Task 1[P1]

Bipin Maharjan (HND / First Semester) 3

Professional Practice 2018

Demonstrate using different communication styles and formats, that you can effectively design
and deliver a training event for a given target audience.
Introduction:
“When you want to get something, the way you communicate and how you get on with the people
has a greater impact. People with good communication skills can help them avoid conflicts and solve
problems. These things also helps in making friends and uplifting healthy relationships” (Anon.,
n.d.). So as an IT intern I was provided some sorts of task organizing two days of event about ‘cyber
security training’ where we have to share our ideas and knowledge to the audience and how to
prevent ourselves from these types of crime which are happening unknowingly. The venue of the
program was on soaltee hotel which is located in Kathmandu. To make it happen firstly there must
be a proper schedule and lots of time management.

Scheduling and its importance:

Schedule is like a time table where is consist every single details of certain events. during the process
of scheduling we must consider these things like at what time, when to be done and what task to be
done. Our life-cycle can also be compared as schedule likewise schedule helps in complete task if
there is proper planning and life-cycle it goes on with the flu but if we missed it then it is game over.

Communication styles during training:

As we all know each and every person can be judged by his/her communication style that what kind
of character is he/she. So, communication is like how the person interact, exchange of information
with each other. There is some communication style which I will be using during the event.

 Verbal communication:
The communication where speech or word is used for exchanging information among others is
known as verbal communication. To make it effective the listener must be calm, focused and polite
and the person might have clarity in speech. From this there will also be good interaction between
them and will also be easy to explain individually.

 Non-verbal communication:
Bipin Maharjan (HND / First Semester) 4
Professional Practice 2018

“Communication which are done by facial expression gesture body language which are not spoken is
non-verbal communication. It helps mainly the team co-ordination in the case when the person is to
far by sending them wordless messages without any distraction. Only verbal communication is also
not enough to present in the mass.” (Anon., 2005)

 Oral communication:
The process of transforming information from group or by individual verbally is known as oral
communication. It can be formal or it can be informal. formal communication is face to face
conversation, telephone conservation and business meeting and informal contains presentation,
lecture and speech in some event. Quick response and friendly environment can be easily created by
this communication.

Conclusion:
As I explain above I used it in my event and it was a success with great mass of people and the best
part was the feedback which was given to us with a good response. After the program the audience
were able get some ideas about how to be secure from cybercrime and to prevent from it.

[Task 2/P2]
Demonstrate that you have used effective time management skills in planning an event.

Bipin Maharjan (HND / First Semester) 8

Professional Practice 2018

Here in this task I am trying to explain how I used my time management skills while planning of an
event. Also it includes my presentation slides on time management.

Time management skills

“Time management is the coordination of tasks and activities to maximize the effectiveness of an
individual's efforts. Essentially, the purpose of time management is enabling people to get more and
better work done in less time.” (whatis, n.d.) it is the most important thing while organizing any kind
of event. Though we know why time management skill is so important in our life, we procrastinate
things and wait for the deadlines always which results into lots of stress, anxiety and frustration in
our life. So, it is better to develop the time management skills in us however, it takes time to develop
but it helps us to become more productive and effective.

During the planning of my event I had used time management skills. For this I have designed a
schedule to do list.

To know more in depth about the time management skills I have made some presentation slides.

Professional Practice 2018

Task 5[P3]
Demonstrate the use of different problem-solving techniques in the design and delivery of an
event.
Introduction:
In this task, I’m going to describe about the use of different problem-solving techniques I used
during the designing and delivery of an event.

Definition:

Problem is anything which is complicated to be handled by any individual.

Problem Solving can be described as the systematic approach to defining the problem and finding a
vast number of possible solutions without judging these solutions. (LinkedIn Learning, 2008)

Problem Solving Techniques are different remedies of working through every aspect of an issue or
challenge to reach a solution. We must know different problem-solving techniques to make sure we
won’t be in any kind of trouble during basic activities.

During the events, I faced a lot of minor problems but the one which caused me a greater threat was
Catering Problem. There were lots of people in the event and it was a huge success but on the other
hand catering management almost had our whole event going down. I was in a big dilemma about
how to manage the problem and thus used some techniques to resolve the problem down and run the
event at its pace. Some of them are described below:

 Identifying the issue

At first, I didn’t know what the real problem was with the food and then I identified that the
food stock left in the kitchen place were all finished and I was nervous all over. Then, I kept
myself cool. I know different people would have different views about the issues and I
separated the listing of issues from the identification of interest and it worked.

 Determine the causes

The real deal was to know about the things causing the problem. I went everywhere to find
the cause and at the end the cause of less food stock was catering management. It was a huge
blow for me to know that but I kept the privacy and knew being the manager, I have to deal
with this problem by myself.

