CHAPTER I

INTRODUCTION

One of the problems in educational institutions is the student’s irregular attendance. It

becomes even worse when parents were not informed of their absences from classes. This

usually happens in higher education institutions, wherein the students are geographically far

from their parents.

Previous studies (Fadelelmoula, 2018; Oghuvbu, 2017) correlated students’ attendance

and overall academic performance. Hence, absenteeism can cause the institution to lose its

reputation as well as result in inadequate learning on the part of the student.

In educational institutions in La Consolacion College Isabela, the conventional

attendance system requires teachers to use pen and paper for class attendance or students to

manually sign the attendance sheet during school events. This system lacks automation, where

several problems may arise. For instance, time is unnecessarily consumed by teachers or students

when manually inserting, and validating data to attendance sheets. Furthermore, a hardcopy form

attendance sheet could easily be misplaced. Hence, educational sectors need to have solutions

that simplify and increase the speed of attendance monitoring.

Notwithstanding, the web-based application has been prolific in education and other

sectors due to its portability, adaptability, and flexibility. They have now become one of easing

the process of managing data and records (Rjeib et al., 2018). Additionally, previous inventions

also (Jones and Rickenbacker, 2003; Dobson, Ahlers, and DiDario, 2005) suggest the use of

Radio Frequency Identification (RFID). Yuru et al. (2013). Kurniali et al. (2014) and Patet et al.

(2012) similarly proposed the same type of application that integrated web applications with

RFID technology in monitoring students' attendance. This is because this type of application

provides valuable online facilities for easy record maintenance.

The web-based attendance monitoring system with integrated QR-code still lacks

wireless capabilities. This means that desktop computers or laptops need to be installed where

the QR-code readers are placed.

problem leads to the motivation of this research. This study aims to develop a web-based

attendance monitoring system that will be connected to a Raspberry Pi single-board computer to

enable wireless capabilities.

Project Context
As a response to the above-mentioned concerns, the researchers proposed the Web-based

Attendance System with SMS Notification. The system will record the list of students who

arrived and departed from school. The system will closely monitor the attendance of students in

school every day in a timely, efficient, and accurate manner. the QR-based attendance system

will ease up student attendance recording and monitoring. The system will eliminate the errors

and problems encountered in the manual attendance system. By implementing the system, the

recording of attendance will be efficient, timely, convenient, and accurate.

Purpose and Description

This proposed system attendance monitoring system using SMS is a web-based where all

students are inputted and they have QR-code that they tap on the camera or scanner to record that

they have entered the class.

this project is the attendance monitoring system using SMS. to control the absenteeism of

young people, especially those whose families are far away from them.

these are the lists of those who can benefit from this system.

Admin. the admin will be the one to input the data of each student and he will give it a QR code.

Guard. the outpost may benefit from this system as it will reduce their work such as listing the

names of each student.

Students. the student will tap their QR code so they can log in to the system.
Parents. the parent will be able to receive a text from the system to provide notification if their

children have attended school.

Objectives
The study aimed to develop a web-based attendance monitoring system. Specifically, it

thought to:

1. To monitor the learners if they are attending their classes each day.

2. To monitor the safety of the students.

3. It will help them to minimize the number of non-emergencies absences of the students.

4. The parent will be notified via SMS if their child has already attended school

5. The parents will be notified if their children are ready to fetch.

Scope and Limitation


As the student enters the school, the system will automatically send SMS as the

communication tool for the parents whenever the student enters and leaves the school premise.

The system is connected to a wireless local area network, class advisers can manage the

information about the attendance by entering their username and password.

Only the admin is allowed to generate the attendance report. This system needs to load to

send SMS notifications to the parents or guardians of every student it also cannot apply the real-

time communication between the application user and the operator through call. Faculty and

staff’s attendance are not monitored. Faculty and class advisers who were not able to reach the

wireless local area network cannot view the attendance report.


Chapter II

REVIEW OF RELATED LITERATURE

This chapter will discuss sources or articles that are related to the project. There

are many sources or research done before and from there details about this project are known and

can understand briefly about the project.

Students’ Attendance Monitoring System with SMS Notification (Fatheenursyaza binti

Bakhri1 , Hawa binti Mohd Ekhsan2*, Jiwa Noris bin Hamid 2020).

Recording the attendance is an important task for lecturers in the university to monitor

absenteeism in the classroom. Attendance monitoring is recognized as an important element in

supporting both students’ retention and performance. It is an effective way of identifying any

problems at an early stage and can offer students the appropriate support. Students’ attendance

has a positive relationship with academic achievement (Yahya & Anwar, 2013). Attendance in

class is important for all students to succeed in education and to ensure that they do not fall

behind in their education. Absenteeism in the university can cause them to lose their reputation

as well as result in poor learning on the part of the students (Patel et al., 2012). Generally, an

absence is marked as an excuse if it is due to a student's illness, the death of a family member, or

any emergency cases that are supported by necessary evidence. Thus, any unexcused absence is

considered truancy. If the student’s attendance is less than a certain percentage (for instance,

80%) of the total contact hours in that semester, the student can be barred from taking the final

examination. The current practice at Universiti Teknologi MARA, Perlis Branch, when the

absenteeism reaches or exceeds the permissible percentage, lecturers should send a paper-based

report to the AAD.

