At Papa&Mama Cafe

Nutnaree (Papa&Mama Cafe Manager) : Good morning everyone, Thank you for joining
this meeting. Today I would like to inform you about new project. And I will assign the
tasks and time-frame to you. The project is we will have a bakery section in our cafe
which is all bread and cake that we use will be bake from here to make our cafe unique
and remarkable. We will sell a homemade breads. In the first stage we need to expand
and renovate the kitchen for baking section, and also build a new storage room.Then we
need to hire a patisserie chef and baker.

John (Chef de Partie) : That sounds great. It is a big project for our cafe. We will need
many thing to do. And we also need to hiring more staff.

Nutnaree : That’s right. So Anna, could you you find a right person who can join with our
team? That I mention before, I need patisserie chef and baker who have at least 2 years
experience.

Anna (Human Resources Manager): Sure! I will do my best.

Nutnaree: I know this is a big project that we have never done before, but we need to plan
and should start within 2 week. For building part, I will take all responsibility. John, from
next month we will start using our homemade bread and I also need you to create new
patisserie menu while we are looking for patisserie chef.

John: Okay, No worries. I might need staff for helping me for the new menu.

Nutnaree: No problem. Anna, I need new staff ASAP when you get a staff, you can
contact John for make an appointment for trial directly. If you need help or have any issue
just let me know.

C Sure Nutnaree. May I ask about baker position? Would you like a full-time or part-time
employee?

Nutnaree: For baker, I need a full-time but part-time is also acceptable. But you need to
make sure that part-time’s baker will be able to work cover the baking period of time.

Activity 2A

The performance management process of Papa and Mama cafe is a continuous cycle of develop,
execute, and monitor employee performance plan. We are focusing on goal setting and continuous
coaching to improve employee’s performance and help them to reach goals. The effective
performance management cycle are 4 key steps:

1. Planning - set and align employee, team, and business goal


2. Monitoring - Regularly track goal progress and address roadblock
3. Reviewing - Provide rewards and recognition for employee’ efforts
4. Rewarding - Evaluate and results and the process used to achieve them

The software of performance management that we use is ELMO which is a performance


management software to improves employee productivity, boosts profitability and engagement
through continuous feedback. It enables organisations to align individual and team goals with
organisational strategies. It also streamlines the employee appraisal process by offering a range of
pre-built goals and development objectives, provides 360 reviews that assist in the development of
a performance culture that reduces employee turnover.

ELMO’s Performance Management software provides organisations with the tools to drive and
monitor organisational workflows, productivity and objectives.
The module assists with aligning individual and team goals with organisational strategies,
empowerment of employees, development plans, 360 reviews, assist in the development of a
performance culture and mitigation of risks associated with turnover.

The company is follow the NSW, food safety requirements which are set by the Food Act 2003
(NSW) and the Food Regulation 2015 (NSW). These Acts require that food sold in NSW is safe and
suitable for human consumption and meets all standards set out in the Food Standards Code.

Activity 2B

Nutnaree: Good afternoon everyone, Thank you for attending the meeting. Today we are talking
about the performance management of our company. We also need some training and review
process. So because we’re marketing and HR team, we need to know about the software, how to
use it effectively and how it work.

Firstly, What is performance management? The performance management process of Papa and
Mama cafe is a continuous cycle of develop, execute, and monitor employee performance plan. We
are focusing on goal setting and continuous coaching to improve employee’s performance and help
them to reach goals.

The effective performance management cycle are 4 key steps:


1. Planning - Goal planning and setting is an integral stage of your performance management cycle.
It is where employee, team, and business goals are aligned and set.
2. Monitoring - The monitoring stage is where goal progress is tracked. This step is critical to help
employees achieve the goals set in the planning stage. To monitor employee goals, plan regular
check-ins and 1-on-1s to address any roadblocks preventing employee productivity. These
conversations should be on-going to stay up to date with goal progress and needed adjustments.
3. Reviewing - A comprehensive evaluation of employees’ final results occurs in the reviewing
stage. This is where a performance review is implemented to assess employee success or possible
shortcomings. This is a great opportunity for management to understand the employees’
perspectives, provide feedback for improvement, discuss future development opportunities, and
create a roadmap for the future.
4. Rewarding - The last step in an effective performance management cycle is rewarding. This is
where leaders provide rewards and recognition for employees’ efforts and success.

