NARRATIVE REPORT OF ON-THE-JOB TRAINING EXPERIENCE AT

CITY GOVERNMENT OF CAVITE CITY – MIS DEPARTMNENT

INTRODUCTION

On the job training or OJT is one method by which students is giving a chance

to apply the theories and compilations that they have learned from the school. It also

helps the students to acquire relevant knowledge and skills by performing in


actual work

setting. Colleges and universities require their students to undergo such training with a

specific numbers of hours as part of the curriculum.

On the other hand , an effective OJT program also benefits the companies who

accept trainees. First OJT or intern provides additional manpower for a lesser labor cost

than a regular employee. Most of them are all eager to learn the ropes so changes are high

that they will cooperate.

Employers can use this inter ship strategy As a method in recruiting new

employees , since the trainer or the supervisor can fallow the trainees’ progress, he can

gauge based on performance, behavior, and attitude it the trainee will make make a good

recruit after the completion of his inter ship.

Objectives of the On-the-Job Training

The main objective of the trainee was to finish 240 hours of internship that was

required to accomplish the course’s necessity. Also, to meet the IT industry’s demand for

technically competent and well-rounded IT graduates, the On-the-Job Training (OJT)

program aims to:

a. Apply knowledge and skills acquired in the classroom to the activities of the

corporation.

b. Enhance their knowledge and skills and be useful to the corporation;

c. Use the existing environment, tools, and skill training that are available in

their workplace to train an employee to do their job;

d. Provide a foundation for preparing the student for working efficiently and

productively in industrial commercial establishments.

Significance of the On-the-Job Training

On-Job-Training is a in which students can access different facets of the

community. This experience can help lead students on career choice paths and give them

a chance to utilize their skills in the 'real world'. A practicum can be fun and offer many

gifts when properly coordinated and facilitated by students.

The rewards of On-Job-Training placements for students can be numerous.

Sometimes they may go unnoticed and not realized until days, months or even years later.

Rewards may be professional, personal or both. Personal rewards include skill

development, greater awareness of likes and dislikes and more. The most important

reward may be life experience and enjoyment. Helping another person, participating in

the community and sharing with others will intensify the students' life experience.

Rewards are reciprocal; your energy rewards others. A On-Job-Training is a mutually

beneficial experience. As much as you learn from the students they learn from you as

well.

Time and Place of the On-the-Job Training

The on-the-job training is conducted at Management Information System of City

hall of Cavite City, located at Cavite City, Cavite. The trainee was assigned at the

Management Information System department .He undertook the practicum from July 25,

2022 to September 06, 2022. He completed the required 240 OJT hours by working 8

hours per day.


THE LINKAGE ESTABLISHMENT

This chapter presents the linkage establishment where the trainee conducted his

On-the-Job Training (OJT) wherein it discusses the brief history, specific and exact

location, vision and mission statements, goals and/or objectives, and organizational chart

of the whole establishment.

Location of the Establishment

The CITY GOVERNMENT OF CAVITE CITY was located Judge Ibanez, Cavite

City, 4100 Cavite.

Figure 1 shows the location map City Government of Cavite City where the

trainee conducted his On-the-Job Training (OJT).

Background/Profile

The early inhabitants of Cavite City were the Tagalogs ruled by the Kampilan and

the bullhorn of a datu, the tribal form of government. During the Spanish Administration

the place was under an “AdministradoresCiviles” called “Gobernadorcillo”, which was

later called “Capitan Municipal”, assisted by a “Tiniente Mayor”, a “Tiniente Segundo”,

and a “TinienteTercero”, a “Tinientedel Barrio “and” Cabeza de Barangay. In 1898,

when the Americans came, the place was used as the seat of the U.S. Naval Forces in

the Philippines. Government Administration was under the “PresidentesMunicipales”

with the direct supervision of the American Army Officers.

Vision and Mission Statements of the Establishment

The following were the vision and mission statements of the P.IMESnav:

Vision

 A premier port city for international trade commerce, with God-loving, culture-

oriented, contented and empowered people, living in a safe, sustainable and vibrant

community towards a diversified economy guided by a strong and accountable

leadership.

