INTRODUCTION:
The Registrar Office, GIFT University, is committed to supervise and manage the administrative
and operational functions to ensure a positive and pleasant experience for the students as well
as the stakeholders of the University. The University is enthusiastic about Converting
Knowledge into Practical Experience. Therefore, the mission of the Registrar Office is to provide
a learning environment, conforming to the standards of quality education, and facilitate the
students during various challenging situations in the best possible manner.

OVERVIEW OF THE ORGANIZATION:


Brief History:
GIFT University established in 2002 with the vision to bring about a visible change in the society
by offering quality education to the youth of the Gujranwala division and also to become a
leading educational institute of the region. Looking back at the year 2002 we see no university
between Lahore and Islamabad region which can educate the young souls and prepare them to
play their meaningful role in the development and progress of the industry. GIFT university
takes pride to be the first university in the region and is now the BEST University of this region
with W4 ranking and recognition from HEC. GIFT University also takes pride to be the only
chartered university of Gujranwala.
Gujranwala division is one of the major industrial hubs of Pakistan which requires talented and
professionally trained human resource to meet the challenges and expectations of modern
world consumers. GIFT University maintains a close liaison with the industry including the
Gujranwala Chamber of Commerce and Industry, Gujranwala Business Center, Federation of
Pakistan Chambers of Commerce and Industry, SMEDA, NPO and a number of other
organizations. By actively engaging with the industry, GIFT University CRD (Corporate Relations
Department) aids students in enlisting for internships or getting job placements to get practical
experience.
GIFT University with a mission to provide international standard education to the youth of this
region has provided modern world facilities, internationally experienced faculty, and best
infrastructure to ensure the quality of education for the youth and young professionals of this
region.

become a leading educational institute of the region.

Marketing Strategy:
GIFT University used techniques to target the market by using some marketing strategies as it
advertises by Circulars, Pamphlets, Students Banners, Theoretical Messages and social media by
using (Facebook, Instagram, TV Ads etc.).
A team is established to advertise University’s Ads, proper Campaign Strategies is made for
Admissions. Employees in GIFT University in Marketing Department run the Campaign &
Manage all the Marketing Strategies.

Major Competitors of the Organization:


The University of The Punjab & The University of the Central Punjab are the Major Competitors
of The GIFT University in the Gujranwala Region.

Future Prospects of The Organization:


GIFT University with a mission to provide international standard education to the youth of this
region has provided modern world facilities, internationally experienced faculty, and best
infrastructure to ensure the quality of education for the youth and young professionals of this
region. Also, GIFT University aims to expand for more project and working with foreign
Universities for International Students for Enhancement of Knowledge & Provides Quality
Education to its students.

Overview of The Department Where You Served Internship:
Registrar Office
The Registrar Office, GIFT University, is committed to supervise and manage the administrative
and operational functions to ensure a positive and pleasant experience for the students as well as
the stakeholders of the University. The University is enthusiastic about Converting Knowledge
into Practical Experience. Therefore, the mission of the Registrar Office is to provide a learning
environment, conforming to the standards of quality education, and facilitate the students during
various challenging situations in the best possible manner.

Number of Employees Working in the Department:


There are Six Number of Employees Working in Registrar Department.

Functions & Operations:


 Ensures the process fluency to facilitate the students, enrolled in the University, from
registration until graduation.
 Synchronizes with the Academic Departments in developing and delivering academic
programs and their curriculum.
 Ensures the smooth conduct of meetings of statutory bodies, i.e., Board of Governance,
Academic Council, Board of Advanced Research and Studies for the Academic
Governance of the University.
 Plans and leads the ceremonial activities, i.e. Convocation etc.
 Coordinates and communicates with the internal and external stakeholders of the
University like regulatory and accreditation bodies, i.e., HEC, PHEC, HED, PEC,
NCEAC, and NBEAC etc.
 Ensures that the implementation of Academic rules and regulations and processes of the
University are in true letter and spirit.
 Coordinates with the Administrative and Academic Departments to ensure and comply
with the Vision, Mission of the University and the quality parameters of the regulatory
bodies.
 Participates in professional development activities, which support the strategic goals and
objectives of the University.
 Provides strategic support to higher management in devising the policies and procedures
in an effective manner.

Short-Falls/Weaknesses:
 Lack of Proper Data Arrangements in Registrar Store Room Files.
 Low Efficiency of the Scanner in the Office.
 Waste of time due to Communicate other departments and then delay our work.
 Due to a smaller number of Employees, there is also work load in the Registrar Office
work.

Responsibilities as a Student Intern


Duties
 Arrangements of Files According to Files Number & Volume Wise.
 Arrangements of Files According to Ranks & Serial Numbers.
 Setting up Labels According to Documents.
 Usage of Pad & Stamp on Documents.
 Separation of Mixed Files Data &Attached in Relevant Files According to Date.
 Setting of Data According to Events held by GIFT University.
 Entering Files Data in Google Sheet According to Date, Serial Numbers, and Volume
Wise.
 Arrangements of all Registrar Office’s Store Room Files.
 Arrangements of Store Room Files According to Ranks & Serial Numbers & also Setting
of Files to Rank Numbers.
 Shifting of old Files to Store Room from Registrar Office according to year wise.
 Arrangements of Rector Office Files according to Files Number & Volume Wise.
 Entering Rector Office Files Data in Google Sheet According to Date, Serial Number,
and Volume Wise.
 Setting up Labels on Files & Binders according to Documents.
 Entering Ranks Wise Files Titles & Volume in Google Sheet Index.
 Scanning of all the Files Document into PDF Form and Save every Documents in E-
Drive of the System also gives them Titles & Numbers of all the Documents according to
Google Sheet Index.