Colleague 1: What about performance management software? Do we use a Culture Amp?

Nutnaree: That is what I am going to talk. So We decided to use a ELMO software. I know that we
are had the experience with Culture Amp but the new software is easier than before and more
effective.

Colleague 2: Oh, I like to learn a new thing, I’m so excited to use it.

Nutnaree: That’s great! The ELMO is a performance management software to improves employee
productivity, boosts profitability and engagement through continuous feedback. For more
information, I’ve already send the detail on email. So far do you have any question?

Nutnaree: Good morning, Anna how are you? Today I would like to inform you about performance
review. So when you will be available for the review?

Anna: Good morning, Nutnaree. I’m good. I think I need some time to prepare my document for 1
week, So I will be ready on April 16, 2023.

Nutnaree : Great! Thank you Anna. I will schedule the meeting at 9.am, is that ok?

Anna: Sure.

Nutnaree: I will send you a performance review form via email, so please complete the form and
bring to the meeting.

Anna: No problem. What about meeting room? How many people that will attend to meeting? I
could help you arrange it.

Nutnaree: So, for this performance review, there will be 4 attendees which are marketing team, HR
team and us. I think the small conference room would be great. And we also need a projector.
Could you prepare it for the meeting?

Anna: Of cause. I’m happy to help. How long does it take for the meeting?

Nutnaree: 2 hours would be enough. So I will send an invitation and performance review form to all
attendees by tomorrow.

Anna: That’s perfect. If you need a help, please let me know.

Performance evaluations is important for the company. This is a process used by
organizations to give employees feedback on their job performance and formally document

that performance. The organization will compare them with KPIs which a goal that employee
work towards achieving.
Activity 3A

Nutnaree: Hi John, how are you?, You look stressful. Anything I can help?

John: Hi Nutnaree. I am not good. I have been thinking about our new bakery section, there are
some problem about the supplier.

Nutnaree: Oh really. What happen? Is that about the flour stock that you told me before?

John: Yes. Supplier that we deal with earlier, they could not sent the product in time because the
international shipment delay. They need to import them from Thailand but it on a long weekend in
Thailand which is product will be send in next week.

Nutnaree: Oh! I see. So did you ask other supplier? They might have a stock.

John: Not yet. I’ve tried to think who are sell this flour but I’m blanking.

Nutnaree: The Judy shop! The one that we used to order with them before. Even thought I might be
a bit expensive.

John: That’s right. Thank you Natnaree. I will contact them ASAP.

Nutnaree: No worries. Just let me know if you need a help.

Nutnaree: Hi Anna, I would like to discuss about your performance. Please see me at my office.

Anna: Hi Nutnaree. How are you?

Nutnaree: I’m good, thanks. I noticed that you have a difficulties time at work. Could you explain me
about it?

Anna: Sure. It’s been 2 months since I started working here, but I still confuse about the HR system. I
couldn’t do it well, Sometime I’m struggling with it for an hour but no one can help me. That’s why my
performance getting low. I’m so sorry.

Nutnaree: I’m sorry to hear that. This is not all your fault, you may need sometime to learn. I will provide
an intensive training for you. And Kathy will be your trainer, she will assist you for 2 weeks after that if
you need help, you can ask me anytime. I’m here to help.

Nutnaree: Thank you for your understanding. Unfortunately, your performance is under the standard.
You did the wrong document many time and also complete the task delay. I would like to help you to
solve these, could you explain the reason?

Anna: Thank you Nutnaree, I’ve been tried to do my best but I couldn’t do it well. I couldn’t work
under-pressure and I couldn’t do multi-task. That’s why I always make a mistake and delay.

Nutnaree: Okay. I understand the situation now. From today I will assign Dan to do some of you task
then you will be focusing on you task and have more time to finish you task, is that ok?

Anna: Thank you very much Nutnaree. You’re always supporting me.

To taking terminate the employment, we need to prepare all relevant document of the employee to be
prove that they are underperforming. After we gave them an opportunities to improve themself, we need
to find the solution or advising to help. For example training course, give them an assistance and
workshop. If they couldn’t improve the performance we need to provide them a meeting to discuss a
