Question No 1: 10 Marks

Suppose you are working as a project manager in a software house named XYZ. You have to manage a project
related to point of sale development for the grocery store. The software must maintain the inventory and sale of
the items. Software should also maintain the accounts of the store. When store purchases the inventory it should
be entered in the software along with the price. When item sold from the store it should be subtracted from the
inventory. As you are the project manager of this project. First, you have to divide the project in five phases.
What will be the five phases in which you will divide the project.

The five basic phases of the project management process are as follows:

1. Project Initiation
2. Project Planning
3. Project Execution
4. Project Monitoring and Controlling
5. Project Closing

Phase 1: Project initiation

The project initiation phase is the first step in transforming an abstract idea into a concrete goal. At this
stage, you must create a business case and define the project broadly. To do so, you must first determine
the need for the project and develop a project charter.

The project charter is an important document that includes details such as project constraints, goals,
project manager appointment, budget, expected timeline, and so on.

Phase 2: Project planning

The project planning stage necessitates extreme caution because it lays out the project's roadmap. Unless
you use a modern project management methodology such as agile project management, the second phase
of project management is expected to take nearly half the time of the entire project.

The primary tasks in this phase are identifying technical requirements, developing a detailed project
schedule, developing a communication plan, and establishing goals/deliverables.

Phase 3: Project execution

The project execution stage is where your team actually does the work. Your job as a project manager is to create
efficient workflows and carefully monitor your team's progress.
Another responsibility of the project manager during this phase is to ensure that project stakeholders collaborate
effectively on a consistent basis. This ensures that everyone is on the same page and that the project runs
smoothly and without problems.
Phase 4: Project monitoring and controlling
The third and fourth phases of the project management process are not sequential. The project monitoring and
controlling phase runs concurrently with project execution, ensuring that project objectives and deliverables are
met.
You can ensure that no one deviates from the original plan as a project manager by establishing Critical Success
Factors (CSF) and Key Performance Indicators (KPI) (KPI).
During the project management monitoring phase, the manager is also responsible for quantitatively tracking the
effort and cost of the process. This tracking not only ensures that the project stays within budget, but it is also
useful for future projects.
Phase 5: Project closing
This is the last stage of the project management procedure. The project closure stage denotes the completion of
the project following the final delivery. External talent is sometimes hired on a contract basis specifically for a
project. The project manager is also responsible for terminating these contracts and completing the necessary
paperwork.
Most teams hold a reflection meeting after the project is completed to reflect on their project's successes and
failures. This is an effective method for ensuring continuous improvement within the company in order to
increase the team's overall productivity in the future.
This phase's final task is to review the entire project and write a detailed report that covers every detail. All of the
necessary information
