make sacrifices and lay off workers.
Proper management and continuous monitoring should be done. There should also be effective
communication. Because it seems there was a communication failure at engineer Monsod's company.