Then, the students will be called through a letter for an interview session to decide whether they

will be barred or not from taking the final examination for that subject. Hence, an efficient

attendance monitoring system should be implemented to record and manage students’

absenteeism. Therefore, this project aims to monitor the students who can be absent exceeding
the permissible percentage using a web-based system and SMS notification. This system helps

the AAD to manage the absenteeism report from lecturers and it automatically sends the

information through SMS notification to the parents and the students themselves. When parents

are notified of the matter, they can take the appropriate action and can solve the problem at an

early stage. It is important as the parents can notice and investigate their child’s problems and

can help to find the solution to the problem.

RFID Imparted Student Monitoring System (P.DevaPriya 1 , N.NandhiniDevi2 ,

S.SwathiPriya 3 , Mrs. D. Divya 4 2017) Student monitoring is important to enhance security

for children. At present, parents are worried about their children due to mishaps and missing

children. The existing system consists of three main units, a bus unit, a parent unit, and a school

unit. The bus unit system is used to detect when a child boards or leaves the bus. This

information is communicated to the parent unit as well as the school unit. In the proposed

system, the RFID tag is issued to every student. While entering the bus, using GSM parents will

automatically receive the SMS from the system that informs their children to enter/exit the bus.

The device called “RFID IMPARTED STUDENT MONITORING DEVICE” is used to send

messages to the parent’s mobile phone while the school bus enters/exits the school.

Students Monitoring Using RFID Technology with SMS Notification System and Wireless Online

Viewing (Espiritu, Christian B. Oro, Jan Patrick H. Pura, Irish Jinky 2015) This paper describes

the development of a student attendance system based on Radio Frequency Identification (RFID)

technology. The existing traditional attendance system requires students to be manually

monitored by the guards at the gate every time they attend a class and checked by their teachers

using their class records. As common as it seems, such a system lacks automation, where several

problems may arise, this includes the time unnecessarily consumed by the students as they are

being monitored by the guards and checked their identification cards, and the attendance sheet

may get lost. Having a system that can automatically capture students’ attendance by flashing

their student card at the RFID reader can save all the mentioned troubles. This is the main motive

of our system and in addition, having a wireless local area network system that is accessible
anytime on school premises can greatly help the lecturers to keep track of their student’s

attendance. RFID technology will be the main object of the study. RFID tags must be worn by

the students and they will just pass through the RFID reader to identify their information and

saved the record of their arrival and departure to the database. SMS or Email notification is used

for notification sent to the parents for complacency purposes. The application graphical user

interface (GUI) will perform automated attendance and would generate a report of the presence

of each student inside the school premise. . RFID technology will be the main object of the

study. RFID tags must be worn by the students and they will just tap the ID

TECHNICAL BACKGROUND

La Consolacion College Bacolod was first established in 1919 by the Augustinian Sisters from

Spain under the leadership of Mo. Rita Barcelo, OSA and Mo. Consuelo, OSA upon the invitation of

a Catholic Bishop to put up a school in Bacolod City, now the capital of Negros Occidental,

Philippines – one of the world’s top suppliers of sugar at that time. 

La Consolacion College Isabela has approximately 4000 students currently enrolled in

the current academic year. Many courses are offered in the school that attracts various students

from around the province and its neighbor province as well. LLC-I – Campus is currently

implementing a manual Attendance for all Students come and out in the campus. It has given

hassle to facilitators and administrators for its inconvenience and a huge amount of time to be

spent for their attendance.

Today, LCC is using manual system in Listing in Entrance gate each Students for Attendance. It

needs more Logbook or Book to Store each Students. Time, money and resources are also

valuable in reaching the school or the administrator as well especially to those students who are

far from the area in getting data.

In connection with this, we the researchers aim to develop or promote manageable and

easily to access data in regards of their needs on behalf of their hectic schedules by the help of

the LCC-I Students Attendance Monitoring using SMS. The increasing population of La

Consolacion College Isabela Students will have no worries about how to Attendance upcoming

thesis in their most convenient time. It also helps the school to minimize the space in storing that

important information especially in the Logbook. Through LCC-I Students Attendance

Monitoring using SMS, data about students’ thesis can easily access at a short period of time.

the guard is the one who has the obligation to all those entering the university to study

and he is also the one who will help the students to tap into the system.

Workflow

A manual listing requires an accurate tally to know all the details of the available crops in the

campus. The results of manual listing are sometimes questionable due to human error.

using the logbook to write each of the incoming names, because in this way it was too difficult

Chapter IV
METHODOLOGY
This chapter contains the research environment, research design, respondents of the

study, sampling procedure, data gathering instrument, validity and reliability in the instrument,

data gathering procedure and data treatment which the researchers underwent during the conduct

of the study.

The respondents of this study were the college students of La Consolacion College

enrolled in school year 2022-2023.

The study of LCC-I Students Attendance monitoring using SMS. was answered by the

college students in different department of LCC-I. This study utilized the descriptive study

method was appropriate for it concerns on the LCC-I Students Attendance monitoring using

SMS. An evaluation test questioner was used in gathering the information needed to answer

main problem of the study.

This study focused on the repository system. This study used the Quota Non-Random

Sampling in determining the respondents of this study.