Accomplishments:
֍ During the Internship am successfully done arrangements of Files, According to
Instructions ofSir Zahid Mehmood am Able to done everything in well manner and
maintained Deputy Registrar Office Record & Files Successfully in Well Manner.
֍ Successfully Entering of all Files Data & Easy to Access whenever Need of any
documents infuture.
֍ During the Internship Successfully done arrangements of rector office & registrar office
files, according to instructions of Sir Zahid Mehmood am able to complete & done
everything in very well manner and maintained Deputy Registrar Office Files and Record
successfully in well manner.
֍ Successfully manage & Reset of all Deputy Registrar Office’s Store Room Files to access
all the files easily.
֍ Successfully Entering of all Rector & Registrar Office Files Data in Google Sheet & Easy
to access files data whenever need of any documents in future.
֍ Fruitfully achieved all the tasks given by my Supervisor Sir Zahid Mehmood.
֍ Successfully Scanned all files documents into PDF form and saved into E-Drive of the
System.

New Knowledge Acquired:
I Learnt& Acquired the Knowledge about the management of files according to Serials
Wise, Volume wise & how to management different types of files.
Recording of Important Files Data in Google Sheet is very helpful for me before this
internship I have no experience of this Shared Working of Record Maintained.
Another one Learning outcome of me is that to set files according to ranks it another
knowledge acquired and helpful for me & easy to access files if we set files according to
ranks Numbers.
I learnt that how to create Title of a document if title not found on documents.
Working in Team & Collaboration work is another Learning of New Knowledge
Acquiring for me.
I Learnt & Acquired the Knowledge about How the management of Deputy Registrar
Office’s Store Room Files According to Serial Wise, Volume Wise, & Number Wise and
how to management of Different types of Rector Office Files & Registrar Office Files.
Recording Rector Office & Registrar Office Files Data in Google Sheet. It is very helpful
for me, before this internship I have no experience of this Shared Working of Record
Maintained.
I Acquired Knowledge & Learnt that how to arrange & manage the old files and Shifting
of these files in Store Room According to Year Wise.
Most important learning outcome is that I learned during the period is that How to set
Files according to Numbers, Volumes, and Serial Wise it’s another learning that’s helpful
for me. And then giving theme Ranks Numbers for our ease & findings of any files can
be easily discoverable whenever Need of any Documents in Future.
At the last week of the internship, I learnt & know about the documents scanning and
convert into PDF Form into System and then Save that Files Data in E-Drive of the
System, this is very important learning that is need of the current need of every
organization to save and share data with each other’s easily.

Problems Encountered:
 Before Entering Data in Google Sheet, a big problem faced is that the documents are
mixed and not Set in Date Wise Format. Also Mistakes of Words & Irrelevant documents
linked in irrelevant files it takes too much time to arrange first all documents in date wise
and then Separation of documents to attached in relevant files.
 Secondly, I feel that there is need of cleanliness of store room and files & need of labels
on files, so that Sir Zahid Mehmood giving us files labels to attach the labels on files
whose labels are missing.
 Furthermore, is that many Files have no labels it takes down to me to understand the files
documents and Its main File Titles are missing its big problem for me but with the help of
Sir Zahid Mehmood we Solve all the problems and sort out all the Challenges & manage
everything in well manner.
 the Store room of Registrar Office is badly loaded with old and irrelevant files &
Documents, and when am there is no arrangements of light in the store room it is very
difficult for me to find and setting of files but with the help of Sir Zahid Mehmood am
able to do everything and set store room in well manner.
 Furthermore, is that some files documents are mixed & need to set in relevant files
according to date wise, volume Number, & Serial Number. It’s a big problem for me but
Sir Zahid Mehmood guides me and am successfully done everything in well manner.

How Internship Experience Impacts Your Career:


The Internship experience for me is very helpful & Fruitful for my career goals & Objectives to
achieving my future goals perspectives. Because of its gives me lot of experiences and acquiring
of too much knowledge about the working in an organization under the supervision. It gives me
knowledge about the working of online shared Google Sheet & E-Drive System that’s very
helpful for my future perspectives and able to straight my mind and willingness to pay attention
in hard work and motivation.

Conclusion:
The whole information gives us the great effective role of GIFT University in Gujranwala. And
also, this report gives us the great information about the GIFT University, Gujranwala that’s
provides quality education in Gujranwala region to its valued students and Converting
Knowledge into Practical Experience. Another valuable role of GIFT University is to facilitates
to its users with Digital labs, library, online portal, online fee submission, online learning
material shared and much more like this present world of era.
At the present world of era the GIFT University Provides Quality education, modern world
facilities, internationally experienced faculty members,and best infrastructure to ensure the
quality of education for the youth and young professionals of this region.
In nutshell, I can say that the GIFT University is one of the best leading University in the region
and facilitates to youth and provides best services in this world living era