Mission

Enhance quality of life of the people providing adequate basic social services and

creation of an environment conductive for living and business that promotes socio-

economic development. Achieve ecological balance through proper management,

rehabilitation and protection of the environment. Promote the city as a tourist destination

by preservation and rehabilitation of cultural heritage, landmarks and institutionalizing

cultural, historical events and commemorations.

To ensure peace and order and disaster preparedness by equipping responsible

agencies by empowering people’s organization and community residents with technical

assistance, proper resources and adequate training towards a safe and responsible

community.

Organizational Structure of the Establishment

The City Government of Cavite City organizational structure shows the structure

of the organization and the relationships and relative ranks of its parts and positions/jobs.

Figure 3 shows the Organizational Structure of the City Government of Cavite

City where the trainee conducted his On-the-Job Training (OJT).


THE TRAINING AREA

This chapter presents the training area where the trainee conducted his On-the-Job

Training (OJT) wherein it discusses the function, organizational structure and

responsibilities, facilities, equipment, and standard operating procedures of the

department where the trainee was assigned.

Department Function

Management Information System Staff is the one who maintain the good

condition of every computer in every other part of the department of the city hall. Doing

the installation of the internet connection and also the cctv monitoring.

Facilities

The City Government of Cavite City – MIS department was a big building where

it comprises its facilities into its departments. The I.S. Department where the trainee

conducted his On-the-Job Training (OJT) was a big room facility that is divided by its

areas.

The equipment used by the trainee to his tasks were provided by the P. IMES

Corp. and used as basic essential equipment.

Standard Operating Procedures

The following were the working policies and procedures that the City

Government of Cavite City trainees should follow:

1. No pilferage, tardiness, and loitering.

2. No wearing of sandals/slippers, shorts, and sandos.

3. Wear white t-shirt.

4. Wear your School ID and Temporary Pass at all times.

5. No wearing of earrings, necklaces and bracelets.

6. No smoking/gambling.

7. Break time (lunch) 12:00PM – 1:00PM and next break 3:00PM – 3:30PM.
THE TRAINING EXPERIENCE

This chapter presents the training experience of the trainee wherein it discusses

the task performed and specific activities assigned to her, observed strengths, and

challenges or difficulties encountered by the trainee as well as her suggestions for

improvements to solve the problem.

Tasks Performed

My daily task in the Management Information System of City hall of Cavite City

is more on trouble shooting the computer in every department of the City hall. The task

that was given to me by my mentor is to perform a trouble shoot in every other

department of the City hall. Every day I encountered a troubleshooting like on

networking, reformat and some other minor issues of the computer. I also learned how to

network a computer connection and improve my troubleshooting knowledge.

Observed Strengths of the Training Area

The strength of the M.I.S department that the trainees observed was that they

were properly trained to handle problems and giving their best shots to accommodate all

employees that need their assistance. They’re also hardworking and dedicated to their

duties and responsibilities to serve all employees as soon as possible. It is not considered

whether you are the boss or an ordinary employee as far as you need it they guaranteed

you an equal supports and services.

Problems Encountered

During the internship, the first problem that the trainee encountered is that we

need to get along with the employees especially in M.I.S Department, on how trainee

communicates in every employee and knowing them better.

Then they are so fast when giving instructions of what we need to do, that’s why

intern can’t follow and also unfamiliar to that software on how to install it.

The trainee also needs to carry the system unit that causes of time-consuming,

because we can only carry one unit at a time to avoid damage or accident when

conducting preventive maintenance.

As a solution, the trainees approached them first and ask what they need to do in

order to help them in their daily tasks. It is a good way of knowing them better and to get

along with them every day.

Lastly, this problem we use a cart so that we can carry at least to or more system

units to conduct preventive maintenance. It makes effortless for them and they can easily

familiarize the area, instead of carrying the units.


SUMMARY

As part of the course requirements for the fourth year graduating students, the

trainee needed to complete the 240 hours hour on-the-job training (OJT).

This narrative contains all of my experience at my training venue which is

the city hall of Cavite City, wherein I conducted my training. I learned a lot of things

during my training like formatting computers and many more. I was tasked to print and

scan reports and assembling computer, formatting laptops, installing some applications

and also activate window by the product key given. Through my experienced, I learned to

value and manage time and effort as an employee. The company and the people

surrounds me in the company help the me to enhance my knowledge and also my skills as

an Information Technology student, and most essentially I learned how to communicate

or interact with the other people and also to the employees.