Bipin Maharjan (HND / First Semester) 14

Professional Practice 2018

 Identify various options

After the cause was identified, I had no time in thinking about different possibilities and
options on how to solve the problem. There were lots of things running through my mind and
I was obliged to make my decision but had to make sure it will be an effective one and will
help to strengthen then event.

 Selecting the best solution

The next phase was selecting the best solutions from each and every options. It was a difficult
task for me because there were several things in my mind. There were basically three things
in my mind, Operational validity, Economic validity and Personal commitment. I was sure
about the decision I was going to take.

 Implementation
This is the most important part of problem solving and I knew I had to do something about
the problem so I called my brother who was the owner of Nepali Fast Food Café. I told him
about the problem and he immediately had a run with his staff to execute the food processing
for the event. After several minutes of anxiety, the food finally reached our event spot and
everyone was delighted with the quality of the food and I was so proud to hear these things
from the people. The event went successful and it wouldn’t have been possible without my
brother and my late decision.

Bipin Maharjan (HND / First Semester) 15

Professional Practice 2018

 Evaluation and Learning

After all these things happened to the event, and how things got over, I eventually evaluated
the whole thing and I learnt many things from the incident. The problem wasn’t of the
catering management but also everyone associated with the event. We should have had back-
up plans before we get into such facilities in the event and I learnt of how to go with the flow
with anxiety.

Conclusion

In this way, with the help of different problem solving techniques, I was able to fight back against
the problem caused during the event. With this skills and execution of this skill can change the
situation in anyone’s life and so was the condition of mine after the end of the program. The event
was great and admired by all the people that attended the event.

Task 6[P4]
Demonstrate that critical reasoning has been applied to a given solution.
Introduction:
In this task, I’m going to demonstrate that critical reasoning was applied while solving the problem
during the event.

Critical Thinking is the process we use to reflect on, assess and judge the assumptions underlying our
own and others ideas and efforts.

Critical Reasoning states that the ability to actively and skillfully conceptualize, analyze, question
and evaluate beliefs and ideas.

Bipin Maharjan (HND / First Semester) 16

Professional Practice 2018

In task 5, we faced an ironic problem during the event and we were able to abolish that using several
problem solving techniques. Critical Reasoning was also one of the applied solution to the problem
and to verify it, I’ve made some slides which is given below:

The objectives were dependable upon the question as it was clearly mentioned and with these
questions as my goal, I kept digging.

Bipin Maharjan (HND / First Semester) 17

Professional Practice 2018

Several steps were needed to be considered during Critical Reasoning and these are described in
brief about their importance:

We need to identify the problem first and then move out to the remedies. Identifying the question can
help you to outgrow your knowledge about its solution.

After all of this assumes that we know what we’re doing for each question type; more below to end
up an argument.

Bipin Maharjan (HND / First Semester) 18

Professional Practice 2018

As given in the slides, we must be goal specific and oriented towards our goal.

Always go with the right flow and right direction which will curve your path with success and
development.

Task 10/P5
Discuss the importance of team dynamics in the success and/or failure of group work.
Introduction:
“Team dynamics are the unconscious, psychological forces that influence the direction of a team’s
behavior and performance. They are like undercurrents in the sea, which can carry boats in a
different direction to the one they intend to sail.” (P.meyers, 2013) Dynamics of the team plays vital
role in the performance of the team. In this task I am going to discuss the importance of team
dynamics in the success and failure of the team. Team dynamics are likely the unconscious forces
that has the great influence in the success and failure of the team.

Importance of team dynamics:

Team dynamics has the great importance in team. Team can be effected by the dynamics of the team.
If the dynamics of the team is positive and motivated them the performance of the team gets better.
But if the dynamics of the team is negative and demotivated then the team cannot perform as per
their caliber. With positive team dynamics the performance of the team gets better as there is more

Bipin Maharjan (HND / First Semester) 20

Professional Practice 2018

trust and less conflict. Team dynamics can predict the performance of the team. So, I am going to
show how team dynamics can play an important role in the success and failure of the team.

For success of the team:

 Communication:
There should be good communication between the members in a group. If there is good
communication, then there is good understanding which makes our result good. For the team leader
should lead from the front there should be good communication. With good communication team can
perform well as there is good sharing of ideas and thoughts.

 Goal specification:
For the successful team specification of goal is the most important. Without specification of goal
team do not have the aim to reach. Without setting the goal team cannot priorities the work. With
setting the goal team can perform according to their goal.

 Motivation:
Motivation is the key factor for successful team. All the team members should be highly motivated
and pumped to get better result. If the team members are highly motivated, then the team can put
their 100% efforts and dedication towards their work. . So, for the better result it is the responsibility
of the team leader to keep the team members motivated.

