MODULE 8

MODULE 8 – LETTER OF COMPLAINT, REPLY TO COMPLAINT, RESIGNATION LETTER

OVERVIEW

In this module, the student should be able to construct a letter of complaint, reply to complaint,
and letter of resignation.

LEARNING OUTCOME

At the end of this module, the student will be able to:

1. Write a letter of complaint which should provide answers to the following – why, what,
where, when, how
2. Prepare a corresponding letter of reply to complaint providing possible solution to the
problem
3. After writing a letter of application, the student should also be able to write a letter of
resignation

CONTENT

A. You can use either full block or modified block format. Follow the spacing you used in the
previous letters.
B. Letter of complaint – This school year is different from other school years because you don’t
have to go to school physically and meet your professor in the classroom, instead classes are
virtual through the internet. You are writing a letter of complaint regarding the problem you
encounter in online classes.
1. First paragraph – indicate the purpose why you are writing the letter. Remember never
begin the first paragraph with I.
2. Second paragraph – give the details of the problem, when did it happen, what is it about,
how did it happen.
3. Third paragraph - call for action, so you are asking for solution to your problem, remember
you always maintain courtesy in your letter.
C. Reply to Complaint - so this time you take the position of the dean in your college, and you
offer solution to the problem.
1. First paragraph – acknowledge receipt of the letter and the problem posted by the student.
2. Second paragraph – give possible solution or what action will be taken to solve the problem.
3. Third paragraph – thank the student for directly addressing the problem to the college and
show willingness to do the necessary action.
D. Letter of Resignation – remember in module 6, you wrote a letter of application for a job you
are interested. This time you are going to write a letter of resignation before you leaving the
company you are working in.
1. First paragraph – show appreciation for the chance that you were given to work in the
company. However, you have to file a letter of resignation. Take note, the letter should be
written one month in advance , so state effective a given date you are resigning from the
company.
2. Second paragraph – give the details why you are leaving the company, never show hurt
feelings or bitterness, no matter what happened during your stay in the company you
learned something.
3. Third paragraph – thank the company and indicate that you are willing to help train whoever
will take your position.
