Activity #2

1. How do you evaluate a message when communicating?

Evaluation is a procedure that considers the future. It helps a business identify strategies
to raise future performance. It reduces risks, boosts productivity, and facilitates better judgment.
I successfully assess communications to prevent misunderstandings and poor communication
among the persons I speak with. The meanings of messages might differ from what I wish to
convey to the recipient and can be both provocative and insulting so it’s significant to have an
effective message evaluation to lower uncertainty, boosts efficiency, and improves decision-
making. So that’s why it's crucial to evaluate the message beforehand for better communication
so that it doesn't get misconstrued. I also asked myself about a host of aspects related to a
message's clarity, specificity, structure, and stickiness to determine its effectiveness. Is my main
message for instance clear? Is my language more abstract than concrete? Am I using terms
that might potentially be misunderstood or that have other meanings? Is there a better method
to organize my thoughts? Because it's essential to develop and apply strategic questions to
pinpoint the messages' strengths and shortcomings while assessing their efficacy.

2. Why do we need to evaluate a message?

Since a message will either be intended to enlighten, convince, or entertain. Knowing the
goal will help us decide what information to include and how to present it. Information will be
widely used in informative speaking, but persuasion will also use emotional appeals and require
a distinct framework. A message intended to amuse people will have a very special focus.
Understanding the objective is essential if we want our audience to understand the message
and react accordingly. We must use terminology that is as precise as possible. Language
should be specific so that our readers or listeners may vividly visualize our thoughts, turning
words into unforgettable images. If you mean "poodle," don't use "dog." One strategy to prevent
messages from becoming unclear or confusing is to avoid abstractions. Our audience is more
likely to understand and act if we can be more detailed. For an example, consider the
importance of cultural sensitivity while evaluating a message since cultural variety makes
communication challenging because people from other cultures have various mindsets as well
as various sign languages and symbols. Various cultures assign different meanings to words,
attitudes, and actions. Culture has an impact on prejudices, ethnocentrism, etiquette, and
attitudes. Therefore, it is important to be aware of cultural differences and similarities between
people to prevent this variety in culture. We ought to be able to change our viewpoint to
recognize that even seemingly regular actions might have various cultural connotations. And
from there, we may judge other people's conduct from their point of view and change it to
conform to a different culture's standards.

3. Give sample scenarios that shows the different purpose of communication (Informative,
Persuasive and Goodwill).

INFORMATIVE: * During a class, a college lecturer will provide a lecture on a given topic.
*College lecturer: Ok class our topic for today is all about evaluating messages
and images, so what is communicating message?
* College lecturer: Communicating message is the process of sending and
receiving message and effective only when the message is understood and when it stimulates
action or encourages the receiver to think new ways.

PERSUASIVE: “persuasive information in the workplace”

* Ana is the founder and CEO of a digital marketing firm. She is motivated to cut office
space expenditures by implementing a remote-first work approach. Ana chooses to send out the
following message without conducting an appropriate study of her employees' wishes and
requests:
* Ana 10:00 AM
Hello to everyone
Today

I'd like to notify you that we will begin using the remote-first paradigm next month. As a
result, everyone must work from home.

Many businesses have already used this strategy, and I believe it would be a wonderful fit
for my business as well. I'm searching for ways to save money and believe that saving on office
space is preferable to firing someone.

Your working hours will remain the same; you will be required to work from 8 a.m. to
6 p.m. as normal. Those who do not agree with the change are free to depart.

Best,
Ana

GOODWILL: *The worker went above and above the call of responsibility, maybe under
extraordinary circumstances. The employer offers the worker the possibility for advancement.
The worker mentored the co-worker in order for the latter to seem good in front of customers
and management.