The On-the-Job Training program was supported by the Cavite State

University – Cavite City Campus with partnership of city hall of Cavite City. The

cooperation made this program successful. I started my On-the-Job Training on July 2,

2018 and ended on July 25, 2017. It was composed of 240 hours or 31 working days 9

hours each day excluding Saturdays, Sundays and holidays. They managed to ensure that

the trainee learned and accomplished the tasks assigned to him.

Day 01: 4 July 2018

On the first day of my On-the Job Training I was first introduced to one another in

the admin where they deploy me to my assigned area in the Management Information

System (M.I.S.) then introduced me to Mr. Meynard E. Villareal. He discussed first

about the rules and regulations inside the M.I.S. and asked what I am expecting from the

whole organization.

Day 02: 5 July 2018

On the second day .of my On-Job Traning After the first day of OJT the

introductory part they taught me what were my task and activities for the day. We review

first about the hardware and the parts of mother board which I am familiar with and also,

they taught me the two ways of troubleshooting the power supply.

Day 03: 6 July 2018

On the third day of my On- the Job Training they taught me how to make LAN

cable using UTP cables and RJ45 the Straight-Through and Cross-Over and discussed

what its difference and its function.

Day 04: 7 July 2018

My mentor discuss about computer parts which is very important to my daily task

because our department is the one who handle fixing the computer. Then the next day is

the scheduled transferring of our department in the newly build city hall of Cavite City.

Day 05: 8 July 2018

This day we are very busy because we need to focus on the organizing the

network connection of the other departments. We are preparing to connect every

department on the city hall.

Day 6: 11 July 2018

On my second week as on-the-job trainee, We also tackle the basic

networking and then we share the files and printer of one computer to another computer.

We also re-format computer, make partition, install OS Windows 7 and also install the

drivers needed after.

Day 7: 12 July 2018

The second day is we do a connection networking to the other department of the

city hall, that time we the on-the-job trainee is the one who will assemble the rj45 to

connect it to the lan cable.

Day 08: 13 July 2018

The Third day on Second Week of my On The Job Training .My mentor gave us

a task he wanted us to build a computer from the excess part of the other computer in the

office, so that we can use it.

Day 9: 14 July 2018

The Four day on Second Week of my On The Job Training .Since my Curriculum

Vitae stated in my skills and qualification that I have basic knowledge about basic HTML

and CSS, on my second week of training they review me about how to create a website.

They informed me about their website that is hosted from Singapore and after that they

give me a project to create a locally hosted website about my personal information to

exercise the knowledge I acquired from the educational institution and to widen my

knowledge.

Day 10: 15 July 2018

This day is the last day of Second Week of my On The Job Traning. my mentor gave

me and my other co-trainee a written exam from what we learned from them. Then the

next other days of this week is we focus on the network cabling of the accounting

department and so department.

Day 11: 18 July 2018

On the Third Week day of my training, this is the day for network cabling in the

engineering department. The department room was very big so it take to much time for us

to network it.

Day 12: 19 July 2018

On the Second day on Third Week of my training, I’ve simply starting to be

familiarized from what we are doing in our daily task. First day of this week, my mentor

gave us a task that we as trainee must perform an individual trouble shoot when other

department call for it.

Day 13: 20 July 2018

On the Third day on Third week of my training, I have been asked to encode

some information of employees in the company by my mentor Mr. Meynard. Some

departments asked our department to fix their computer. Sir meynard told us that even we

are doing something, our top priority is other department’s request. So I and my co-

trainee go outside to clean the computers. After cleaning the computers, we are testing it

and if it is not running we are changing some parts of the computers.

Day 13: 21 July 2018

On the Fourth day on Third Week of my training, GSO departments brought 3

computers and asked us to reformat and install standard applications of the company. We

just finished to reformat 1 of the computers for this day so we will continue it tomorrow.

