0 INTRODUCTION TO ORGANIZATION
'Budaya' is called the largest provider of services for the digitization, migration,
preservation, monetization, and provision of access to audiovisual (Images, Video,
Film, and Audio) records in any format and data type. We provide our services for
some of the most prestigious names in international institutions, national libraries,
universities, corporations, governments, media, cultural institutions, and broadcast.
Our history begins with a specialized "mastering studio" founded in 1990 in Belgium.
As of 2005, "Budaya" has been committed to preserving the world's audiovisual
legacy while meeting the needs of heritage organizations, sports, academics,
entertainment & media, and government communities. We have increased our global
reach over the past ten years to better assist our customers from our own facilities and
on-the-ground projects in Australia, the US, South Africa, the Middle East, and the
EU.
Our staff has developed into multi-disciplinary groups consisting of engineers, project
managers, metadata professionals, video and audio experts, film specialists, and
computer specialists.
We create our DARS platform in 2020 to assist our partners and customers in turning
their materials into market opportunities. We assume archives should be accessible,
discoverable, and licenced in order to increase their usage. This goes beyond simply
digitising and preserving them for the next 100 years. We are committed to making
sure that the lessons learned from the past may be applied to new information and
continue to be expressed in new narratives and material.

Definition
'Audiovisual Material' means:
i) still images, moving images and/or sound recorded therein film, magnetic
tape, disc or other medium used on present and future including its supporting
material.
ii) Audiovisual support material includes objects, materials and etc. that have a
direct and/or indirect relationship with the media either in terms of technical,
industrial, cultural, history and so on. For example, film supporting material is
like scripts, photographs, posters, promotional materials, manuscripts,
artefacts and costumes.
Policy of Collection
The purpose of the Audio Visual Collection is to support the instruction and research
needs of the cultural and heritage. The A/V collection includes audio compact discs,
1/2" VHS video cassettes, DVD format, and more formats. The A/V fund supports the
purchase of audio compact discs of music, spoken-word and effects, documentary
videos, performances, performance art, and feature films. The collection of AV
records is as below:
Language
Films in Malay and English and other languages with English subtitles are
emphasized. Foreign language films representing the country of Malaysia are
preferred over other foreign language films. Unsubtitled foreign language films are
collected in a more limited capacity. Compact discs are collected without regard to
language.
Rating
Videos, DVDs, and CDs are purchased regardless of their rating or content advisory
warnings.

All purchases are subject to approval by the Media coordinator, who reserves the right
to return to a distributor, materials that do not meet expectations with regard to
content or quality.
The collection focuses on the works of recognized directors and significant individual
titles from the perspective of culture and heritage of Malaysia. It also includes films
that contribute to a particular discipline such as the arts, humanities, social sciences,
or modern languages.
Selection of titles is made on the basis of reviews and faculty recommendations. As
the collection should reflect the research interests of the faculty, as well as, their
instructional needs, some directors and some genres are collected more
comprehensively than others.
Donations
Donations materials will be accepted for the collection with the understanding that
they become the property of National Archive of Malaysia. They will be evaluated by
the same criteria as purchased material. No special conditions may be placed on gifts.
The Media coordinator or General Manager, with the Head of Collection
Development, will make the final decision on the use of donations to the A/V
collection.
Loan Period
Videos and compact discs will circulate for a period of three (3) weeks. The General
Manager, Media coordinator or Head of Circulation Services may decide to extend
this period. Fines on overdue videos and compact discs will follow the same pattern
as book items; however, there is no grace period as with books. An item may be
renewed as long as no one else is on the waiting list for the item.
Damaged Items
Circulation Services will assess damage to a video or compact disc when it is returned
from loan. A user may be fined for repairable damage to a video or compact disc or
billed for replacement of an item if the damage necessitates the item being removed
from the shelves. Damage includes, but is not limited to the following: sun damage,
water damage, heat damage, magnetic damage, scratches causing skips and scratches
or creases in the videotape. National Archive of Malaysia assume no responsibility in
damage occurred to a user's equipment when used in conjunction with materials
checked out of the library. Users may also view the materials within the library using
the library's equipment.
Copyright
The DVDs, video cassettes and compact discs in Budaya Record Center are subject to
the National Archives Act 2003 (Act 629) and Copyright Act 1987 (Amendment
1997). The archive prohibits the use of these materials in any way that violates
Federal or State laws. Clients who disregard the copyright policy do so at their own
risk and must assume liability for their actions. Videos are for home use and may not
be shown outside a family residence, or at a place where a substantial number of
people are gathered, regardless of whether admission is charged.
Format
Format Description
Vynil Records Vinyl records are rotating disks that are used for
storing music. These analog music storage devices
feature inscribed modulated spiral grooves and are
typically 12 inches, 10 inches, or 7 inches in
diameter. These records were name phonograph
disc records, gramophone records, or simply
records and were made up of a type of resin called
shellac.

The Budaya Record Centre always practices carefully while handling any audio-
visual collection item. This can save maintenance costs and it is more effective. Audio
material is especially vulnerable to harm caused by improper handling, poorly
maintained or malfunctioning equipment, or inadequate storage.
7.1 Preservation
Generally, there are several conservation measures that have been outlined to handle
the audio-visual materials found in the Budaya Record Center such as:
i. Before handling A/V items, carefully wash and dry your hands.
Audio visual resources, like other items discovered in archives such as letters, books,
manuscripts, and so on, have special preservation strategies to protect them from
being damaged and exposed to a low-quality environment. Long-term preservation
requires proper storage. The Budaya Record Centre for example, holds a multitude of
preserved audio-visual collections such as CDs, DVDs, and photographs. The
following is the method of handling audio-visual materials available at the Budaya
Records Center according to the standards of the National Archives of Malaysia.
● Handle the disc only on the outer edge or in the center of the hole.
● Use only a non-solvent-based permanent marker to mark the disc label side.
● Clean dirt or other impurities from the disc such as fine dust.
● Remove dirt, foreign matter, fingerprints, and liquid by wiping with a clean
cotton cloth straight from the centre of the disc toward the outer edge.
● Use only CD cleaning detergent, isopropyl alcohol, or methanol to remove dirt
or stubborn material.
● Does not scratch the label on the CD
● Only use a pen, pencil, or fine-tipped marker to write on the disc.
● Do not write on discs with markers that contain solvents.
● Do not remove or reapply the label repeatedly.ki
● Store the disc vertically (book style) in a special plastic case.
● Return the disc to the storage container immediately after use.
● Leave the disc in its packaging (or case) to minimize the effects of
environmental changes.
● Only unpack recordable discs when the operator is ready to record data to the
disc.
● Store CDs in a cool, dry, dark environment with clean air. The optimum
temperature for general storage is between 4°C (39°F) and 20°C (68°F),
recommended with a relative humidity of 20% to 50%. For long-term storage,
18°C and 40% RH are recommended.
● Check the surface of the disc before recording.
