SVUSD Festival: Behind the scenes

Organizing the event and performing in it from a choir outside of school

January 13,2023 A discussion on documents 30 minutes


that will be used as
preparation for the festival
with Mrs. Abbe. This
included a rough checklist
and a rough schedule. Also
looking at the Festivals
program that needs to be
created.

January 26, 2023 Joined the honor choir google 35 minutes


classroom and filmed an
audition video. Took several
takes.

February 13, 2023 Attended a rehearsal for 6:00 - 8:30


honor choir and worked 2 hours 30 minutes
alongside with other
students in the simi vocal
music programs (Will be
performing at the Festival)

February 17, 2023 Worked on collecting all the 1 hour


music arrangements and
their information for SSHS
Vocal music program,
currently half way through

Feb 22, 2023 Looking at the seating chart 3:00-3:25


and accounting for the 25 minutes
number of seats available -

February 27, 2023 Reached out to all the 1:45-2:45


directors and rearranged the 60 minutes (1 hour)
schedule for the day of
Festival

February 27, 2023 Attended another rehearsal 6:00 - 8:15


for the honor choir.. 2 hours 15 minutes

Mar 6, 2023 Worked on creating the 7:25 - 8:25


program for the festival with 1 hour
music/titles received by the
directors

March 7, 2023 Worked with Mrs. Abbe on 10:25-10:55


composing a follow up email 30 minutes
regarding music/ titles that
have not been sent in and
lunch orders for the directors
that will be staying in the
afternoon. Also sent a few
other follow up emails.

March 9, 2023 Continued working on the 8:55 - 9:25


music program for the 30 minutes
Festival

March 9, 2023 I started to work on the 4:45 - 7:45


adjudicator forms for each 3 hours
school, for every one of their
choirs. The forms requested
the following information be
filled out: Name of school,
name of choir, voicing for
the choir, director for the
choir, SCVA Classification
level (beginner, intermediate,
or advanced) number of
years the directors has had
their present position, total
years the director has been
teaching choral music, if the
choir is selective, number of
rehearsal hours per week,
date of the festival and place.
These forms will also include
the songs and arrangers
however, I just completed the
portion highlighted. I filled
out 32 of these forms. I was
shorthanded by 6.

March 10, 2023 Had adjudication forms 10:45-11:30


printed out (we were short 45 minutes
on some) continued working
on the program for the
festival, collected copies of
Santa Su's music to give to
the adjudicators, got folders
for each choir to hand to the
adjudicators.

March 12, 2023 I finished filling out the rest 6:00-8:38


of the adjudication forms 2 hours 38 minutes
since I have received all the
music from each director. I
filled out the title of the song
and composer/arranger. I
did this twice for each
individual choir. There are 19
choirs participating in the
festival, so that is 38 forms
filled out.

March 13,2023 Worked with Mrs. Abbe on 1:55-2:45


looking at the program,
finalizing songs for our
choirs (SSHS) and printing
out a chart for seating. A
little overwhelmed since the
seating for the first half of
the festival is going to be
completely full. Most of the
time went to programs for
the festival.

March 13, 2023 Attending final rehearsal for 7:00 - 8:30

March 13,2023 Worked on the seating chart 10:00-11:00


for the program, first tried 1 hour
working it out on paper but
then scanned the document
and worked on it on my ipad.
Color coded each schools
seats and tried a few ways to
make as much people fit as
possible

March 14, 2023 Went through the completed 12:00-12:30


festival program to make 30 minutes
sure there were no spelling,
format errors. Checked each
school's songs, name of choir,
arranger and soloist.

March 14, 2023 Looked over everything with 1:05-2:30


Mrs. Abbe such as entering 1 hour 25 minutes
the corrections to the
program, getting lunch
orders from the directors
who are staying in the noon,
double checking the
adjudicator forms, getting
two copies of music from
each choir (in SSHS) and
making sure all the other
directors attending had the
rest of their questions
answered through email.

March 14, 2023 Worked again on the seating 8:30-9:00


chart and revised it to the 30 minutes
feedback given by Mrs. Abbe

March 17, 2023 DAY OF THE FESTIVAL: 8:30 am - 2:25 pm


I gathered all of the music 5 hours 55 minutes
from the directors in the
morning and put it in a
folder corresponding to their
choir along with their
adjudicator forms. I think
put each one in order of the
program and laid it out for
each adjudicator. I catered to
any minor mistakes
inconveniences there were
and I performed 6 times, ( for
vocal ensemble, honor choir,
and chamber choir)
