Hong Kong Specimen Drawing Competition 2022
Competition Terms and Conditions

Eligibility
• Entrants must be students studying in Hong Kong and within the following three
categories:
• Junior Primary – P.1 to P.3 (Yr. 1 to Yr. 3)
• Senior Primary – P.4 to P.6 (Yr. 4 to Yr. 6)
• Junior Secondary – S.1 to S.3 (Yr. 7 to Yr. 10)
• Senior Secondary – S.4 to S.6 (Yr. 11 to Yr. 13)

• Closing date for submissions is Tuesday 31th January 2023. Any submissions
received after this time will not be considered for the competition.

Drawing and file type specifications


• Each entrant can submit one drawing to the competition.
• All drawings must be drawn by hand on paper not smaller than A3 and in
landscape layout. All titles and labels must be written by hand. Please scale your
drawing to fill the page.
• Entries must be scans of hand drawings using a scanner. Marks may be
deducted for poor quality scans or images captured using mobile phones.
• Images should be submitted as high-resolution JPG files (300 dpi).
• Drawings must be either of an animal or a plant that can be found in Hong Kong.
• Drawings must be accompanied by a photo of the live and/or preserved
specimen. The person who is entering the competition should have taken the
photo him-/herself.
• If your observation is from a microscope, you must include the magnification.
• No entrant name, school name or other identification should be included in the
drawing.

Entry submission
• All application should be submitted through the submission website
(https://cloud.olymprix.net/RSBHK/).
• Each school will be given an Access Code and the Teacher-in-charge can log
into the submission site with the Access Code. Submission can be proceeded
following the email address verification process.
• The Teacher-in-charge can submit all applications or assign specific students
with the verified email address to submit their own applications.
• The applicant will receive an email notification to acknowledge the successful
submission of application.
Subjects and Ethics
• The competition asks entrants not to injure or distress animals or destroy the
environment in their attempt to do their drawings.
• If the Organiser or the judges suspect that a drawing was done after the use of
cruel or unethical practices, the entry will be disqualified.

Notification
• All award recipients will be notified by June 2023.

Judging
• Judges appointed by the Organiser will choose the winners.
• The Organiser’s decision on all matters relating to the competition is final, and no
correspondence will be entered into concerning the competition’s judging and
organisation.
• Should the quality of entries fall below the standard required, the Organiser
reserves the right not to award prizes. Such decisions shall be unchallengeable.

Copyright and Reproduction

• The copyright of the entire drawing must belong to the entrant.


• Entrants will retain copyright in the drawings that they submit.
• By entering the competition, all entrants grant to the Royal Society of Biology the
right to publish and exhibit their drawing at the awards event and to use the
image(s) in any of our publicity, including, but not limited to, our magazine The
Biologist, a calendar, marketing materials, newsletters, posters, and on our
website. Entries may also be retained and used for the Royal Society of Biology’s
photo library. No fees will be payable for any of the above uses.
• Entrants agree to take part in post-competition publicity. While we make every
effort to credit entrants, including in printed reproductions of their work, we cannot
guarantee this.
• Media will be allowed to publish winning images free of charge for the purpose of
promoting the competition without express permission from the entrant. All
images used by the media will be credited to the artist.
• Third parties will not be granted permission to use images for other purposes
without express permission from the artist.

Disclaimer
• The Royal Society of Biology reserves the right to cancel this competition or alter
the rules at any stage, if deemed necessary in its opinion, and if circumstances
arise outside of its control. Any breach of these terms by an entrant will void their
entry. The Royal Society of Biology reserve the right to request the return of a
prize if, at a later date, the entrant has been discovered to be in breach of these
terms.
