JD for Operations Manager, CEO’s Office, Forge

In the role of the Operations Manager, CEO’s Office the person shall report directly to the CEO, Forge and
to other members of the company’s executive leadership team, and is responsible for heading the entire
administrative and operational responsibilities coming under the broader Key Functional Areas (KFAs)
covering, Project Management, Company Governance, Operations - Commercial & General Administration
and Grants Management.

In managing the comprehensive scope of outcomes and activities, the Operations Manager is expected to
build and manage the full-time cross-functional team, external consultants/professionals deputed by
services providers and vendors as the need/case may be.

Position & Designation


Grade: Manager or Sr. Manager
The Operations Manager to be designated in Forge at the grade of Manager or Sr. Manager, is essentially
responsible for all operational, financial, commercial and administrative matters as may be assigned at
the discretion of the CEO, Forge. The company expects the incumbent in this role to emerge as a strong
candidate for being considered for the role and position of Operations Director in the grade of AVP within
12-18 months by delivering strong performance and demonstrating significant growth and leadership
potential.

Compensation
Forge compensation is at par with the top end of the social enterprises sector in India and continuously
benchmarked to be above the average compensation offered in the social (non-commercial or
development) sector in general but significantly above the average compensation offered by TBIs.

The Total CTC will include 3 major components namely, Fixed Monthly Gross, Fixed Quarterly Payout, and
Annual Development Bonus (linked to demonstration of progress on developing and strengthening
capabilities in alignment with the Career Advancement and Capabilities Development framework of
Forge).

Role & Responsibilities - Key Result Areas


1. Project Management & Company Governance
● Develop detailed business plans for the 3-5 year planning horizon covering financial (cost) budgets,
revenue projections, and P&L estimates for the review and approval by the CEO and Head. Finance;
● Develop monthly and quarterly operating plans/projections to drive operations in tighter alignment to
projections of revenues, operating costs, P&L, and cash flows, facilitating periodic reporting to and
reviews by CEO/CFO;
● Manage efficient monitoring and reporting of the company’s execution on weekly, monthly, quarterly
and annual basis, coordinating directly with the CEO and other Executives of the company;
● Support the CEO in the coordination of all activities concerned with the overall Governance of the
company in accordance with the expectations of the Board of Governors and Board of Directors;
● Support the CEO in monitoring, reporting and analysing the overall financial performance of the
company towards achieving financial goals in Fundraising & Revenue generation;
● Responsible for efficient and effective coordination on behalf of and as the authorised representative
of the company’s CEO with key stakeholders of the strategic partners and major clients the company
engages with;
● Support the CEO in driving fundraising initiatives through grants from Government schemes, CSR
Funds etc. through constantly seeking out and pursuing opportunities with Govt. of India, Govt of
Tamil Nadu, Top Corporates, Industry Associations etc., and manage the end-to-end process of
documentation, submission, and presentation of proposals on behalf of the company’s CEO as the
delegated authority and authorised representative;
● Identify and uncover areas within the company’s operations to drive performance improvements to
unlock productivity and accelerate execution;

2. Commercial Operations
● Own the entire responsibility for all deliverables, outcomes, and results relating to all aspects of
commercial operations of the company;
● Responsible for facilitating operations support required for the program management teams in all
Forge verticals;
● Managing all aspects of commercial operations including tender procurement of assets, negotiations,
supplier agreements, selection and empanelment of preferred vendors and providers for major
categories of operating costs/expenditures;
● Manage in coordination/collaboration with the Program Directors/Managers of Forge.Ventures and
Forge.Academy the timely collection and fund flows from funds granted and revenues generated;
● Directly responsible for all commercial aspects relating to the execution of contracts, and
payment/collection of fees and other payouts from startups enrolled under any of Forge’s programs;

3. Grants Management
3A. Financial Grant-in-aid offered to Forge for CapEx and Program OpEx.
○ Manage the end-to-end operational, financial, and administrative aspects related to the
submission of proposals, approval & sanctioning, utilisation as per budget outlay and in
accordance with the guidelines laid down by the various Government or Corporate principals,
whom Forge serves as the Grant Implementation Agency in the role of Partner Incubator;
○ Manage the preparation of budget outlay for monthly, quarterly and annual capital/operating
expenditures and generation, submission, audit certification of periodic utilisation reports and
expenditure statements, working in collaboration with various internal stakeholders and external
consultants/professionals to ensure the grants are implemented with full compliance with the
guidelines issued by the grant authority;
○ Develop strategies to optimise the grants administration process with usage of effective IT
systems and other best-in-class grants management practices and techniques;
○ Oversee the process of invoicing, accounting, reporting, and other administrative functions to
ensure successful execution of the grant process;
3B. Financial Grant-in-aid offered to Forge for Innovation/Startup Funds
○ In coordination/collaboration with the Program Management team responsible for the Forge.Fund
key functional area, manage the end-to-end operational, financial, and administrative aspects
related to the submission of proposals, approval & sanctioning, utilisation as per budget outlay
and in accordance with the guidelines laid down by the various Government or Corporate
principals, whom Forge serves as the Grant Implementation Agency in the role of Partner
Incubator;
3C. Grants Administration
● Manage payment/collection transactions with startups on the payment of Program Fee, Revenue
Share and Success Fee as applicable.
● Analyse the budget trends and make recommendations for cost control and optimum utilisation of
available grants;
● Ensure reports are submitted to respective the stakeholders on a monthly basis;
● Manage all the requisite contracts, paperwork, and other statutory requirements by effectively
coordinating with respective professionals, providers, and govt. departments;