 Innovation:
Team members should innovate new ideas for the better performance. The development of
innovative ideas is the sign of how creative the team is. With positive team dynamics the team
environment is positive and the team members remains positive as a result of which innovative ideas
comes to play. This helps team for the success with their creative and innovative ideas.

Example of successful team.

Few days before we were divided into a group for a group task. In this task we performed best which
makes our team the winning team in this activity. This was possible as the team were highly
energetic and motivated. All the members want to perform their best as the team environment was
positive. Each team members were communicating with each other and helping each other. This
helps our team to perform as one as a result of which our team performed the best.

For the failure of the team:

Bipin Maharjan (HND / First Semester) 21

Professional Practice 2018

 Lack of leadership:
For the success of the team, team leader should lead from the front and make the team perform
according to their strength. If the team leaders fail to do his/her job properly it directly affects the
team performance. If the team leader is not performing to his best, then team members become
demotivated and cannot give their 100%. As a result, team performance fails and cannot produce
effective result.

 Lack of coordination:
There should be good communication for good coordination of the team. Team with good
coordination performs as a team and produce good results. If there is lack of coordination among the
team members understanding among the team is almost zero. Team cannot communicate and share
their ideas with each other. Team without a coordination cannot produce innovative ideas. So, team
with ask of coordination cannot understand each other which automatically decrease the
productivity.

 Lack of personal involvement:

As a team whole team member should have equal participation in the team. To achieve the common
goal each member should have equal responsibility towards their work. If one fails towards his/her
role, then whole team fails as a group. So, everyone in the team should be equally active in the group
work. If one person in the team is lazy, demotivated then whole team feels the pressure which makes
team to underperform and alternatively they cannot perform well.
Example of failure of team:
As I have already said few days back we all were divided in a group to perform a certain task. One of
the group of my friend were failing to perform the task as there were no communication and no one
was leading from front. They were not performing as a team due to lack of involvement of the team
member. Due to irresponsible team leader and lack of personal involvement team was unable to
perform and they have to back off from the activity.
Conclusion:
I conclude this task by saying team dynamics plays a vital role in the success and failure of the team.
With dynamics of the team, team members perform accordingly. In this I have discussed that
dynamics of the team should be positive for the successful team.

Task 11/P6
Work within a team to achieve a defined goal.

Introduction:
In this task, I’m going to describe about the task given by my teachers to work in an event and to
achieve a certain goal.

We, section G students from first semester were divided into different groups by our Professional
Teacher. Food Fiesta event was held in the college premises. Everyone was given different
responsibility for the event. There were nine groups from our section i.e. five members for each
group of students. We didn’t know for what we were aiming for then we were being notified that the
goal of the task is to play in the program and whoever does it well scoring more points given by the
judges will be crowned the winner of the event.

We were really excited about the event and it was a fun day. We distributed out group members with
certain goals depending upon the priority of the event.

Ranish Moktan Drummer

We had a name of our group and it was “The Blues”. As we had our own roles and responsibilities in
the program, we had to work as in a union to overcome the required problems during the event and
we were ready for that too. We wanted to win this competition for real because we had done several
practice sessions all along for the program and with keeping this thing in mind everyone in the group
was motivated and encouraged for the event. We were fully committed to our goal and knew that we
have to use certain planning’s and strategies to reach our goal and which are given below:

 Clarity
With clear goal setup, it immensely helps understanding the task at hand, measuring the
results and, and achieving success. Keeping head and mind focused and clear will not only
make you feel mentally ready but also strengthen your inner confidence which will carry a
remarkable value to the goals.

 Challenge
We, knew the challenge wasn’t that so simple, there were different groups more familiar with
this kind of task and events and we were even not used to it but respecting the challenge
would certainly help in the event. We had to fight back with the challenge and do whatever
we could to overcome the problems.

 Commitment
As I said earlier, all the group members were committed towards winning the event and we
worked really hard for it. Winning the event was only our major concern so had to practice
really hard and we all were passionate about our plays and songs during the event and
hopefully it paid off.

Bipin Maharjan (HND / First Semester) 24

Professional Practice 2018

 Feedback
We knew feedbacks were important so we consulted from our seniors about how to represent
well during the program and score more points in the same field. The progress we’ve making
so far was clearly showing how much effort and input we were applying during the process
and we were keen to successfully reach our goal.

 Task Complexity
Complexity adds morale, productivity and motivation and we knew about its importance so
decided to be careful in adding too much complexity to our goals. We wanted to make it look
worthy so we wanted to grow the winning feeling in everyone and stay self-motivated
throughout the competition.

Conclusion
In this way, with set up of different roles and responsibilities along with different members,
we grabbed the first prize in the program and were very proud and happy to make it a success
working together and were glad that we participated in such kind of over-whelming event that
enhances our skills and improve socialism.

The goal was achieved after a superb effort of the whole team members and it was a great
feeling for me to be a part of it.