Day 14: 22 July 2018

On the Last day on Third Week of my training, I and my co-trainee continue our

work, we are working together. We are instructed to install the standards of the company,

so at first we are working together. We are installing OS, drivers, Microsoft, Adobe

Reader, Google Chrome, setting up the administrator and user account. We only finished

installing it all in 1 computer and we also reformatted 1 computer.

Day 15: 25 July 2018

This is the fourth Week of my training, we checked the company’s system unit.

Afterwards, we clean the system unit and check if the software is up-to-date. In order to

clean the hardware, we have to go out to remove the dust and other dirt inside the unit.

Day 16: 26 July 2018

On the Second day on Fourth Week of my training, We also went to different

departments like in the Accounting Department to setup their network using switch and

provide LAN cables for internet, in GSO we set-up and share their printers to another

computer, and provide LAN cables also by crimping using RJ45 connector and set up

network connection using switch. And In the City Treasurer’s Department and City

License’s Department we set up their CCTV’s for monitoring and security purposes.

Day 17: 27 July 2018

On the Third day on Fourth Week of my training we performed a preventive

maintenance. Because of this procedure the system will keep and maintain its good health

status. In line with this the company can save their financial resources for the upgrades.

Also, it will not be time consuming to see and fix the hardware damaged.

Day 18: 28 July 2018

On the Fourth day on Fourth Week of my training I was scheduled to do a

installation of printer driver and install an Microsoft office in the DSWD department

office. I’ve been also encode employee’s names, and find the date when the employee

starts to work in the company. I scan and double checked if all the data that I encoded is

verified and correct according to the excel file.

Day 19: 29 July 2018

On The last day on Fourth week of my training we have much of activities doing

in the office and in the other departments. In our office they taught us how to proper

backup files in computer and the different ways of troubleshooting network. We format

computers one by one for our activity for them to see if we really know how to do it since

they already taught us how.

Day 20: 01 August 2018

This is the First day on Fifth week of my training, is a simple day for us because

there are a few minor issues from the other department. Me and my co- trainee simply

built our own desktop computer from the excess part of other computer so we can use it

on our training.

Day 21: 02 August 2018

On the Second day on Fifth week of my training, we test the computers that we

have built and troubleshoot it. After that we install Operating system in every computers

that we have built.

Day 21: 03 August 2018

On the Third day on Fifth Week of my training, we clean and test the system unit

from H.R. department. We troubleshoot and check the PC to fix the problem that the

employees encountered. We started to install application programs that needed by the

company. Software that will help them improve and enhance their documentation and

reporting.

Day 22: 04 August 2018

On the Four day on Fifth Week of my training, we continue doing the preventive

maintenance. After installing and restarting the system units all of them are running

smoothly. Unfortunately, after a few seconds one the computers suddenly turned off.

Then we found out that the problem in the computers are its power supplies.

Day 23: 05 August 2018

On the last day on Fifth Week of my training, my supervisor teach me and my

other co-trainee on how to use the domain . After that we the trainees perform to make

domain by our own self.

Day 24: 08 August 2018

This is the Six Week of my training, we prepare to install a cctv camera in the

treasurer office of the city hall. Before we install it we test all the cctv camera if its

working properly. Then we assist our supervisor on drilling the wall.

Day 25: 09 August 2018

On the Second day on Six Week of my training, we continue to do the assigned

tasked which is the installing of cctv.

Day 26: 10 August 2018

On the Third day on Six Week of my training, I studied the shortcut keys that

helps and give me improvement to do my daily tasked.

Day 27: 11 August 2018

On the Fourth day on Six Week of my training, we got a call from engineering

department because there was a problem on their printers. I go there together with Sir

Meynard to check on it.

Day 28: 12 August 2018

On the Last day on Six Week of my training, I make a reformat and troubleshoot

a system unit in the H.R. department. And I also installed windows 10 operating system

on it.

Day 29: 15 August 2018

This is the First day on Last Week of my training, we go to the accounting office

which is newly transferred in the city hall. We plan on how the network cable will pass

through. We cannot finish it in that day so we decided to continue it in the next day.

Day 30: 03 August 2018

This is Second day on Last Week of my training, this was my last day as a trainee

I learned a lot from the department and from my officemate. We the trainees give simple

credits to our supervisors for guiding us.
