The Chairperson firstly took swipe by thanking all board members who attended the
meeting. He emphasized that, the purpose of the meeting was to discuss about the
duties and responsibilities of sheq department.
2.0 ADOPTION OF PREVIOUS MINUTES
There were no previous minutes to be read hence the meeting went on

It was discussed about shifts changes since most of the activities are now done at night
therefore, everyone is now liable to work on night shift. All She Reps to be rotating since
it wasn’t fair to let Takudzwa be the one responsible for night shift. Therefore from
Wednesday night 09.11.2022 Danne Maninga and Hojesi Bennetti will be on night shift
till Wednesday 16.11.2022. Sibanda also emphasised on the point of hand over and
take over. There should be a proper hand over and take over when rotating or shift
exchanges.

5.0 Safety Slogan


ALL Ongoing

Safety slogan was another issue raised in the meeting. It has been debated on how to
launch our slogans so that everyone can be aware of the slogan for the month. The
question was on HOW? HOW ARE WE GOING TO DO IT? HOW ARE WE GOING TO
ENFORCE IT? HOW ARE WE GOING TO MAKE OUR SAFETY SLOGAN MORE
VIBRANT? How to enforce our slogans so that everyone would be aware. Therefore,
there were different suggestions passed out in order to make our slogan lit.

To start with, it was agreed that repeating the slogan every day at Hira makes our
slogans to be more vibrant and it makes employees to be very aware of the slogan.

Moreblessing suggested the use of positive reinforce as a measure to enforce the


slogan. Fringe benefits to be introduced to boost employee’s moral e.g., awarding
employees who knows the slogan when asked. Awards can be in form of stickers,
money as well as reflective vests.

Use of flyers and banners at site was also suggested for it will help employees to get

used to the slogan. All in all, it was agreed that in order to make our slogan vibrant we
have to preach about it and write about it.

6.0 INCIDENT REPORTING SHEQ Ongoing


Accident and incidents should be reported immediately. Incident flash repot should
appear 5 minutes just after the incident. accidents and incidents to be reported as it is.
Sibanda emphasized that we don’t have to be lawyers when writing reports. Therefore, it
was suggested that incidents should be reported as it is e.g., Primrose was walking at
bridge 10 and stepped on a stone, she got her leg twisted. Preliminary investigation
shows that, she was preoccupied or there was poor housekeeping.’ Whilst reversing
tipper, the driver accidentally hit another tipper which was parked. ‘No need for
exaggerating events. No need to cover up for particulars involved therefore incidents to
be reported as they are.

7.0 Complains PM 10.11.2022

7.1 Airtime
There is need of airtime for communication because sometimes we fail to send reports
in time due to airtime challenges.

7.2 PPE
There is shortage of PPE on site. However, we were promised that the company is
working on the ppe issue.
7.3 Shade for eating areas
Teclar raised the issue of erecting shades on eating areas as a necessity since we are
in rain season. There must be adequate shades erected to avoid employee being
exposed to heavy rains. However, Sibanda said it is on progress since there is a
parameter fence that is being erected.

Labour requisition
Since Mukai Musiyarwo haven’t been replaced Takudzwa have been covering 3
sections by himself. Therefore, he was complaining that the load is too much for him
7.5 hence there is a need of a She Rep.
Speaker
7.6 There is need for a speaker at bridge 1 for sound system during HIRA.
Salary increment
Some she reps are still paid as general hands therefore there is need for salary
7.7 adjustments.
Lights
There is need of lights for spotters to direct vehicles.

8.0 Safety directives from Management L.S 10.11.2022


 No vendors are allowed in the working areas therefore all She reps to
make sure there are no vendors at respective section.
It’s a hard hat awareness month therefore it’s a must for everyone to
wear a hard hat. It’s a punishable offence to be caught without a hard
hat at site
